    Love this! Recently joined a company that use Google Workspace but immediately picked up that everything is an added app with a subscription. Most ironic part of all is that every single user also has Microsoft apps and still uses them 🤦🏻‍♀️ I’m now busy with an application / tool rationalization exercise to show the true cost of what Google Workspace is costing the organization. I believe what Microsoft offers as standard features far outweighs Google’s offering.

      You are kidding, right? It's Microsoft where every single service is an add on, with added cost. Which services are you referring to that cost extra for Workspace? The only thing I'd can think of right now is ChromeOS Enterprise licenses or Gemini AI. (But you also pay extra for those things with MS.)
      You get something really, really basic for free from MS, for sure. (Basic to the point of being useless, IMHO.) But if you want the proper thing, you better hold open your wallet... You want your logo in MS Teams meetings? You pay extra. You want to manage your devices? You pay extra. You want compliance and security? You pay extra.
      Aside from that: a Microsoft environment is exponentially more complex to configure and secure properly. There are at least half a dozen dashboards which sometimes have overlapping settings, while at other times you can set a certain function only in one, but not if you have set another function in another dashboard.
      With MS, we need external consultants to come in for several days to do it right. With Workspace I can do it on my own in one morning. There is a single dashboard to control everything. If I compare the device setup: For a Windows Laptop that costs me ca. 900 Euros, I need ca. 4 hours from unpacking to get it ready for a new user (updated Windows and drivers, bloatware deinstalled). A Chromebook that costs me 500-600 Euros, I have up and running (updated) in less than 20 minutes. Regarding security, Windows machines are swiss cheese... Chromebooks are FAR less susceptible to attacks and ransomware resistant.
      And do not get me started on MS365 / Azure / Intune constant incidents, outages and idiosyncracies... Not a day goes by that I don't have a user who has some issue or another. Can't open files in Teams, mysterious errors in Outlook, Account in Excel suddenly logged out while the user did nothing.... And we only have 110 FTEs and 2 support staff. We are working more than full time to keep everything working.
      Or their constant renaming of products that even our MSP gets confused. (Yeah, with MS365 you basically NEED an MSP. Workspace is so easy, anyone who is the least bit tech-savvy can run it.)
      Also: MS makes it impossible to remove the tracking function in the new Outlook (hundreds trackers in there) and transmits usernames and passwords of non-MS accounts (i.e. your private account you add) in the clear to it's own servers. petri.com/first-ring-daily-over-700-trackers-in-the-new-outlook-for-windows/
      So I just did the excercise the other way around.

    Such a similar scenario to you! Thanks for this video! Going through the same with my agency soon. 365 surprisingly has become better for collab tools, outlook add-ins, now more affordable and the light admin center is now easier to use than google workspace admin.

    OneDrive had one thing going for it: Your critical files are backed up to the cloud. If you have to do a clean install of Windows, nothing is lost.

    Liked your take and found it helpful. I used to be a MS windows user during my corporate days. I have since retired but am involved with a couple of startups and looking at starting a new venture that could if successful grow very quickly in terms of staffing. I use a Mac and I am in the Apple Eco system with hardware but still use microsoft 365 for the office suite. I use Google for gmail and all my current emails are gmail based. I would like to pick a platform to minimize the number of other apps with my new venture. I think you have convinced me that 365 is the way to go. I may still keep dropbox as I find it really quick and easy. For my personal use I use a few Apple apps, like reminders, photos and notes. Again, thanks for this video, I just subscribed to your channel.

    My understanding about storage is M365 tops out at 50GB of mail storage, and has a separate quote for file storage, as compared to GW that combines your total storage for mail and file storage.

      M365 have licenses that offers upto 1.5TB of mail storage, including auto expanding archives

    it's time for open standards (file formats, features), to be used in businesses. It's INSANE, that you cannot choose which tools to use, because of compatibility issues, that Microsoft enforces on purpose. seriously FUCK that behavior.. Being TOO dependent on ONE vendor/developer is VERY DANGEROUS! Being able to easily switching tools, while still being able to fully use the files, is ESSENTIAL for the future. Time for companies to WAKE UP.

