Agreed. I have been looking for something for a 1 person show - craft type business. To keep track of projects, deadlines, tasks, photo gallery, inventory of supplies possibly, resources etc. trying to work with these and get ideas but just can’t seem to get my brain to correlate to my needs
Thank you so much for sharing and being transparent how it all works. I actually enjoyed building it from scratch to really own it-but it's totally worth the price to have it pre-made and save time. I'm really glad you provided both ways because it's an amazingly simple yet powerful system (and I haven't even really used it yet)
Hey William. I've watched countless videos on Para and Gtd and so much more but I will say that 4minutes into watching this video has blown my mind. You have an easy to understand system
Agreed! I have learned so much from William Nutt in the past month. Bless you, William, for teaching in my language and for sharing so many wonderful lessons, tips, tricks, etc. I have a playlist called NOTION UNIVERSITY made up primarily of Notion VIP vids. It has proved invaluable.
I see a disconnection for "Objectives - Key Results - Quarter". It seems those three only connected to each other without relation to Projects or Tasks or Buckets. Maybe you missed it? Or do you have reasons for it? I can see relation between Objective and Project, but then (I think) the client can see our internal objective. Or relation between Tasks and Key Result with additional "Point" property as rollup for Current Value in Key Result, but then (I think) the client can also see Key Result. Or relation between Objective connected to Bucket, but then I think the logic kinda stretched, at least for me.
Thanks Pedro. It's been set back a bit by my work on Notion's new Expert certification and my accompanying course, Notion A-to-Z (premier.notion.vip/a-to-z). I'll be able to refocus on Bulletproof 3.0 in the early spring.
I'd like it for work but I'd LOVE this for personal use. I understand why you'd roll out a work version first but super eager to see individual version when it comes out. I'm holding off on buying only because i need a workspace solution i can use for both professional & personal as the two seem to merge for me as i get older.
@@WilliamNutt Hello William! I've digested a lot of information about Notion and was very eager to try your process but just like Sam here, price point is very steep. And of course the discount code mentioned is no longer applicable. Additionally, I need something to incorporate both work and personal life because both meld together in my world. I see comments about potentially incorporating into an update, though unsure if understanding correctly. Could this not be utilized for both or not so much? If available for a virtual call to discuss, that would be great. Thanks!
@@jonnalynfitzpatrick5463 Many thanks. Yes, you can use it for both. Reply to any email from Notion VIP (including the confirmation) and I'll create a code.
Beautiful. Just want to say your presentation/slides/delivery is superb. The others in the notion niche might have more "advanced" stuff but you definitely have the best delivery and teaching strategy by far. So, want to say thank you. I'm using something similar to August Brandley's. It's very comprehensive but I've gotten a little bit of notion-fatigue. It's getting counter productive. I kind of want to combine August's with yours and add a bit of my own. Here's what I'm having a lot of trouble with. If you use notion as a "LIFE OS", how would you separate your personal stuff from business? Do you have a master vault with master buckets, bolts and bytes? And maybe use tags like "business" or "personal" for each row in buckets, bolts and bytes? And then maybe create a WORKSPACE for your business and create views based on the master vault? Am I thinking straight here?
Thanks so much. I generally recommend managing your personal and professional lives in independent workspaces, but if you want to combine them, you can use a "Category" or "Tag" property in the Buckets database, then assign each "Personal" or "Work." That will allow you to filter independent views for personal and work Buckets.
@@WilliamNutt Thanks for the info. I like knowing how I can keep them "together" since I'm working on more on a personal brand/blog etc for business which consists of a lot of overlap with my life.
Hi Will. Thanks a lot for the tutorial. Quick question regarding the personal page (Carly Gantt page) for team member. Do they have to duplicate the Carly Gant page template into their personal workspace account? Or we have to create a personal page within the company account, then give them full access? Thanks a lot in advance
Thanks Ferdian. The newer version of Bulletproof (3.0) uses the "Me" filter, which displays items for the signed-in user. That way, a single page can serve as everyone's personalized homepage. Bulletproof 3.0 comes with Notion A-to-Z. I'd love to have you onboard: premier.notion.vip/a-to-z
Question on the Personal Homepage; is the expectation that our team members clone the page and add it to their Private Workspace and then update the areas like name, image, and cover image? Loving the workspace already!
Thanks you. I actually now recommend a single "Headquarters" rather than individual homepages. Within HQ, you can filter the databases for "Me," which will show only the items where the viewing users is populated within a Person property, e.g., when the viewing user is "Responsible" for a task.
@@WilliamNutt Got it. So the main Notion framework for this HQ is the same as the Personal HQ that comes in the Template download except that it should just be titled something more universal (like Headquarters)? Is there a way to protect this page so that people don't inadvertently make changes that affect the workflow/views of everyone else?
@@firsthandsupply4650 If you want people to modify tasks and other content, unfortunately, there's little you can do protect it. I generally recommend strict guidelines for what users are permitted to do and not to do. I also encourage regularly duplicating the workspace for backup.
@@WilliamNutt Last questions on this (and sorry for asking in the comments section, I couldn't find an email to reach out to!) but I'm assuming the inbox is something that I should have each team member duplicate and add to their private workspaces, correct? And are the changes you mentioned above reflected in a demo workspace that could be viewed somewhere?
