For example if I have salt in my weekly staples, but then I also add a recipe with salt into the shopping list. How can I avoid having it show up twice? Can I somehow link the ingredient?

This is so awesome! I used your templates to replicate my own version on my own. I found it really helpful to step through it and learn how to do it so I understand the concepts for other projects. So grateful for you creating, sharing and explaining the system. It's not simple but once it is working it is SO COOL! I love it!
Unfortunately you'd need to create a duplicate recipe for that to happen! Or if you're eating a specific meal over consecutive days, I would toggle the "End date" on the date property to have it span across multiple days in a week.
Just recently come across Notion looking for a one size fits all to replace Trello, Evernote, OneNote etc. etc. I love the idea of the dashboard you have and it seems to do everything I would like. Trying the recipes to start with! Thank you for such an inspiring video:)

I have another issue that I canot figure out, when I add Ingredients directly into the property they show up on my master shopping list, but when I put them into the table of ingredients under each recipe they do not show up for me under my shopping list
Hi Kat, Thanks so much for this template. Everything is working great for me except for one issue. When I duplicate the ingredients list then copy and drag to the database it does not populate it as a list but is a page in the first line of the database. so I can't go in and assign an aisle to it. Are you able to explain this a bit more? Thanks
Hmm that's a bit strange. Is the initial list of ingredients in bullet point /checkmark form with line breaks between them? If they are all on one line or don't have some sort of formatting breaking them up, the database may be recognizing them as one single item.
I was wondering about this. Seems it's the only limitation with the template. If you have 5 meals that need bell pepper, the shopping list will list 5 entries of bell pepper. We need notion to somehow add these up and put them into the shopping list as 1 line item but calculate the quantity

Im sure there is some way to fix it but i am not good enough at notion to know ahaha. I have so many repeat ingredients because I really use a lot of the same things like cilantro in everything

I love the visual parts with colours and pictures, also how you can combine the ingredients with the grocery list! Would be awesome if it was possible to have a pantry list with what you have available as well, and have notion remind you that once you create a grocery list. I sometimes forget what I have

Hi!! I hope since you edited your comment that perhaps means you figured out what was going on! But I had a look at my template and there is an ingredient table there at the bottom, but the issue may have been that the table was in a synced block (aka if you hover over it, there is a red box around it, meaning it will sync across all new recipes you create). All you need to do is edit the template and hover over the Ingredients table, click the three small dots on the right-hand side, and select "Unsync all". Alternatively, if you'd rather start over, I've unsynced the block in my original template so hopefully that fixes it!! You can just duplicate my page again and it should work. Let me know if that helps 😊
Thanks for this! Really wish you elaborated on how to create the advanced filters and synchronicity between your Recipes Boards and Shopping & Pantry List... Like how do you get the queued list to populate after checking the add to grocery list checkbox in your recipe board!! Ahhh
I created a 'Relation' property between the recipe database and ingredient database first. Then on my shopping list, I created a rule so that any ingredient that was related to a recipe with 'Add to Grocery List' checked, would populate in the shopping list. It's hard to explain and show, so that's why the free template is helpful because those relationships are pre-made for you 😊
Suggest adding a property for the shop (not only the "aisle"). That's how I did it in the Food Court template. Rather than using an "aisle" property, I use various tags (fruits, vegetables, meat, etc. ) and in ADDITION a "shop" ("where?") property. This deals with the fact that I usually go to various shops when doing my grocery (supermarket, butcher, bakery,....). Your shopping list on your mobile will guide you through the various shops. Contrary to your statement, this can easily be achieved by having "properties" for the shop and types already in the Products database (which I then roll-into the recipes database). I then provide for an additional property "Actual source" in addition to the "Regular source" property which i roll-into the recipes database from the products database. This deals with situations where you use a different shop.
I tried to make something similar to this today but couldn't get my head around how the linked databases would work. This is absolutely fantastic and I thank you for providing the template for free. It's going to save me and my partner a lot of time once we have populated it! Thanks so much 🙏
Hi Kat. Awesome notion page and thanks for sharing! I see the "Got it" and the "Added to grocery list" checkmarks in the ingredients table. Does the "Checked" checkmark property serve a purpose? I cannot seem to track down where it's being referenced anywhere.
Thank you so much for creating this template! I would recommend one slight change with the formula tho because when you have multiple recipes with the same ingredient and you check the box to add it to the grocery list, sometimes the ingredient doesn’t populate on the list. In the grocery list the formula can be changed to “add to grocery list” “any” is “checked “ instead of “every” is checked
After getting frustrated with the Related To ingredients on the Recipe not updating, I realized that it was linking back to the template ingredients instance on your instance, rather than mine. Something odd with the import. I deleted the linkage and recreated it and now it works. I also had to update the part of the template that says to filter ingredients to just that recipe. Seems to be great now!
I'm looking for a meal plan app and found this instead which is amazing because I don't like keeping track of multiple apps. I might also do my expense tracker similar to this. I haven't explored notion yet but hopefully i can export the table to excel
1 year later here. Question, how do you deal with quantities? Two different recipes have onions. How does this handle that? I have seen my wife struggle to manually pull this stuff together. We built something similar but couldn’t connect the databases. Now I get to modify what we did to automate it just like yours. Thanks! I have a questions tho, lets say im making a carrot cake, a carrot soup and a carrot pie.. whenever i add them, its adding 3 inputs of carrots.. im wondering if there is a possibily to add them together... (ie choosing the ingredient from a list and selecting the amount (either in weight or in numbers?))..
I think what you're asking is if the system can recognize that there are multiple carrots on your ingredient list and to add them together to create one single carrot item. If that's your question, then sadly no that can't happen with this template. It will show three separate instances of carrot on your shopping list and it was a bit complicated to try to get the database to perform this function. I'm sure with some research and tweaking someone could make a version of it that does this!

