  • HOW TO LINK TEXT OR IMAGES TO A DROP-DOWN LIST SELECTION IN MS WORD - CREATE FILLABLE FORMS // Learn make text or an image appear in your document based off what a user selects from a drop-down list. This video will show you how to do this using a Time-Off Request Form where different instructions and time off reasons appear if a user selects the employment status of Full-Time vs. Part-time. This technique can be used to also insert a particular image file depending on the drop-down item selected. We review this using signature image files at the end of this form.

    Sharon, thanks a lot for this very helpful tutorial. Is there a limitation as it regards the number of options (if-clauses) and the amount of characters? In my case I have up to six options and at least some of them do have more the 256 characters.

      Is there a way different fillable forms appear based on the selection from drop down option?
      Ex: when I select drop-down option 1, then fillable form 1 appears.
      When drop-down option 2 is selected, fillable form 2 appears.

    Hi Sharon, thank you for this video! It was very helpful. I wanted to expand on this premise by not just having a couple sentences of text appear once a drop-down list option is selected, but an entire set of steps. However, when I enforce protection and then select the applicable option from the drop-down then "tab", it moves me to the end of the steps. Is there a way to stop this from happening (i.e. remain on step 2) instead of moving to the last step? Or can you recommend another solution for displaying multiple sets of steps based on the drop-down list selection? Thanks again!

      Cindy, for that you may want to be using Content Controls instead of legacy form fields together with AutoText/Building Blocks. Use the Building Blocks Gallery Content Control.

Is there a way to add text like in this tutorial if a legacy checkbox is selected? I tried using the same code you used for the drop-down list but it doesn't work.     Is it possible to do this great tutorial with the new dropdown fields? I don't know how long MS will keep the legacy ones - just in case the function get's lost in a future update.

    Hey Sharon, thanks a million for this very useful video!!!
    I have one question for you. I am trying to create a form that will display certain fields (control fields) depending on the selection on a drop down list. In a way, it is basically a drop down list that shows a different template to be filled by user depending on the selection. One example I can give you to better explain my question is, imagine I have a customer deliver document that needs the customer signature due to a modification on a system. The types of modification are Software modification or Hardware modification. The engineer would select for instance, Software Modification, then a set of fields appear and the engineer would populate them accordingly. However, if they select Hardware modification, a different set of fields would appear for the engineer to fill out.
    Is this possible to accomplish in word ?

    Great video! How to make 'Employee Status' invisible, once you select the option? There will also be an 'Undo" button to re-select your options.

    Thank you so much for all your video’s, Sharon!They are also very helpfull in The Netherlands ;) However, because of the editing restrictions it isn’t possible to fill in forms and make remarks at the same time. Do you have a solution for this?

    Thanks for this video. The Word version I use is Office 365 and dropdowns don't have a "Bookmark" field setting. How do I do it with Word 365?

    Hello Sharon, thanks you for uploading this tutorial. After following the instructions i made my own form. But when i hit tab the text is not appearing automatically. I have to manually right click and select 'update fields' to get the text. how can i make it appear automatically after a selection frm the drop down menu?

After putting those programming and restricting the document i am able to edit as I have breaks but once i edit or fill related words in document and give print those additionally filed words don't appear..Can i have a solution for this

    Hello, this video was very useful. But I'm trying to link a dropdown choice with a logo (picture) in the header and footer. Is this possible? It doesn't seem to work.I want a dropdown in the header, and depending on what is chosen in the header, the relevant logo has to appear in the footer.

    Hi Sharon. I've been trying to find this solution for months. This is EXACTLY what I need!! However... my document needs to have two image fields that will have more than the 25 options allowed in a legacy dropdown. Do you happen to have a video on how you would do the image fields with the ContentControl dropdown (that has an unlimited number of items)?

    Excellent video and very informative as usual Sharon. What is the best format to save the document, as a Word Template or just a Word document?

      Thank you Jamie! Saving as a Word Template is helpful if you or your users will re-use the form and want to start with a fresh blank form template every time you open a new file. Basically, users can't "save" over a template file type with their filled in answers, they can only "save as" and name the document something new. Hope this helps! Thanks for watching!

    Sharon, your video has been very helpful but having one issue: Within the text that populates from the drop down selection I need to have an edit box that can be filled in by the user and I have put the { FORMTEXT } box in, however after protecting the document and trying to use it that edit box is not available for the user? Is there another formula I should be using?

    Love this video - very helpful! Can this be done referring to whether a checkbox is marked or not? For instance, if someone checks "vacation", can we create an IF statement that shows certain additional text regarding using vacation time?

      Hit Alt+F9 (or Alt+Fn+F9) and that will show your field codes if you need to edit them, and hit the same thing to hide them again. Hope this helps! Thanks for watching!

