they are many short comings with this tank design I can see so many mistakes with your setup the pipes the over flow setup the open access set up. the drainage set up the pipe setup.
The things you did that i like are the colour differences for the intake and output of the flow of water netting for the tanks solid unobstructed grounds for your tanks great lighting all these are great but as for the rest of you setup needs plenty work as to reduce labour cost.

It varies. Every 4 hours, small amounts when the fish are younger and then twice daily when older/bigger.

Keep water in it for a week to let chemicals out then it will be treated then
Add new water and age it for a month then add fish
