Over the last few years, I have watched several TH-cam videos and read several articles on âproductivityâ systems. They are all well-conceived and valuable to users.
Sometimes, they are called âproject managementâ or âtask managementâ systems. Regardless, their focus is on âtasks/activitiesâ. They can cause users to become âmasters of the minutiaâ.
This is in contrast to a personâs âobjectivesâ. Sometimes the word âgoalsâ or the term âend resultsâ is used to mean the same thing as the word âobjectivesâ. Regardless of the word/term used, I am talking about a condition, a situation, or a state of affairs that a person wants later in his/her life. That may be wanted just a couple months from now or many years.
âTasks/Activitiesâ are merely the âmeans to the endsâ. It is your âobjectivesâ (end results) that are far more important than âtasks/activitiesâ.
Consequently, I highly recommend that people who develop âproductivityâ systems incorporate the development of âobjectivesâ into the design of their systems and encourage users to start by defining their âobjectivesâ.
And therefore, each person should spend a fair amount time defining his/her âobjectivesâ, both short term ones, preferably medium terms, and maybe even long term ones. Add them to whatever âproductivityâ system you use. It is important to write them down, because, over time, you will modify / refine your âobjectivesâ and it will be important that you explicitly acknowledge those changes and modify your âtasks/activitiesâ, accordingly.
To help with defining your âobjectivesâ, Iâve created a list of âcategoriesâ of objectives to get your thinking started. I believe it to be a comprehensive list. Here it is.
* Personal / Professional Relationship
* Physical / Health Condition
* Mental / Intellectual Condition
* Emotional / Psychological Condition
* Spiritual Condition
* Wealth / Financial Condition
* Security / Safety Condition
* Fame / Reputation
* Power / Influence
* Skill / Capability
* Possession / Property (Things you have / own)
* Location / Place (Where you primarily reside)
Again, note. These are âcategoriesâ of âobjectivesâ, not âobjectivesâ in and of themselves.
Finally, the âtasks/activitiesâ in whatever productivity system you use need to be in support of and linked to one or more of your âobjectivesâ. If some âtask/activityâ isnât, you need to ask yourself, âwhy am I doing this?â - - - In some productivity systems, it is easy to create the links by adding tags to your âtasks/activitiesâ.

Hi, thanks for the video. Quick question: when you define multiple statuses for the checkbox uncheck state, which of them will be applied when you uncheck the checkbox? I guess the first one from the list? Thanks.
Hi, good stuff. Setting it up will pay off in short time. One thing, I think "mapping if unchecked" will allow you to create ONE default, if you define two it will pick the first one. You can of course define a default for another field.
Hey Lukas, great video, very helpful. Had a couple of questions (I am fairly new to Tana!). How did you create that "blank page" under your videos - I can't see how you create them without the "wizard" doing it for you based on tags and creating a predefined list based on this. I was wanting to set up that centralised tag system as you suggested in your vid. Also, why is it necessary to create a second type of "Projects" (I think you called your STM)? Also, I don't quite follow the use of "PARENT" around the. 4.40 mark. Thanks a lot
I don't see 'Semantic Functions' and I don't have the 'Settings' gear in the top right. What do I do?
Oof! Too much danger of system/schema procrastination for me... Could have done a couple of urgent tasks in this time.
I like the videos but it takes me 30 min to watch and stop and rewatch etc - pretty hard to follow at times
Where are you getting stuck?
If this is the simple way, I'd hate to see the complicated way.
I see what you mean, it comes at initial set up cost. I think however the benefits are much greater, when it come to retrieving, re-organizing etc. IMHO its a good balance between flexibility and usability.