If you click into the Shopping List page itself, there should be a “In My Pantry” tab there. All instructions on how to sync it onto your main recipe page are in the instructions 😊

Hi guys! Thanks for bringing this to my attention. I've spent some time on this with the team at Notion and seem to have it sorted. Try duplicating the template now and it should be working.
I'm sure you could - I just didn't have the patience to create the formula haha! I'm sure it would be fairly straightforward if you used an if-then equation
I LOVE this!! Thank you! The one issue I ran across is that I accidentally clicked "Add to grocery list" on one of my recipes, adding it to the shopping list as it should. But then when I unchecked the "add to grocery list" button, it did not remove the ingredients from the shopping list. I then just deleted all of the ingredients, which I didn't realize would also delete it from the Ingredients in my recipe. Although if I checked all the ingredients to get rid of them it would say it was in my pantry, which also wasn't true. Is there a way to delete the ingredients from the list, without deleting the ingredients from your recipe? Thanks for everything!
Hey there!! That’s strange, the ingredients should auto-remove on their own when you uncheck ‘Add to Grocery List’ on the corresponding recipe. Sometimes Notion can be glitchy so I would recommend refreshing your Notion page to see if that makes a difference. I didn’t set up an option for ingredients that aren’t in the pantry and also aren’t in the grocery list, simply because I prefer the simplicity of a checkbox. I would say if you want a third option, you may need to look at changing the checkbox property ‘Got It’ into a tag selection property instead. That way you can have more than two options. I just prefer the option of a checked box vs an unchecked box. You’ll have to play around with it and see what you prefer and set the filters accordingly ☺️ Hope that helps!
Hi, I really like this. I have a question because I'm trying to build my own template for my own unique needs. When I embed the ingredients database in my recipe card I get all of the ingredients in the entire database. How do I set it so I only get the ones that are required for the recipe to display? Thanks in advance for your help!
A filter will help with this: create a filter by clicking the dots on the right hand corner of the ingredient database so that it only shows ingredients where the recipe contains the name of the current recipe page. If you use my "New Recipe" pre-made template, it should automatically create this filter for you!

Hey Andrea! Have you tried refreshing the Shopping List page? Sometimes Notion can be glitchy. I've found refreshing updates the database. If you're still having issues I'll contact the Notion team :)
Hey, small catch here. Whenever you add a whole new recipe you need to be careful with the ingredient names to be matching with rest of your recipes(the standardisation) ex: if its “cereals” then while creating a new recipe it cant be “brand name” make sure it is standard for all or else, it will break the subtotal

