    This is an excellent how to! Very clear and easy to follow. I am looking to add a description into a the form on click to give the user some direction for their entry. For example in your form "Project Objective" I'd like to add something like "Please enter your project objectives here..." this instructional text would be revealed when they click on the form field.

      Hi Melissa, thank you for watching and for the great feedback. There is a way to add a description into the form field you can either use a tool tip or a default value. These can both be found in the preferences/options for the text field. Both of these options function differently, a tool tip is text that will pop up when the user hovers over the field and a default value is something that is already entered into the field.

      @@AshleaSpitz Thank you so much! In addition, how do you determine the order of interactive text fields when exported to PDF? I’d like to make sure that the user begins at the top of the page and ends at the bottom. I’m editing one that another designer created, and the tab flow doesn’t follow my preferred path (it jumps around the page in a way that I don’t want). I tried naming each text field by number 1, 2, … and so on. It didn’t appear to make a difference. Thanks for any help you can give!

      @@melissareese4341 Hi Melissa, You will need to order the fields by dragging them into order. To do this, open your PDF in Adobe Acrobat, then open the Prepare Form options tab, you will see the fields created. You can reorder them by clicking on one and dragging it into order. Press preview button to test it out.

    So this is something I've been wondering for a while: Will people that do not have Adobe CC/Acrobat installed still be able to use the interactive elements (for example, in a regular PDF reader)? Otherwise, great tutorial! Very clear and well-paced.

      Thanks so much for watching! Yes and No. Not all readers are equal. You will get inconsistencies in readers that are not "Adobe friendly". The default viewer for PDF documents in Mac is Preview. Preview will open PDF documents for viewing but it will NOT display dynamic/interactive content embedded into PDF forms such as drop down menus and calendar features. For Mac users to be able to see this content, they must tell their computer to open PDF files with Adobe Reader or using an Adobe Acrobat extension in the browser. This is sort of Adobe's way of keeping things in their own platforms. Similar to how some files will only work for PC vs Mac. The only other workaround for an interactive form to be consistent across all views would be to put it online in a web page.

      Hi Jacob, thanks for watching! There is a function in Adobe Acrobat under Preferences > Forms that is device dependant where the user can select to show the border hover color and highlight fields. If it is turned off then the user will not see these colored input fields and will see the customized input fields design you create. Same goes with the check boxes. :)

    This was incredibly helpful, thank you! I especially appreciated the note at the 13:30 mark telling us that the checkmarks and text boxes can be overridden by the viewer's Preferences--it helped me understand why the testers were seeing the default checkmark and colour fields. Is there a way to make everyone see the form as it should look, ie., override their Preference Settings?

      Thanks for the great feedback Janice! That is something that I get asked a lot about and unfortunately l have not yet come across any workarounds to override a users settings. The only way to have more continuity on functionality would be a web form, but then again even that isn't foolproof! Good luck with your form!

    Great video! I notice once you move into Acrobat that you don't have any of the blue highlighting that appears on all of my interactive elements by default and which my client doesn't want! Do you know if there is a way to universally prevent blue highlights appearing in acrobat wherever there is an interactive element, not only myself but whoever I send the pdf to? I know how to change it at my own user level (within acrobat's own preferences) but my understanding is the minute it's sent out it will default to the users acrobat preferences and therefore reappear. Would love to hear if you know how to control this?

      Thanks for watching! Unfortunately, due to the way Adobe Acrobat handles user preferences, there isn't a foolproof method to universally disable these highlights for all recipients. The best approach is to communicate with your clients and guide them on how to adjust their settings to have the best user experience. The only other workaround I have is to try to design the interactive elements to make them blend better with the overall design of your PDF. This won't remove the blue highlighting but might make it less noticeable. Good luck!

    Is a form created in InDesign Section 508 accessible or does the accessibility compliance have to be done from Adobe Pro?

      Hi! Glad to have helped you! Not sure if you figured out the colored fields part yet, but you need to go in to your Preferences in Adobe Acrobat. So once you open up the PDF, some people may or may not see these colored fields. To adjust this, go to Preferences > Forms > Show border color fields.

