How To Make a Graph with Microsoft Access (Classic Chart)

  • Do you want to know how to make a graph with Microsoft Access? First, create a query with the data for the chart. Then make a blank form and add a chart control. This video also shows how to change what data is displayed on the graph as well as formatting, chart type, titles and legend.
    This was the way to make charts and graphs before the "Modern Chart". I now call these Classic Charts. They're still in Access and work great.

    Thanks for this. I did a lot of work with graphs in the late 1990s, including manipulating them with VBA. None of my clients wanted graphs after that and I'd forgotten a lot. Your video has got me going again.

      thanks, Ozair! Good question. It seems you could use VBA to iterate through the labels but maybe not, I've never tried it.

      hi Nawres, great question! Classic charts let us iterate through points at runtime. While we can change whether to show a point or not, we cannot change the color at runtime ... however you CAN choose colors beforehand and hide points -- so you can correlate a subform, for instance, to match the colors.

    Crystal, I have created my chart in my database, but when I view it has more than one sheet and it should be only one report. Any suggestions.

      hi Mary, Do you mean you are getting multiple charts? If so, perhaps you put the chart in the detail section of a form or a report that has a Record Source -- so a chart will be displayed for every record. The solution, if this is the case, is to remove the Record Source (or make sure it only has one record), or put the chart in another section. If the problem is that the chart is too big, then you can resize it by dragging the handles on the edges. Be sure to also close up the extra space in the section from the bottom, and drag the form/report right boundary to the left too.

      +jherril santos if the chart is empty, then so is the query that is feeding the chart -- choose different criteria. Perhaps the SQL is not good -- check it buy using it to create a query and see if you get records

      Samantha, you actually need 3 fields ... one for x, one for y1, and one for y2. Make the query that gets the data, then assign that to the RowSource and set the chart type to stacked column

    I am still using Access 2000. I developed query with data I want to chart. I am using price banding (0-50, 50-99, 99-150 etc) for 2 categories of data. Categories are marked as A or as P. My prior charting experience only showed those in A status, but now I am trying to include P status alongside the A status in each price band. I can't for the life of me figure out how to add another set of data to display in a secondary bar in each price band. I also have a whopper of a headache, which might explain a lot. Anyway, any guidance would be welcomed highly. Steve at CountyRealty dat com.

      Hi Steve, its really easy! ... once you've done it once anyway ... just make another column in the RowSource for the chart!