okay i will not probably make what you are showing in this video, but I just imagined how I go to every shop I go to and make database for aisles and tag items and then link them to recipes, add prices of the items so I know what is cheaper at what store 😂😂 idk it's just funny to picture, also great video, thumbs up for effort!
Found and watched your video in the hopes of figuring out how to auto-clear the shopping list once everything is bought, but looks like you too are on the lookout for this solution. With the new automation feature I think it might be possible, but Notion's free plan, has no automations. Maybe a sophisticated formula could do the trick. 🤔
I do copy-paste from the original recipe into the ingredients database but sadly it does require some manual intervention to ensure I add the correct aisle and other relevant properties to each ingredient.
Hello Kat! I just found this template and I have met an issue >< when making a new recipe and adding the items to the related ingredients tab they do not synk with the table inside the recipe. Do you have a suggestion on how to fix that? I am still very new to notion ^^'
If I’m understanding correctly on what you mean by them not syncing, my suggestion is to check the ingredient table filter on the specific recipe! Make sure the filter denotes that the ingredient must contain the recipe name it’s connected to.
@@katjohnstonl thank you! My problem is then that I have multiple items in the same recipes so I have to hide the recipes that are not the one I want on the meal. Example: For the recipe for Cajupanerad kyckling (sorry they are in swedish), I also get the 17 meals that have similar ingredients, even if it is just tomatoes or something like that. I did not notice this in your video and for now I have simply hidden the other recipes. I am sorry if that is confusing ^^'
Hiya! Usually within each ingredient I name how much I need of something. So if I need 1 can of beans, I will add the ingredient name as "1 can of black beans". So when I look at my recipe list, I can see how many cans I need. Sadly this template doesn't add up ingredients (e.g. if I have two recipes that both call for black beans, Notion won't give a total sum of how many beans in total you'll need), but if you have the ingredient list sorted by aisle then you should be able to figure out at-a-glance how much you need. Let me know if this answers your question!

I love the visual parts with colours and pictures, also how you can combine the ingredients with the grocery list! Would be awesome if it was possible to have a pantry list with what you have available as well, and have notion remind you that once you create a grocery list. I sometimes forget what I have
For pantry list I mean what you already have at home in your kitchen, so I don't need to buy extra spices etc.
This Recipe Template is so thought through and awesome! Thank you so much for sharing it with us. I am a bit overwhelmed with all the options etc. but i will get there haha and that is why its called "Advanced" I guess.

Hi!! I hope since you edited your comment that perhaps means you figured out what was going on! But I had a look at my template and there is an ingredient table there at the bottom, but the issue may have been that the table was in a synced block (aka if you hover over it, there is a red box around it, meaning it will sync across all new recipes you create). All you need to do is edit the template and hover over the Ingredients table, click the three small dots on the right-hand side, and select "Unsync all".
Alternatively, if you'd rather start over, I've unsynced the block in my original template so hopefully that fixes it!! You can just duplicate my page again and it should work. Let me know if that helps 😊

Thanks for this! Really wish you elaborated on how to create the advanced filters and synchronicity between your Recipes Boards and Shopping & Pantry List... Like how do you get the queued list to populate after checking the add to grocery list checkbox in your recipe board!! Ahhh
I created a 'Relation' property between the recipe database and ingredient database first. Then on my shopping list, I created a rule so that any ingredient that was related to a recipe with 'Add to Grocery List' checked, would populate in the shopping list. It's hard to explain and show, so that's why the free template is helpful because those relationships are pre-made for you 😊

Suggest adding a property for the shop (not only the "aisle"). That's how I did it in the Food Court template. Rather than using an "aisle" property, I use various tags (fruits, vegetables, meat, etc. ) and in ADDITION a "shop" ("where?") property. This deals with the fact that I usually go to various shops when doing my grocery (supermarket, butcher, bakery,....). Your shopping list on your mobile will guide you through the various shops. Contrary to your statement, this can easily be achieved by having "properties" for the shop and types already in the Products database (which I then roll-into the recipes database). I then provide for an additional property "Actual source" in addition to the "Regular source" property which i roll-into the recipes database from the products database. This deals with situations where you use a different shop.

Hi Kat. Awesome notion page and thanks for sharing! I see the "Got it" and the "Added to grocery list" checkmarks in the ingredients table. Does the "Checked" checkmark property serve a purpose? I cannot seem to track down where it's being referenced anywhere.

I would recommend one slight change with the formula tho because when you have multiple recipes with the same ingredient and you check the box to add it to the grocery list, sometimes the ingredient doesn’t populate on the list. In the grocery list the formula can be changed to “add to grocery list” “any” is “checked “ instead of “every” is checked

After getting frustrated with the Related To ingredients on the Recipe not updating, I realized that it was linking back to the template ingredients instance on your instance, rather than mine. Something odd with the import. I deleted the linkage and recreated it and now it works. I also had to update the part of the template that says to filter ingredients to just that recipe. Seems to be great now!

1 year later here. Question, how do you deal with quantities? Two different recipes have onions. How does this handle that? I have seen my wife struggle to manually pull this stuff together. We built something similar but couldn’t connect the databases. Now I get to modify what we did to automate it just like yours. Thanks! I have a questions tho, lets say im making a carrot cake, a carrot soup and a carrot pie.. whenever i add them, its adding 3 inputs of carrots.. im wondering if there is a possibily to add them together... (ie choosing the ingredient from a list and selecting the amount (either in weight or in numbers?))..
I think what you're asking is if the system can recognize that there are multiple carrots on your ingredient list and to add them together to create one single carrot item. If that's your question, then sadly no that can't happen with this template. It will show three separate instances of carrot on your shopping list and it was a bit complicated to try to get the database to perform this function. I'm sure with some research and tweaking someone could make a version of it that does this!