That depends on the Permission Level you assign the user. Sounds like you'd make a great candidate for my newest and most comprehensive resource, Notion A-to-Z: premier.notion.vip/a-to-z
Hello, I have one doubt concerning the use of the Bulletproof Template. If I share the a data basis with a guest, let's say, Tasks, I've noticed that the guest won't be able to select the projects to connect to the task... did I do anything wrong or this has anything to do with the fact that I am sharing it with a guest, not a member?
Indeed, for a user to see a Linked Database, access to the source database is required. My top request is view-specific database sharing. Notion is actively working on it.
Hi William, I want to add a product database to my Workspace. It should contain domain names and webhosting variations. So a product is a .COM and a client can own multiple .COM domain names. Same for webhosting. What would be the best approach for this? Thanks!
Fun. One database for "Products," another for "Organizations." - Products has a Categories (Multi-Select) property that includes "Domain" and "Hosting - Organizations has a Categories (Multi-Select) property that includes "Client" Relate the databases so that you can choose Products for each Client.
Thanks. Great question. "Active" projects are *completed* with a series of one-time tasks. For "ongoing" projects, the tasks our recurring; when you complete one, you reschedule it.
Amazing process! Thank you so much for making this info available, it really helps to see these concepts and structures laid out and explained like this! 🙏
Thank's William for this great template! I was wondering if Notion has changed the database list views you did use on the home page, here the name of the view is always above the name of the database, therefore, it looks much more cluttered. Is there a way to solve this?
Thanks Lukas. Yes, Notion recently made major updates to databases. Bulletproof Versions 3.0 and later will accommodate and leverage their features. It's all now a part of Notion A-to-Z: premier.notion.vip/a-to-z You can't hide the view selector, but you *can* hide the database's title.
@@lukasebster Thanks Lukas. There will be a brisk walkthrough of 3.0, but it's very much meant as a companion to A-to-Z. Through the course's practical exercises, participants construct the basis of their own adaptation of Bulletproof 3.0.
I really want this...I was ready to pay around $50-$60...just cant pull off the $150 right now...however William you built one helluva of a process and template. thanks for sharing.
Great overview. To use this with other people in collaboration, would it require a premium version of Notion to install this as a workspace? On the project page, I see you are discussing the project manager and team members. Would can these people be added with all of us working in the free version?
Thanks Daniel. You can use the free version with up to 5 Guests, but you'll likely run out of storage space quickly. You can probably avoid the Team plan, but you'll Personal Pro eventually.
Hi, William. Thanks for sharing this amazing content. But, I have a concern right now. Before I was working alone, but now my team will grow. My concern is: If I hire another design, for instance, and create a new dashboard for him, so he can see all his tasks, projects and helpful resources, He will must have access to all the items in the tasks, projects, and resources databases, right? And if he needs to mark a task as completed he will need permission to edit the content. My problem with this is that I don't feel much safe with all my employees having access to everything in my system. Is there a work around to this?
Thanks Pedro. My top request of Notion is view-specific database sharing. Until then, your simplest approach is to share the database as `Can view`, then filter the source to hide all items. That will allow users to see only the Linked Views within the other pages you share. However, that will prevent users from making updates. Another approach is to selectively *share* or *restrict* items from the other databases.
Hey man, first of all, great job with this content, I'm already using it. Second, It would be really helpful to see how you manage your content creation with this method. Looking forward for it.
How’s that ‘content creation’ pipeline coming? And if I got your attention, may I ask If the full template includes anything finance related. Money is such a big part of my workflow I can’t figure out why no systems inherently include it? Is that in the template or pipeline?
Thank you. It will be part of the next big update to The Bulletproof Workspace. Those who have subscribed to updates will receive it: templates.notion.vip/#lEjii
I found the "me" filter very interesting but I'm wondering about the page's name for personalized page, should it be one per person? and would it be on the workspace or should everyone have it on their own private space? Thanks a lot
A well designed all-inclusive template that does not seem to have a long learning curve. The only downside is the price if I just want to use it for personal stuff. Missed the Producthunt deal :(
Thank you William this helping us a ton! One quick question when you put brackets in a template area title like [Meeting] Agenda should the meeting name auto populate when we use the template on a new meeting page? We are trying to figure out what is the purpose of the bracket in this area?
Great question. It's a best practice for every database to have a unique name, so the brackets indicate the places where you should *manually* populate information. It cannot be automated, unfortunately.
It would be lovely if you can share how you use the bulletproof workspace for your personal life to manage non-business/work topics (e.g. personal travel, family life, hobbies etc.) - how does that fit in with the bolts & bytes?
jankcl Thank you. That’s a common request. Version 3 will split the method into two approaches: one for individuals, the other teams. I’ll be sure to represent personal (vs. work) examples in the personal version. Let me know if you have any specifics questions in the interim.
@@WilliamNutt thanks! Looking forward to version 3! If you can touch on how individuals can use it as their key tool for managing knowledge, tasks and goals on a personal level, but also how they would incorporate some sort of side hustle that would be interesting. That's how I'm currently using it based on your bulletproof Vault and august Bradley's pipelines system. I think what I'm doing is a bit clunky, so definitely keen to see what you have come up with
