We were told that the team be responsible for providing their own sheet music? Or is that the leader’s responsibility to ensure that the team is equipped with what they need?
It's better, when the band leader or MD provides the sheet music. The same song can be in different song books in different keys or with different chord changes or lyrics can be slightly different. My church uses Song Select and I use in most cases a lower key, to make singing easier. So I set a song down to F Major and the guitar player gets D Major to have it more comfortable. When people are equipped with printers that doesn't waste money, you could provide the music as pdf. Also when the people use tablet computers for display the music.
It depends how big the stage is. When you are pretty close together, the other musicians can hear the instruments directly and monitors are only for the vocals, it could work fine without. But when you are spread over a stage and the soundman provides monitor mix, it could be needed to tell the soundman, what changes you may need.

Would it be wise for acoustic players to do talkback?