    I am using both suites for years now. Ms is slow and Leggy vs gsuite is snappy and clean..Ms have lots of out of the box features but in gsuite its all achievable by apps script. I wish I can move completely to gsuite.

      you will, G Suite is constantly adding new features and schools and university nowadays only use G Suite, future professionals will find it more familiar than Office

    Do you still use your gmail emails and calendar in Outlook? Did you loose the ability to use Labels and other features gmail ?

      Labels are just folders within outlook.
      Google is more about using tags which are the labels.
      Microsoft tend to be be more hierarchical based,.folders etc

    I'm really interested in switching my firm over from Google Workspace to Microsoft 365. The cost aspect you mentioned is huge, especially if you use many subscriptions. My firm uses Slack, and we're paying almost $200/month for it. And with Microsoft, Slack functionality is included in Teams!

    The biggest advantage between Google workspace and O365 is not the apps, it's the security. In O365, the account can be tied to a device via MDM. Google doesn't give two shits about MDM and MFA which is why most data breaches usually happen in environments that run off of Google products. The biggest selling point is their ease of use - you can have a small company and set up services without even being an IT. That is also its achilles heel.

      Not true, google does give a fuck.. it offers MFA just a well as o365 does, their implementation is different. MDM is not a holy grail, it also has cons.

      MSFT security and compliance features are a major reason many startups, unicorna and decacorns move to M365.

    really struggling to find help or a video on what to do if you've been using gmail for years for work and have tens of thousands of emails with that account, and have been using gmail through outlook along with all the folder set up to organize your emails. but I'd like to finally transition to a more professional email address to use along with our website. what's the best option? where I can use the new email within outlook, ideally be able to organize emails into folders but also have gmail keep working since i'll still get work emails to it....

      I would choose Google Workspace and migrate your Gmail to it. O365 has been a headache.

      If you switch to workspace there is an import tool for that in the Workspace Admin environment. Folders will be taken over by Gmail as tags (just like it is now if you log in to the Gmail webclient).
      If you want to migrate to Microsoft I see no other way than logging into a mail client with the MS account, recreate the folder the structure and copy each folder over with Ctrl + A and then drag and dropping it into the new folder.

    Outlook sucks. The search functionality is all over the place and html formatting for it is a nightmare. Teams constantly crashes. As somebody who has worked with both, I am going Google. And exactly for what are you using spark for? Gmail has chat and calender integrated. Just as outloom. So same feel in the mobile version.

    How do you feel almost a year later? I recently attempted switching to 365 Bus and OMG - 10 days and hundreds of $ and dozens of hours later I spent Thanksgiving holiday wiping MS Office setup and wiping Windows 11. Exchange, Entra, and Home Admin was a mess! After setting up Outlook, my OneNote stopped working - it wouldn't sync. Four MS 'ambassadors' and hours on the phone and remote assist...no help. I need to get something hooked back up before Monday and I am seriously considering going back to Workspace because I'm scared to death of trying MS again. I don't know what went wrong (we didn't even migrate anything!). MS seemed so slow and my internet speeds are blazin' with all other sites. All I can figure is MS bloat because of so many apps: Outlook, Teams, Dev (and I can't get rid of this - so much I don't want)....anyway, as I'm sitting here trying to decide what to do I was hoping you could give me 'one year later'.       That kind of experience is exactly what we are seeing: services not working, less than helpful support and very expensive in both time and money. Personally I have been running Workspace since 2006 when it came out. Never had a single issue.

    Fantastic summary! I own my own custom domain, and I personally use a different email prefix for every company I work with, and every subscription I have. I really like the idea of Microsoft 365, but I've heard that you can't implement a 'catch-all' mailbox accessible by one login account, where any email prefix on that domain will get delivered. Is that actually true? You can kind of do this under Google Workspace with Default Routing, but I don't like the sketchy support Gmail has for Outlook with custom domains.

      I’m not sure. I ran into a lot of unexpected issues with 365 including a ton of unnecessary complexity. I switched one account back to GWS and might bring the other one back soon.

Like I want to use my email (microsoft email) both on my laptop and desktop. Is it possible to use it on two different computers on the same time ?

      You could certainly do that. I’m sure there is a limit but it’s likely a limit of simultaneous connections, not how many devices are logged in.