    This video is great but I am having a few issues in my own application. When I select a drop down field with the intention of other areas being populated, as per the video, it works the first time but then when I try to test the other options to toggle between it either takes a long time or doesn't work and stays stuck on the first one. Any ideas why that may be?

    Thank you for this easy-to-follow tutorial. Is there a way to edit the text that is auto-populated after making the selection in the drop-down? I have a list of tests that auto-populates a short description and a table to enter scores with test-specific columns/rows but, when I restrict editing, the user is not able to enter the scores into the table.

    Thank you so much Sharon. This was a brilliantly presented video for such a useful task that many of us always wanted to do.
    In regardsto link the signatures to the Drop-down entries , I managed to replicate your instructions, but for some reason (unless i stuffed-up), when I used 3 or 4 people => the 3rd and 4th signature was NOT showing. I cut the 3rd and placed it 2nd => and it displayed it OK but then the 2nd which was moved in the 3rd position, it DIDN'T.
    Would you be kind enough to show us your lights on this. Are you able to have more than 2 "IF" arguments/signatures? Thank youa once again

      @paultoumazos9383 I experienced something similar but I was actually having 9 options in my drop-down. In my case, the failure to display after tabbing wasn't as systematic as yours - where the 3rd and 4th image didn't show - instead it appeared to be random. I wish that Sharon could see what I tried to do and perhaps she's see if I did anything wrong or if there are any special requirements if there are more than 2 IF arguments/signatures.

    Thanks a lot for this very helpful tutorial. But i have a question. I want to create a dropdown-list in de Visual Basic Script. i.e. When i select a job title from dropdown-list i want it to show a certain text with a drop-down-list. But when i select the drop-down list, it jump back up to the beginning of the page. Is there a way to fix this?

    Thanks a lot Sharon, that is really helpful, and you made this surprisingly understandable! One thing I could not manage to do: can you add a drop down list in the field code? I tried (going to the legacy tools while in the IF field Code), and thought it would work, buuuuuuuuuuuuuuuuuut it doesn't. I have the "please select" appear at the end of the field code, so this is partly recognized, but there is no drop down list with the other option. I got this: { IF{ REF XXX }="Yes" "blabla" {IF { REF XXX }="No" "blablaquestion {FORMDROPDOWN} " } }
    Is it possible to do what I m trying to do, and if so can you tell me what I did wrong? I understand your videos about dependant drop down list address another matter, as I do not want the fields of a drop down list depend on the selection made by the used in the fields of another, I want the drop down list to appear or disappear depending on the selection made

      This would be amazing if possible with check boxes too! Eg. Auto-filling drug doses and basically anything in a paragraph by quickly ticking through a bunch of check boxes :)

    Very well done. Start with an example to show what this is about (unlike most videos where you have no clue if they are even doing what you want), and explain step-by-step.
    I just wish there was also a quick mention on creating text depending on whether a box was checked or not, since I needed that too. Hopefully google will help with that.

    Excellent video. Question though...how can I include a new or second drop down list WITHIN the text that is linked to the first drop down list? For example, my first drop down is a yes or no answer to Question A, and if yes, I have Question B that shows up and I want a new or second drop down list to show up with the linked text so the user can use it to answer Question B .

    Hi Sharon! Thank you so much for this incredible video. I have tried out it in some docs but the linked text did not change automatically. I always had to update fields when I put fields codes manually ( opening tab by right click on mouse and then I used "Update field"). Is there any hint to set out automatically? I mean that upon changing the value in drop-down lists, the linked text will be appeared automatically.

      Hi Peter! Do you have the "Calculate on Exit" checkbox in the drop-down form field properties checked? If so, as long as you have another form field for users to tab into, it should auto populate. You also have your form field protected for "filling in forms"? I hope this helps!     I have a request for a instruction, I am trying to merge a couple of table forms into one word document, my initial thought and still is my will to try is to have one word document containing all different table forms (8 different forms/templates), where the users choose a specific template in a dropdown list, and then that specific template pops up below the drop down list. The trick is, since I need to restrict the editing to enable the legacy form drop down list, for some reason I cannot include text form fields in the {if {REF}} function. After choosing a specific template in the dropdown list. I need to be able to have "free text" fields in each template. would you be willing to work and show your magic around this request?

    Do you know if there is a way to update text like you have done in the "Instructions" area. Except, I would like to use a "Submit" button to build a string. I am hoping to build a string based on 2 drop down list values. For example if Drop down list 1 = Blue, drop down list 2 = Boat, then click submit, and "Blue Boat" would appear. Then Changing the dropdowns to "Red" and Car" and clicking submit a second time would change the string to display "Blue Boat Red Car." I am not sure if this can be done, but any advice is greatly appreciated.