If we subscribe to the updates how do we apply them? Do we have to manually copy all of our data over to the new version? If we don't subscribe can we upgrade to the new version for a one time cost without having to re-buy the whole template again?
I wish there was a more programmatic solution, alas, the upgrade is manual. With the updates subscription, I provide step-by-step instructions for integrating the new features, along with the updated workspace, so you can can integrate or migrate - whichever is best for you. The one-time upgrade will end up costing as much as the subscription, so I recommend subscribing. You can always cancel before renewal. Thanks for the interest. P.S. I'm a Tar Heel ;-)
@@WilliamNutt I thought so when I saw UNC on the template XD. I was in the marching band at USC for 4 years and I got to stand next to your live ram mascot on the field at one of the games! I love how they paint the horns but he didn't look very happy XD Okay that's what I thought. I think I'm going to go ahead and get it, how often do you update it? I'm ready for notion to add recurring tasks/events as well as weekly views for calendars (I think they already confirmed the first one is coming at some point). One last question: Do I have to buy the template with the same email that I use for Notion? Thanks!
What an amazing template. Really got me into Notion by building it manually. I have just one question, how can we limit access to some databases by using the groups functionality?
Thanks Miguel. If you open any database as a page and click “Share,” you’ll have the option to specify permissions for each group. In case you’re referring to filtered Linked Databases, view-specific sharing remains unsupported. It’s my top feature request. Stay tuned for major updates in v3.0, which I’m finalizing with Notion A-to-Z: premier.notion.vip/a-to-z
@@WilliamNutt thanks! I've tried but then to limit within each database any added element will also need to be restricted. I'm thinking as a solution to create specific group vaults, with the bytes database as a shared top level. Looking forward to version 3.0!
Thank you. Definitely. The template is just the foundation-a starting manifestation of the Bulletproof methodology, which can be applied to any use case.
Thanks Henrik. Yes, so long as the name contains just one space, you can use the replace() function to remove the space and last name for the First Name property, and remove the space and first name for the Last Name property. Take a look at my formula cheat sheet: www.notion.vip/formulas/
I was trying to use the producthunt75 code but it did not work. Also do you need to purchase the updates and the Task as separate items? It is kinda costly for me to add everything together. I tried sending an email via NotionVip email but it is not working as you are doing updates.
Thank you. That promotion expired, but I'm happy to help. Just reply to any Notion VIP email, including the subscription confirmation. The template includes Bulletproof Tasks, so you don't need both.
Amazing tutorial! At the 33:28 mark, you show the tasks table within the template. How do you filter the table so that it doesn't show all tasks? I want to be able to add tasks during the meeting but it's showing all the tasks in the _Tasks db table. Thanks in advance :)
You might find this video helpful: th-cam.com/video/r2L_1BW7BFU/w-d-xo.html If you filter Tasks for items where the Responsible property is "Me," then the signed-in user will see his or her assigned tasks.
This is an amazing process and framework. I understand the overall structure. It is super-clear, but I don't quite understand the purpose of the Vault. Would it not work as well to put the Buckets, Bolts, and Bytes on the high-level pages? Why is the Vault important?
Thanks Alex. Indeed-Bulletproof 3.0, which is taught through Notion A-to-Z (premier.notion.vip/a-to-z), adds master databases directly to the top-level "HQ" page.
What I'm doing is creating three columns in the Vault page and putting the respective databases for Buckets, Bolts, and Bytes in each column. Gives me a better at-a-glance count of every database that runs the system. Problem with this is that the databases won't appear organized under the three categories in the sidebar; it'll be just one combined list. My solution to this is to use the new icons (in place of emojis), and color-code the databases by their icons.
Thanks Pooria. I strongly urge your to learn how these formulas work rather than copying and pasting. You'll find this post helpful: www.notion.vip/calculate-and-visualize-progress/ You also seem to be a great candidate for Notion A-to-Z: premier.notion.vip/a-to-z
Hey William, great video. I've purchased and set up my templates but have a quick question. For the individualized page aka "Carlee Gantt" - isn't this page going to be on everyone's lefthand menu? Meaning if I customize this to myself, now everybody has my headshot and cover photo - but their tasks. Correct? I can't seem to find any clear instructions on how that is supposed to be setup. Thanks
Thanks Jay. You can drag to-dos into tables. Any filter requirements will be applied to the item automatically. Alternatively, you could add a linked view of your Tasks database to your Inbox page, filtered to show Tasks unassigned to a Project. Then, as you assign Projects to those Tasks at the end of the day, they'll disappear from the "Inbox" view.
@@WilliamNutt I didn't know that was possible. The linked database is a fantastic suggestion, I've just done exactly that. I applied the filter of no Due Date AND no Dependencies in the linked view. Woot!
First of all! This is just awesome👍 You have brilliantly coverd PARA, GTD and all techniques into one awesome package. I was struggling for quite long time now to create my own productivity workspace system for small team. Your template is best of all 😊 I have just one question. Where can I put CRM and Sales data in this system? Is there a way in your mind?
Thank you. Use the Brands database (recently renamed "Organizations") as your CRM. - Within the Categories property, create a "Prospect" option. - Also have a property for "Sales Stage," with options like "Lead," "Qualified," "Pitch," "Proposal," etc. - Create a Board that's filtered for Prospects and grouped by Sales Stage. This will help: th-cam.com/video/_m9PRRdo9cE/w-d-xo.html
Awesome approach! I am about to purchase your template. One question is that if new version is launched near future, do I still have to pay full amount for the upgrade? Any pricing policy will be greatly appreciated!!
