Getting started with Pipedrive's Workflow Automation

  • Pipedrive's Workflow Automation feature helps you to automate simple updates, follow up and processes in Pipedrive throughout your sales journey. It works on a trigger - action system, similar to other automation tools like Zapier.
    If you're not sure where to start, I recommend setting up an automation to create activities when a deal moves from one stage to the next. So when you move a deal, Pipedrive tells you (and your sales team) what to do next. This is a simple workflow that everyone can apply to their sales process.
    For more advanced automation and to connect Pipedrive with third-party tools and services, you'll need to use Zapier.

    Hello Paul - do you typically lean towards a specific activity auto advancing a deal stage, or having the stage manually advanced?

      Personally I manually advance the deal. But I have known clients to use an activity to advance the deal as a way of doing this automatically when all activities for that stage are complete.

    Hi Paul - thank you very much for the nice video. I am very new both in Pipedrive as in Power Automate and would like to ask you if it is possible to extract basic data from Pipedrive to a word template by Power Automate - for example name, company and email of a specific deal?

      I've never used Power Automate but judging from their integration page, this should be doable. I know you can do it with Zapier for sure.

    Does the number of days or delay set depend on the stage or it works with when the automation starts. For instance if I set a 2 day delay for my first automated email, if I want them to receive another email 3 days after this, do I enter 5 days delay in total or I create just 3 days?

      The delay happens at that point in the automation. So the next email would send 3 days later after the first automated email.

    Hi Paul, am not sure if this will work - can a trigger get information right out of the next activity? Let´s say, I put a final activity that says 'if the client won´t respond until the day of the nex activity, then put the deal to 'lost'? Or would you rather recommend putting a label on that deal and then put a delay of e.g. 21 days and if the status hasn´t changed at all, just put it to 'lost'?

      Good question, you could do either, depending on what you prefer.
      I have an automation where when I complete a 'Final follow up' activity, the deal gets lost immediately and this works for me.

    Hi Paul, could you please explain why email automation might not work well, specifically, why the email is being sent from a user's email who have created an email automation, rather than from the deal owner's email

      This is a limitation of the email automation right now. But as I understand it, Pipedrive is working on an update to allow for automations to be configured like this to send the email from the deal owner.

    Hi Paul. Thanks for this informative video. I just wanted to ask why my automation is not working. I've been testing it using my own email but I still don't receive the email that supposedly should be sent out to the email. My workflow is this:
    New Contact Created > Label is Cold Lead > Notes contains (specific word) > send an email
    I made sure I qualified for the criteria but when I turned on the automation I did not get any email. Please help!! thank you so much!

      Are you sure you're using the right trigger? This would trigger when you create a contact with the cold lead label. Are you trying to trigger this when you add the label? If so, you'd need to use the 'Person Updated' trigger instead. I'm just guessing, I'd need to see your automation and the test to be sure.