If you click into the Shopping List page itself, there should be a “In My Pantry” tab there. All instructions on how to sync it onto your main recipe page are in the instructions 😊

Crazy idea, could you build a database of current inventory in pantry/freezer/fridge and have it check against that before adding to the grocery list?
I'm sure you could - I just didn't have the patience to create the formula haha! I'm sure it would be fairly straightforward if you used an if-then equation
I LOVE this!! Thank you! The one issue I ran across is that I accidentally clicked "Add to grocery list" on one of my recipes, adding it to the shopping list as it should. But then when I unchecked the "add to grocery list" button, it did not remove the ingredients from the shopping list. I then just deleted all of the ingredients, which I didn't realize would also delete it from the Ingredients in my recipe. Although if I checked all the ingredients to get rid of them it would say it was in my pantry, which also wasn't true. Is there a way to delete the ingredients from the list, without deleting the ingredients from your recipe? Thanks for everything!
Hey there!! That’s strange, the ingredients should auto-remove on their own when you uncheck ‘Add to Grocery List’ on the corresponding recipe. Sometimes Notion can be glitchy so I would recommend refreshing your Notion page to see if that makes a difference.
I didn’t set up an option for ingredients that aren’t in the pantry and also aren’t in the grocery list, simply because I prefer the simplicity of a checkbox. I would say if you want a third option, you may need to look at changing the checkbox property ‘Got It’ into a tag selection property instead. That way you can have more than two options. I just prefer the option of a checked box vs an unchecked box. You’ll have to play around with it and see what you prefer and set the filters accordingly ☺️ Hope that helps!
Hi, I really like this. I have a question because I'm trying to build my own template for my own unique needs. When I embed the ingredients database in my recipe card I get all of the ingredients in the entire database. How do I set it so I only get the ones that are required for the recipe to display? Thanks in advance for your help!
A filter will help with this: create a filter by clicking the dots on the right hand corner of the ingredient database so that it only shows ingredients where the recipe contains the name of the current recipe page. If you use my "New Recipe" pre-made template, it should automatically create this filter for you!

Hey Andrea! Have you tried refreshing the Shopping List page? Sometimes Notion can be glitchy. I've found refreshing updates the database. If you're still having issues I'll contact the Notion team :)
Hey, small catch here. Whenever you add a whole new recipe you need to be careful with the ingredient names to be matching with rest of your recipes(the standardisation) ex: if its “cereals” then while creating a new recipe it cant be “brand name” make sure it is standard for all or else, it will break the subtotal

okay i will not probably make what you are showing in this video, but I just imagined how I go to every shop I go to and make database for aisles and tag items and then link them to recipes, add prices of the items so I know what is cheaper at what store 😂😂 idk it's just funny to picture, also great video, thumbs up for effort!

Found and watched your video in the hopes of figuring out how to auto-clear the shopping list once everything is bought, but looks like you too are on the lookout for this solution. With the new automation feature I think it might be possible, but Notion's free plan, has no automations. Maybe a sophisticated formula could do the trick. 🤔
Do you add the ingredients for each recipe manually to the database or is there a way to copy and paste?
I do copy-paste from the original recipe into the ingredients database but sadly it does require some manual intervention to ensure I add the correct aisle and other relevant properties to each ingredient.

I just found this template and I have met an issue >< when making a new recipe and adding the items to the related ingredients tab they do not synk with the table inside the recipe. Do you have a suggestion on how to fix that? I am still very new to notion ^^'
If I’m understanding correctly on what you mean by them not syncing, my suggestion is to check the ingredient table filter on the specific recipe! Make sure the filter denotes that the ingredient must contain the recipe name it’s connected to.
@@katjohnstonl thank you! My problem is then that I have multiple items in the same recipes so I have to hide the recipes that are not the one I want on the meal.
Example: For the recipe for Cajupanerad kyckling (sorry they are in swedish), I also get the 17 meals that have similar ingredients, even if it is just tomatoes or something like that. I did not notice this in your video and for now I have simply hidden the other recipes.

Hiya! Usually within each ingredient I name how much I need of something. So if I need 1 can of beans, I will add the ingredient name as "1 can of black beans". So when I look at my recipe list, I can see how many cans I need. Sadly this template doesn't add up ingredients (e.g. if I have two recipes that both call for black beans, Notion won't give a total sum of how many beans in total you'll need), but if you have the ingredient list sorted by aisle then you should be able to figure out at-a-glance how much you need. Let me know if this answers your question!