Hello. When looking at the left side panel - Under Dashboard, How do you get your links to Bytes:Databases to show up as a link directly to the database? For example, I created a new FullPageTable Animals (Full Page) inside Bytes. In the Dashboard, I created a link to Page:Animals. When I click it on the left side panel, it goes to the Page:Dashboard line that references Page:Animal. Your left panel links under Dashboard, go directly to the table. Can you clarify how you did this? TIA.
I would need to see your precise configuration, but when you create Link to Page block within a page, it adds a link within the sidebar. That link goes to the database. It sounds like somewhere you copied the URL of a block within a page, and that link is taking you to the block.
@@WilliamNutt I had the same question... So the customer will have to have enough working knowledge of Notion to be able to create/update formulas, relationships/rollups, and whatever other updates that are rolled out?
Shane Robinson I'll always make it easy. You’ll have formulas to copy and paste and step-by-step instructions - often with videos. It will never be much in a single update, unless Notion makes a transformative change (like releasing the API). Thanks for your interest.
Hi Alex, thanks a million for your guide and video, it helped me set up a full system in Notion. One question though: How do you make the "view title" of the linked databases disappear such that only the database title is showing? Or it'll have a view drop-down next to the database title instead of above. Thanks!
Thanks Max. Not sure who Alex is, but I'll gladly respond. The view names always appear, no matter how many you have or whether it's the source database or a linked view. However, in an in-line database, you _can_ hide the database title, which improves the aesthetic.
@@WilliamNutt Thanks William, apologies for the name confusion! I have noticed that the view names always appear yes, however in all of your pages I see a slightly different output than what I see. In your vids you have the database title and directly next to it the name of the view (like so: /^Objectives Active). Sometimes, like in the case of the Resources simple gallery view within a Projects page there is no view name at all. For me it has the view name, underlined in grey, and then the database title name. I was wondering if this was something you managed to change or if Notion recently changed it. Thanks again
@@maxbroekhuis1418 Thanks Max. Indeed, Notion made substantial updates to databases since this video was published. The Bulletproof 3+ content includes more recent versions of the app.
Does that mean that you are not using teamspaces at all? I switched from Asana some time ago but the main drawback for me is when I have the same people in different teamspaces, they don't have one centralized dashboard of their tasks. In Asana, they've got the My tasks views that shows all tasks across all teams and projects. If not using teamspaces, do you just use buckets and restrict members access to different parts of the system ie. buckets, bolts, pages, projects etc ?
I used teamspaces for cohort-specific databases, then keep master databases for the organization-wide content. This is a very old video. Bulletproof has since been updated considerably. Version 4 launches in just a few days!
@@WilliamNutt Yeah no sure, I know the video is old but I reckon the principle is still the same ie. use relational database to organise company wide information. I love it. I was just wondering how you are overcoming the fact that you can't link databases from different teamspaces. That means if creating teamspaces with people both in the master teamspace and in the sub teamspace (for example marketing), and having projects and tasks in both, the team member would need to look for information about their tasks in two (or more) places.
Hi William -- excellent post, and will be purchasing your template! I wanted to know how you tackle and monitor subtasks for a given task. I work as the product lead for a team of software developers, and oftentimes a feature (for example in Zenhub or Jira) gets written up as a ticket, with several subtask tickets that comprise the full ticket. Any thoughts on how to approach that with your bulletproof workspace template? Many thanks!
Thanks so much, Tanina. The Bulletproof Workspace now includes the ability to create dependencies, so your child tasks could depend on their parents. Please see this post: www.notion.vip/bulletproof-tasks/
Let me please re-answer the question from Ega Adrian : I see a disconnection for "Objectives - Key Results - Quarter". It seems those three only connected to each other without relation to Projects or Tasks or Buckets. Maybe you missed it? Or do you have reasons for it?
Thank you. OKRs are traditionally tracked quarterly and at the organization level rather than project level. Bulletproof includes the most conventional and widely applicable approach; however, you can easily add a relation to Buckets or Projects.
Both features are well integrated into the next version. In fact, I released the task component already. Keep an eye on the Notion VIP newsletter for the rest. 💪
Like a Project, you could assign Tasks to Key Results, the “roll up” the % complete. However, Key Results typically include other measures of progress, such as new email subscribers.
Love this thank you so much - I bought the template! I'm wondering if it's possible to have the progress bar simply reflect check boxes on a project page or do I have to reformat everything into a database somehow? I don't want to make each task a separate page, as it clutters things up and gets confusing. I just want to have the task written in plain text with a check box next to it on a project page, and have a progress bar (reflecting the percentage of checked boxes on that project page) within the page summary. Is this possible?
Thank you. Notion only allows you to calculate percent checked for related database items. At this time, you're unable to calculate the percent of checked to-do items within a page.
This is incredible William and I think I will purchase it to help me with my startup business consultancy. Can I just ask if it includes the equally awesome bulletproof task management with automatic prioritization?
Thanks so much, Martin. You'll definitely want to join Notion A-to-Z, which includes all current and future versions of my templates and a multitude of other resources: premier.notion.vip/a-to-z