      Hi DM, thanks for the nice feedback! So if review the video at the 13:30 mark (checkmarks and text boxes can be overridden by the viewer's Preferences), there could also be a 'required' setting placed on your boxes. If you remove it as a required field you may not see the red outline.

    Thank you for this tutorial. It really helped me out!
    The only problem I have is with the radio buttons. I made my own ticks like you but once the button is clicked in the exported PDF, the tick turns into the standard one from InDesign 😒 BUT: If I print out the form, my ticks appear again. How confusing is that?
    Plus, I found it quite weird that Acrobat gives you more options than ID when it comes to forms. E.g in Acrobat you can specify date fields or prefilled input fields. ID seems like an unfinished product here.

      Thanks for the nice comment, glad to have helped. Yes you may be experiencing that because the Acrobat preferences are overriding your InDesign settings, so you will need to go to Acrobat Preferences > Forms > then uncheck 'Show border hover color and fields.'

    Hi I've just followed this and done all the text fields and radio buttons, finding it super easy to follow your instructions but when I've exported the pdf none of the features are visible (opening in acrobat) Are you able to advise, perhaps I'm not exporting it properly? Thanks!

    I'd been told years back to never use empty picture boxes for content... preflight calls it out as an error looking for the missing image. Other tutorials use text boxes... is there a best practice here?

      Hi Bonnie, the InDesign Preflight tool was intended to check the document to ensure it meets the requirements for the printing house. Considering this is a document meant to be used for interactive input this would not be an issue. Additionally, the new CC InDesign does not call it out as an error since there is a variable set within it. Setting a document for professional printing output may require different settings for exporting a PDF.

      Thanks for watching! Yes, if you want to use numerical you will need to use a text field initially, however, if you go to your text field properties >click on the format tab > select the format category: numbers. Then you can choose your decimal places, currency symbol, etc.

      Hi Jessica! Thanks for the great feedback. Yes, it's super easy. If you go into your properties on the text field box you want to show the total/final calculation in, you select the tab 'calculation', then choose 'Value is the:" and choose the calculation you want such as the sum, average, etc. From there you click the 'Pick' button and select the fields that they will be calculating from. So for instance, box 3 (has the calculation in the properties) which is the sum of box 1 and box 2. Hope this helps!

      Go to your Window menu item > Type > Character and that will show you all the font options.

      @@fionawebb5271 If its working for some people and not others, then I suspect it would have to do with how they are viewing it. Since you can open a PDF in several applications, including a browser. If they are viewing it in a browser such as Safari, it wouldn't support Adobe Acrobat interactivity since it uses Preview as the reader. Here is a resource that may be helpful: helpx.adobe.com/acrobat/using/display-pdf-in-browser.html. You might want to include a note for your user where to open it too to ensure best functionality.

    I work at a church. We had a contact card for members to fill out. Instead of printing them we thought we could have them fill it out digitally. I know how to use Indesign because that is where the original card was created. I have the Acrobat on my computer and everything works fine with the interactive PDF. I tried file on another computer and the SUBMIT button acts differently and does not submit. On my computer the Mail To opens the email and send the email to drafts. Should I skip the SUBMIT button and have the user attach the file to an email?

      Hi there, thanks for watching the video. There are a few things to check when using the submit functionality, one is make sure the submit button code is using the "mailto:person@domain.com". You can also try adding in a space after mail to "mailto: person@domain.com" A helpful article on Adobe is here too helpx.adobe.com/acrobat/using/setting-action-buttons-pdf-forms.html#add_a_submit_button.
      I also found this which may answer why its still not working for you: "The issue is that the "Send" uses Java script. Java has been deemed a security risk and the major browsers are blocking downloaded Java from running when the script call the user's email client. (When your user downloads your form, the Java script is embedded in the form). The Reset or Clear form button still works. If Acrobat is installed on the user machine, there is a setting somewhere that allows the "Send" script to run."

    Hi Ashlea. I just have one question; I did a truckload of work in InDesign setting up lots of radio and check boxes on my form. I've used my own icons that match my branding elements and set them up to work with on and off mode. I've even duplicated the icons on a different layer so that they show thru the blue faded area when viewed in acrobat. However, I can't for the life of me figure out how to remove the acrobat check box and radio button icons that replace my indesign icon when I select a button. There is nothing the PROPERTIES>OPTIONS dialog box to switch them off. Did you have the same issue with the checkboxes you created in the video?

