I cannot tell you enough how helpful this tutorial was. You've made such an excellent format and pace for quickly executing the build, while taking the time to explain some of the more nuanced functionality of Notion as a software and its formula language! I've been lightly using Notion for about 1.5-2yrs, in an attempt to create solutions that work both for me (a data/excel numbers nerd) and my partner (a mechanic who is brilliant but extremely practical/visual) that keep us on track financially, among other things. These two videos (the subscription tracker build, along with this add-on build) solved a LOT of the issues I was having with creating raw Databases and/or modifying downloaded templates. I am so grateful that you've shared this freely. Thank you 100x

One question: At 11:16 in the video you show how to "Show as "Page section" " But that "Show as" is not available for me. Is it a paid function or any tips?
I'm so glad you're getting a lot out of these videos! Notion recently made an update that buried that Page section option DEEP in their new Customize Layout option. While I love that we can customize our pages a bit more, I don't love that it's not easy to show properties as a page section! Here are the new instructions: 1. Hover above the page title to open the Customize layout menu. 2. Select the `property panel`and click on your property in the sidebar. 3. Select `Add to layout`. 4. Open the menu of the new property group and select `Advanced`→ `Add to relations group`. 5. Select the property in the sidebar again and `Show as` → `Minimal` 6. Save by clicking `Apply to all pages` in the top right corner. I hope that helps!
Hi Kaylyn. I love this video & how you take time to explain everything. I'm fairly new to Notion, so I really appreciate the time & effort you put in to explain the build process step by step. With regard to the "Auto Pay" checkbox, I don't see how that really helps the manual process of recording your expenses unless an Automation can be setup where by on the due date, it creates a record in the Transaction database to actually record the bill being paid. I'm considering getting one of the paid plans of Notion to fully unlock Automations; but I thought some features of Automations were available without a paid plan. Again, thank you for this video - it has given me a good start in building my own bill tracker.
I'm so glad this video was helpful! The Auto Pay checkbox is mainly a conditional property so we can say "if the box is checked" then our due date text is black. If it's not checked, then our due date text is a bold red color, so we know that we have to manually go in and pay that bill. Unfortunately, you wouldn't be able to use an automation for recording a transaction since automations don't work on formulas (and our "Next Payment" date property is a formula. But you don't technically need to record any transactions in Notion for Auto Pay bills because they just come out automatically of your actual bank/credit card account and you don't have to keep track of them. I hope that makes sense!
Hey Kalyn, love this template so much thank you!! I'm just wondering if there is anyway to somehow incorporate your income as well, so I can see if I'll have enough each month/week, to cover said expenses... if that makes sense?
Yes, it does! You could create a new "Income" Database, and every time you receive income, enter it into that database. If you want to always have a Monthly View of what you earned, you can create a *linked view of a database* on the main dashboard page and filter the dates to show just *this month.* Then, you can calculate the sum at the bottom of that database (only in Table view) to compare the two. It's kind of hard to explain via a comment, but it can be done!

Your explenations are on point, thank you🫶🏼i really learned some key points, even though I already made some complex formulas myself :) And for the button: you don‘t have to make it default :) first it will just say add page to…as empty but when you click on empy you can select a template 😊 in this case it doesn‘t really matter, howevet it can sometimes be really helpful🌝

Hi Kalyn! I enjoyed the video and think this is going to help out a bunch. What is the best route to "retiring" a subscription from the table? A scenario is where I cancel a subscription like Netflix, I want to remove it from future payments. I would still like to look back at past months and see payments for historical data or if I had notes. Just looking for ideas.
Awesome! I'm so glad to hear that! I would create a Status property so you can have an "Active", "Cancelled", or "Paid Off" status for each of your bills. Then if you are using any formulas to calculate your current monthly budget for each bill or subscription, make sure you use an IF statement to only count the Active subs.

Hi! I created the bill tracker but didn’t realize after the day bills were due, the items would move to the next month. I know this is likely due to the formula but is there a way to make it NOT do that? I’d like to see historically that my bills were paid incase I miss one or need to go back.
Yes, that's how the formula is supposed to work! Unfortunately, there's no way to "duplicate" the bill to recur unless you set up a recurring database template, which you CAN do. The only issue with this is you won't see the bill appear for the next due date until the actual date. It's something I really wish Notion would change! If you stick with the formula, the overdue section on the bill tracker will catch whatever bills haven't been paid (based on a manual record of transactions), so that should help catch a bill if you missed the due date. A third option is to disregard the formula and manually duplicate all your monthly bills (a.k.a. each Notion page). If you go this route, I would just set up a button to add those bills to the database automatically in one click.

I did some more digging and Notion only seem to support cycles of Daily, Weekly, Monthly and Yearly on Repeated templates. Unfortunately, I have a subscription that I get a charge on a Quarterly basis 😒. I can probably get around it by using a Monthly repeating template - I'll have to remember that it actually is charged Quarterly. I still don't yet know if a record will be kepted in the database after the Due Date even with these repeated templates. I'll have to continue to look into this.
Remember when I told you, that quarters didn't work for me? Yeaaaah... Turns out I might have spelled quaters instead of quarters. Sometimes English not being your main languages can throw you over quite a bit. Most of the time the first "r" isn't quite as prominent when people actually say the word so I always assumed it doesn't have one 😅

When you've paid the bill, change the date to the next month! There may be automations that will do this, but I wanted this to work for everyone!