I purchased this the other day. And then I also purchased the new Bulletproof Task manger. But, I dont really understand how to integrate the Task manager database into the Bulletproof 2.0 workspace/databases etc. I tried to subscribe to the newsletter so I could email this question. But no dice. Never got a newsletter subscription confirmation. Hoping you could provide some direction here. I should have just bought the update subscription so really it's my bad. Hi William! I'm building my workspace step by step from this video, customizing a little because its a personal freelancer space. I've managed to do the progress bar for projects but can't figure it out how to do it for Objectives! Can you help? Thanks for the brilliant video :)
This is amazing! I am def going to give it a shot. How would you recommend breaking it up for personal life and professional life? Keep everything in one vault and create separate dashboards for personal and professional?
I bought the workspace and am currently setting up my Objectives and Key Results. One question, what would be the most seamless way to connect a project's progress to a Key Result, so that the project's progress is used to adjust the KR's progress? I'm an author and publishing a certain book would be a Key Result in an Objective I've created, but there's no binary "starting value" and "target value" of the book being released. A relation to the book project would be really helpful. Any idea?
Thanks CJ. From your description, I'm unclear about the relationship between Objectives, Key Results and Projects. How exactly do you want one piece to affect the progress of another? With a bit more info, I'll be happy to provide guidance.
@@WilliamNutt Sorry for my lack of detail. Let’s say I have a project called "Write Book" that includes tasks for chapters, editing, cover, blurb, etc. I can see that project’s percent progress based on the tasks I’ve completed in it. My question is... if I then have an Objective to "Build Authority in [Book Genre]" with one of the Key Results being "Publish Book" (the book I have a project for) how could I connect the progress of the Write Book project, that the Bulletproof workspace is already tracking, to this Key Result so that it adds to the progress of the KR?
@@cjbernstein I believe you're describing this hierarchy: Objectives > Key Results > Projects > Tasks Let's say your Projects database contains a Rollup property called "Progress," which displays the percentage of checked checkboxes for related Tasks. You then want a Progress property in Key Results to use a Rollup to average the "Progress" properties of related Projects. However, a Rollup cannot "roll up" another Rollup. Therefore, in Projects, you need to create a Formula property that directly reflects the value of "Progress": prop("Progress") In Key Results, you can then "roll up" that formula property, and display their average, to calculate each Key Result's progress as a an average of the "Progress" of related Projects. A Rollup in Objectives can then average "Progress" of related Key Results; however you'll still need to use that Formula workaround.
I just stumbled upon your work and am really enjoying your content! Going through this video I couldn't help but see the similarities to the PARA method. I do see a lot of expansion in your method, but what would you consider the key differences are? Thanks for the help!
Thank you. The Bulletproof system applies PARA to Notion specifically while expanding it to include other central data sources. In addition to PARA, it draws from Pillars-Pipelines-Vaults, Getting Things Done, the Eisenhower Matrix and the implement strategies of other experts. A forthcoming update will add sophisticated new functionality to the Tasks database and templates that contain it.
Each Relation links to one database, but you can have as many Relations as you like. Within each Relation, you can choose multiple items from the related database.
I hope to create a student-specific version, but generally, you could store each course as a Bucket. Of course, teachers would be People, and you could categorize notes within Resources. You might also consider a database of Semesters for filtering views. There'd be more to it, but that's the gist.
PARA is a general methodology. Bulletproof is a Notion-specific framework that applies principals of PARA and other productivity philosophies to features commonly needed by Notion users.
Wow...what a FANTASTIC template! Well worth the investment. The only thing missing are more instructions about downloading and replicating the template. I ended up doing some extra work that may have not been necessary in order to carry over the various Database Views from the template to my Workplaces. Do you have better instructions or TH-cam video reference that would help with that? Thanks again!
There's a real lack of permissions. An employee shouldn't be able to observe everything, not related tasks. And also he shouldn't be able to approve the task himself. So, permission of an owner and the member. Or it should send approval notifications
@@WilliamNutt I doubt approval notifications will be added. It's weird to have your employee mark the task complete without your approval. And this role communication would be just awesome. Not just observing, but actively, I'd say interactively act. Plus gamification badges, points - this user part is definitely not developed yet. With such level of brilliance it's just not expected
@@WilliamNutt Hi William! Thank you for excellent work, it is truly awesome. One question which still remains is how do you manage the confidential info which is contained within the databases? I.e. not all meetings and task should be visible to everyone? I noticed that you mentioned a view specific sharing - will it be available?
@@piskunov57 Thanks Anton. I hope to see view-specific sharing soon. In the meantime, you can restrict access to individual items: Open one as a page, then modify its individual permission settings.