      Hello! My goodness, I am sorry I missed this comment. Now this is a common question, and you can remove the acrobat check box and radio button icons by going to the Acrobat Preferences panel. Select the Forms tab, and then deselect the Show border hover color.

      Hi Ian, Thanks for watching! Font sizes between 8-12pt is good, depending on the font type. I generally use around a 10/11pt. But remember that there is the zoom function for people who need it much larger. :)

    Thanks so much fr the tutorial! You covered all aspects of what a person would want to accomplish with an interactive form in PDF format. Super easy to follow instructions.
    Do you know if there is a way to place faded text in the fill-in boxes, that disappears when a person starts typing their information in that box? (e.g. Let's say I have an area on a form dedicated to Contributors for a book. I make a combo box with a list of possible contributor types to choose from, then in row following that I would like to have two fill-in boxes for the First Name and the Last Name, without actually labeling those boxes separately.)

      Hello! Thanks for watching! There are a few ways you can add in info to the fill-in field boxes without a separate label, and this is within the Text Field Properties (right-click on the field box to access the properties panel). From there, you can go to the Appearance tab and enter in a tool tip - this shows up when the user hovers over the field, or the other option is adding in a default value to the box by going to the Options tab and entering in the default value such as first name. Hope this helps.

      @@AshleaSpitz Ah hah! It took me a bit to figure it out, because I was looking for this in InDesign. Instead your instructions are for Adobe Acrobat DC. It works perfectly!!!
      I prefer the second option for my purposes. I'd rather the person seeing it and not having to hover over the box to find it.

    This is a great video! Thank you. I only have one problem, where the PDF allows for text to continue to be written in the box, but I cant seem to scroll down to see it. any idea how to change it please?

      Ahh, yes make sure that you have 'multiline' checked on in the field properties. That should do the trick.

      Thanks for your feedback! Yes there is a way to do this. It involves a little bit of JavaScript but it's doable. I think I will add a tutorial for that in the future, since its a great option to have. :) To begin: you will need to select the text field in Acrobat, right-click and go to Properties. Go to the Appearance Tab > Make sure you have a font chosen other than Auto. Next go to the Options Tab > DEselect the Scroll Long Text, and then next go to the Format Tab > Select Custom from the format category drop down menu. Now you add in this bit of code to the Custom Keystroke Script box (click the edit button to enter this in). Don't forget to change the names to your field box names you want the text to flow from and to.

    Is there a way to add the date without adding it on in Adobe Acrobat? The free version does not allow you to prepare a form.

      Hi Monica, unfortunately this isn't a feature yet in InDesign to do that interactively, however, you can use a text variable to insert different dates. You can create one by choosing Type > Text Variables > Insert Variables to place the marker in a text frame.

    How do I return to InDesign to edit the form, without losing all the Acrobat work? Is that possible, or do I have to start over again in Acrobat each time I make changes in InDesign?

      Hi Dr. Sarah Rattray, thank you very much for watching! That is a great question and something that Adobe really needs to work out in new releases. The short answer is unfortunately you can not override the updated design in Acrobat, so if you make any changes in InDesign and export the PDF, then you will also need to update the Acrobat manually each time. Adobe really needs to integrate more Acrobat features into InDesign. If it is a small design update you want to make, you could use the 'Edit' function in Acrobat Pro to adjust and edit some design elements.

      That's what I was afraid of, now I can at least stop searching for how to do it!
      I will see how much I can edit in Acrobat. For example, if I want to change the wording of a prompt or title, maybe I can do that in Acrobat, but if I update the graphics I assume I can only do that in InDesign.

    Hi Ashlea, loved your video and learn a lot. Does the highlited fields show on the pdf when you sent to a client? or is there a way to save it so that they wont get the colored input fields and changed checkboxes?

      Hi Sofia, thanks for watching! Yes and no, there is a function in Adobe Acrobat under Preferences > Forms that is device dependant where the user can select to show the border hover color and highlight fields. If it is turned off then the user will not see these colored input fields and will see the customized input fields design you create. Same goes with the check boxes.