    I've been a die hard Google advocate for as long as I can remember, but unfortunately I too am switching out business over to Microsoft.
    It's a shame. Where they're falling short seems like it would be such quick and easy fixes for them too :(

      You can but wouldn’t be able to send email there without making DNS changes. Then you’d have email in both places that was not in sync until you made a decision. I’d recommend using Outlook with a Gmail account or something like that for a while to see if you like the experience before committing to a full switch.

    Can I-Cloud be used to sync the devices with MS Office? I have an I-phone, I-Pad Pro and MacBook Pro. Can I use the devices to go into Office and One Drive and get my content? Thanks for a great video. I subscribed.

      Yes sure as long as you are signed in to same accounts accross these devices.

      And you would not be using iCloud for that, you need to install the Office and OneDrive apps from MS. But yes, you can get to your content.

      I should make an update video. Though Microsoft has a lot of build in tools many of them seem half baked and I've experienced frustration with some of them.

    Microsoft 365 Business Premium will give users 5TB of storage if there are 5 or more people in the organisation. This feature needs to be turned on.

      Yes there is for migrating email and calendars over. I didn’t have to migrate anything in Google drive because I was already using Dropbox. I should make a video about it because it was quite an involved process due to the way Google handles data connections. It required connecting Microsoft to the Gmail, Calendar, and Contacts APIs in the Google Developer portal.

    4:50 the thing for me that pissed me off. Was they told me I would have to pay for a higher tier of service to get TH-cam. Something that is already free for FREE USERS. Support was completely useless. And then I zip up all my Google drive foldersd and I reinstall Google Drive on my Mac and I go to unzip my files and all the .gdoc (google docs) files won't upload because it says "they're corrupted" which is BULLSHIT. They're not corrupted. it's just you can't operate Google drive like every other file system from the dawn of computing which is pure incompetent stupidity.
    Then I notice Google drive doesn't have a "go up one folder" button. And then the button to traverse the parent folders the drop down is reversed from what you'd expect in every other file system (parent, parent of parent, etc, etc) Google drive starts with the ROOT folder first.
    So ridiculously dumb.

      I don’t think so. Countless businesses use Microsoft 365 for email. Email has been at the core of their business services for decades.

      If you expect support from Microsoft you will be bitterly disappointed. Here is how it works for us: You run into a problem, contact your MSP first. If they don't know the fix, they'll open a ticket with MS and you will never hear from it again. If you open a ticket with Microsoft Support, you will get someone from India or Bhangladesh who barely speaks English, will ask you a ton of questions and asks you to submit logs and what not. It will take weeks if not months. Then all of a sudden, you don't hear from them again.
      And what issue are you running into with Google?

    Smart choice, google workspace is outdated and barely have any mordern product management.
    + Teams have tasks management, team sprint planning while google doesnt have. Google still use mainly email or issue tracker (extremely outdated with hotlist ) to manage works and tasks internally. Imagine a long reply of 20+ppl in an email to discuss about an issue, I was horrified while seeing that in 2023.
    + MS is now moving really fast with AI. Also it cooked notion with loop now.

      Are you kidding...?!? If a user in MS365 deletes a task board in Planner by accident there is no way to recover it. (Ask me how I know...) Yes, MS supplies a more advanced task manager than Google, but it is insufficent all the same for critical things. Because they follow different philosophies: MS wants to offer a tool for everything, as shoddy as it might be.
      So many Microsoft products are outdated: when did OneNote get the last bigger update? Or Sway? Delve? Or SharePoint? And that's just what I can list off the top of my head.
      Google focuses on the core services: Mail, Calendar, Contacts, Files and wants to do that well. Those prodcuts get real improvments all the time. Improvements that are actually useful. In addition, Workspace offers some basic tools to get you started for the rest (Tasks, Notes) but they believe you will switch to a specialized solution once your needs exceed what they offer, which is why they make it so easy to set up integrations.
      And to "MS is now moving really fast with AI"... yeah... too fast. Not considering rules and regulations or best practices. Let alone user privacy. Because Recall was such a resounding success... Copilot is immature to say the least. There are multiple lawsuits already for all kinds of things Copilot did: from leaking data to outright libel.

    I am about to start a project that collaborates between locations, however, the locations are not using the same platforms. Some use M365, some on google. AnY advice on using a collaborative platform that everYone can see and use?