Hi William, thanks for the video, I’m really doubting between 1.0 and 2.0. But 2.0 seems obviously better. I’m running a video production company and it’s about time I’m getting better at project management. Hence, watching your videos. I just can’t get a hang around “clients” in buckets and “brands” we have a lot of clients which have small or large projects. Should I make Brands with every new client of just clients in Buckets? Not seeing the direct benefit of using Brands.. (except of the sale pipeline use which is nice)
Great question. An upcoming version will actually separate Buckets from Brands. Keep your clients in Brands, then build out a "Client" template that includes filtered Projects, etc.
Thanks for your reply. I see what you mean. But, the buckets seem useful for “marketing” and such as well. Keep those separate form clients? Great to hear an new version is coming, looking forward to it
@@Remyx11 Yes, Buckets are for categories like marketing. They'll align with common "departments" and "teams." Clients (within the Brands) database, can serve as their own "dashboards," with filtered Tasks, etc.
PPV is definitely more in line with a personal form of Bulletproof, but his system is fully developed and prescriptive, whereas Bulletproof is a flexible manifestation of a mothedology. Users adore both; it simply depends on your needs and preferences.
Really like Notion and your setup. But I think its pretty difficult to get the whole team hooked up on this. I use notion in my free time and even I would need some time to get used to this. In practice this is the optimal approach but not the most realistic one.
Thanks for your thoughts. Every system requires a period of orientation, but once the team's up and running, this one has proven to be exceedingly effective.
William, Notion listens to you, could you please talk to them about data loss caused by Notion (i lost dozens of notes, images, part of NDA research) and their "privacy" policy that actually has nothing to do with user privacy per se, rather states that should user privacy be compromised, Notion is not held liable for anything. Currently all data in Notion is open to Notion employees, everyone at Notion can read your private content, intellectual property.
Great video! Do you have an update on Version 3.0 ETA? I saw a glimpse of it and was really interested in it and the expenses database.