    Hello! Thank you so much for your incredible great tutorial! I am trying to create a checkbox that is round with a dot in it. But when I export and view it in acrobat reader it becomes a square instead. Is it possible to come around this and make it round instead? In acrobat Pro everything looks and works
    fine.

      Hi Agneta! Thanks for the lovely comment. Yes you may be experiencing that because the Acrobat preferences are overriding your InDesign settings, so you will need to go to Acrobat Preferences > Forms > then uncheck 'Show border hover color and fields.'

      Thanks for your reply! The thing is that the ones that Will open and use the interactive pdf will sometimes have only reader or Preflight. That is why I wonder how to best make it look good for every user? Do you have another idea for me?

      @@agnetawahlin1 As for your questions regarding the functionality in Preview vs Acrobat, the short answer is that for interactive PDF's, not all readers are equal. Yes, it's not always a one stop shop unfortunately. Therefore you will get inconsistencies in readers that are not "Adobe friendly". The default viewer for PDF documents in Mac is Preview. Preview will open PDF documents for viewing but it will NOT display dynamic/interactive content embedded into PDF forms such as drop down menus and calendar features. For Mac users to be able to see this content, they must tell their computer to open PDF files with Adobe Reader. This is sort of Adobe's way of keeping things in their own platforms. Similar to how some files will only work for PC vs Mac. The only other workaround for an interactive form to be consistent across all views would be to put it online in a web page.

    Excellent video Ashlea thank you. One question regarding the Submit option. Is it better to set this up in InDesign or Acrobat? So it sends the filled PDF via email to a specific mail address?

      Hi Andre', Thanks for watching! It totally depends on how you prefer to send it. When you create submit in InDesign, the form is then simply emailed to the email you appointed. While in Acrobat there are features that you can send a PDF that requires a signature via the Fill & Sign tab (powered by Adobe Sign). It will then track your PDF and send you a notification of the email being sent as well as when it has been opened. Once it's been signed you get a certificate notification. There are many other ways in which you can send information through a PDF, it will depend on the requirements you need. InDesign submit buttons are more of your simple and no frills option. Hope that helps!

I've watched a couple of videos before yours and never did they mention that you have to save it as interactive and not print. That's the only lacking knowledge that held me back from finishing my interactive pdf form.

    How do you price something like this for a client?

      Hi there! There is two parts to this answer: 1) if you are pricing out an interactive PDF as a service, then it should be based on the amount of content you need to format and design as well as the type of content you will be creating. You can price it either hourly or a flat fee (which I suggest a flat rate based on # of hours). 2) The other answer is if you are trying to price a Creative Brief out in particular - I suggest that it should be part of the design process for the project. It would be included in your pricing model for that service. So for instance, if you are creating a brand identity for a client, then this would be something you would use during the discovery stage of your project.

    I'm following your video carefully and am almost able to create my own check boxes except when after replacing InDesign's check with my own then I cannot delete my check as I grouped it (circle and check). I tried ungrouping and deleting my check in the duplicate but that didn't work either as it lost the link as a check box. any idea what I'm doing wrong?

      Hi Mike, I suggest to use your direct selection tool (the white arrow) to carefully select the check mark and then instead of deleting it, right-click and then select cut.     Hi Ashlea. Thank you for this; you were very clear! I am not sure how to have multiple text fields but with different events. Is that possible? Or will one event ("on click", or "on release or tap" be the only event that will apply to all text fields? I understand that it may not be user friendly to have different events but I'm trying to just see if this is possible. Thank you! :)

      @@AshleaSpitz I figured this was possible however it does not seem to be possible for me. Even when I create a new field, it automatically defaults to the event of the previous text field. And then when I try to make this new field have a different event, all other fields will automatically switch to this new chosen event. Any idea why this may be happening? Thanks!

      @@ashleighhuzaMake sure to rename the event. If it still happens create a new field from a new frame (ie. Convert frame to field). Alternatively you can edit the field states in Acrobat. But just ensure they have different names.

      Yes, you can format the text properties in Acrobat, so once you export your Interactive PDF, open in Acrobat, and choose the Prepare Form tool, then select the field in which you want to format the text, right click and choose Properties. In the text properties window, go to the Options tab, and choose the alignment you want. You can also select multiple fields at the same time and change all the properties together.