@@WilliamNutt Great! After much thought, I also decided it was easier to have it in different workspace. Thank you!

@@firsthandsupply4650 No problem. Yes, Inboxes are for independent use, so each person should have one. Sorry, no examples currently of the single HQ.
Can the person change the filter from "me" to someone else? Or can they delete the tasks?

Thanks!
Fun. One database for "Products," another for "Organizations."
- Products has a Categories (Multi-Select) property that includes "Domain" and "Hosting
- Organizations has a Categories (Multi-Select) property that includes "Client"
Relate the databases so that you can choose Products for each Client.
This is great. What was the formula you used for current quarter?
the formula is available on this page: www.notion.vip/bulletproof-2/ where you ctrl f quarters
What is the difference between "Active" and "Ongoing" projects?
Thanks. Great question. "Active" projects are *completed* with a series of one-time tasks. For "ongoing" projects, the tasks our recurring; when you complete one, you reschedule it.

It's all now a part of Notion A-to-Z: premier.notion.vip/a-to-z

@@WilliamNutt Ok, I got it. So Notion doesn't support this specific function yet, right? Ill use your work around for now. Thanks, man.

How’s that ‘content creation’ pipeline coming? And if I got your attention, may I ask If the full template includes anything finance related. Money is such a big part of my workflow I can’t figure out why no systems inherently include it? Is that in the template or pipeline?

Thank you William this helping us a ton! One quick question when you put brackets in a template area title like [Meeting] Agenda should the meeting name auto populate when we use the template on a new meeting page? We are trying to figure out what is the purpose of the bracket in this area?
Great question. It's a best practice for every database to have a unique name, so the brackets indicate the places where you should *manually* populate information. It cannot be automated, unfortunately.
@@WilliamNutt Thank you for the response William!! We love your content and really appreciate all you share!

If you filter Tasks for items where the Responsible property is "Me," then the signed-in user will see his or her assigned tasks.

I would need to see your precise configuration, but when you create Link to Page block within a page, it adds a link within the sidebar. That link goes to the database.
It sounds like somewhere you copied the URL of a block within a page, and that link is taking you to the block.

Thanks!

@@maxbroekhuis1418 Thanks Max. Indeed, Notion made substantial updates to databases since this video was published. The Bulletproof 3+ content includes more recent versions of the app.
can you add a database "page" or entry to the workspace sidebar?
Yes. Create a link to it using a Link to Page block, then drag it into the sidebar.
Thanks, very valuable, you explain wonderfully well and the approach is very smart.
Thanks Amélio.
Hello! Does the dependency feature include both predecessors and successors?
Let me please re-answer the question from Ega Adrian
:
I see a disconnection for "Objectives - Key Results - Quarter". It seems those three only connected to each other without relation to Projects or Tasks or Buckets.
Maybe you missed it? Or do you have reasons for it?
Thank you. OKRs are traditionally tracked quarterly and at the organization level rather than project level. Bulletproof includes the most conventional and widely applicable approach; however, you can easily add a relation to Buckets or Projects.
I wonder how the functionalities of subtaks and wiki impact the bulletproof notion workspace
Both features are well integrated into the next version. In fact, I released the task component already.
Keep an eye on the Notion VIP newsletter for the rest. 💪
@@WilliamNutt Amaaaaaazing! Thanks for the info. Keep it up man!
On the Key Results database, would you not rather roll up the current number from a daily dashboard of the responsible team member?
Like a Project, you could assign Tasks to Key Results, the “roll up” the % complete. However, Key Results typically include other measures of progress, such as new email subscribers.
Every day I am amazed by humans willing to complicate the simple.
Thanks @@WilliamNutt. Unfortunately, I just can't justify the initial outlay as a start-up, so I will probably go with the Workspace Bundle.
@@martinstead2894 Good stuff. Thanks Martin.
Such an interesting approach! And I love the sound of your voice 😍
I'm having a difficult time discerning between what should be an objective vs a project.
Thank you. Think of objectives as strategic goals, whereas projects is your hands-on work made up of tasks.
This Workspace is just amazing. Thx for the great work. A little question, is there a way to make a meeting recursive (everyday at the same hour for instance, and generate a new meet link with it). Thx so much for your great job
Thank you. This cannot yet be automated, but eventually the API will facilitate it.
@@williamnutt3533 that's a shame. Hoping the api will answer thisbpoint since it is quite a big bottleneck. Thx for then answer !
These templates have been very helpful though. Thank you for your work.

Hi William! I'm building my workspace step by step from this video, customizing a little because its a personal freelancer space. I've managed to do the progress bar for projects but can't figure it out how to do it for Objectives! Can you help? Thanks for the brilliant video :)
Of course. Please email me and I’ll be glad to help. You can reply to any Notion VIP email.
William, can you share your flat mon icons?
Thanks Dearg. You can access the icons here: notion.vip/icons
Thank you! It is a very awesome concept to use Notion powerfully.
This is amazing! I am def going to give it a shot. How would you recommend breaking it up for personal life and professional life? Keep everything in one vault and create separate dashboards for personal and professional?
Great, thank you. I'm a pretty big stickler for separating work life and personal life, so I'd go with two workspaces.
@@WilliamNutt Awesome. So keep everything in the same vault but separate workspaces for personal and professional, correct?
@@CraigDesmarais Each workspace will have its own Vault.
@@WilliamNutt Gotcha! I'll give it a shot. Just picked up the template bundle. 😉 Let's do this.
Thanks for sharing your excellent work.
Thank you. My pleasure.
Just bought it and the duplicate didnt work. Now i cant get to the link anymore ... Who could i contact to get some support about this ?
No worries. You can reply to any email from Notion VIP, including the subscription confirmation.
@@cjbernstein I believe you're describing this hierarchy:
Objectives > Key Results > Projects > Tasks
Let's say your Projects database contains a Rollup property called "Progress," which displays the percentage of checked checkboxes for related Tasks.
You then want a Progress property in Key Results to use a Rollup to average the "Progress" properties of related Projects. However, a Rollup cannot "roll up" another Rollup. Therefore, in Projects, you need to create a Formula property that directly reflects the value of "Progress": prop("Progress")
In Key Results, you can then "roll up" that formula property, and display their average, to calculate each Key Result's progress as a an average of the "Progress" of related Projects.
A Rollup in Objectives can then average "Progress" of related Key Results; however you'll still need to use that Formula workaround.
@@WilliamNutt this is perfect. Thanks so much!
How do you put those bullet points in the Progress formula? I haven't found a way to do so
Copy and paste ⚫⚪
@@WilliamNutt On my laptop the formula shows the emojis itself, not those little dots as yours
@@lorenabezerradealmeida8512 You can use whichever characters you prefer: www.alt-codes.net/circle-symbols
How the Archived page should look?
I recommend excluding archived items from your various database views.
@@WilliamNutt Thanks!
Here is a Question:
How can I create a relation column linked to more than one database? HELP
Each Relation links to one database, but you can have as many Relations as you like.
Within each Relation, you can choose multiple items from the related database.
@@WilliamNutt So just to be super clear. There is no way yet to have one Relation Column linked to more than one database.
@@WilliamNutt Thank you very much for answering.
@@orlandosalazar9295 Correct.
How would you use this workspace as a student, without creating extra databases?
I hope to create a student-specific version, but generally, you could store each course as a Bucket. Of course, teachers would be People, and you could categorize notes within Resources. You might also consider a database of Semesters for filtering views.
There'd be more to it, but that's the gist.
What an insanely informative video. Thanks a lot for creating it
Such a great tutorial, thanks a lot!
This is essentially a rebranding of PARA minus Archive... or am I missing something new here?
PARA is a general methodology. Bulletproof is a Notion-specific framework that applies principals of PARA and other productivity philosophies to features commonly needed by Notion users.
@@WilliamNutt Ahhh gotcha!! Thank you ☺️
Wow...what a FANTASTIC template!
Thanks Justin. The duplication instructions are at the top-level page of the package.
There's a real lack of permissions. An employee shouldn't be able to observe everything, not related tasks. And also he shouldn't be able to approve the task himself. So, permission of an owner and the member. Or it should send approval notifications
This speaks to a larger request for view-specific sharing of databases. Hopefully we'll see it soon.
Hi! Thanks for the video! I want to convert time to a number so i can multiply time for money, can you help me with that?
Thank you. Happy to help. By "time," I assume you mean a duration, with a start and end time. Is this logged in a single date property, two date properties, or in another way?
@@WilliamNutt Thanks for your quick answer! Yes, I fill a start time and an end time, so I have a Function that shows me the duration, so I need to multiply that duration with money so I can have the amount of time per the money per hour I earn
@@nicolascapalbo3255 For the "Duration" property (Formula), you'll want to use the functions dateBetween(), start() and end(). This might help: www.notion.vip/formulas/
You can then use another Formula property to multiply prop("Duration") by your desired amount. If you want, you can make that amount it's own property, then reference it in the formula.
I was willing to pay €30 euro’s, but $150 is too steep. Still appreciate your work though.

rvdlaar You can reply to the Notion VIP newsletter (or confirmation). I'll keep an eye out.
hey! did you get the template?
It seems like the personalized version of this would just be August Bradley system, but dumbed down...
Next level! Would love to feature you/your training to our community of agency owners :)
Sounds great, thank you.
Should Notion leak your data, according to their privacy policy, they are not to be legally held responsible
Thanks Serjan, and sorry for your trouble. Notion is aware of these concerns, and I'll continue to reinforce them.
@@WilliamNutt Thank you for what you do and for taking the time to reply.
