    I concur, going paperless for work is just the way to go. I cannot imagine not having my digital notes, everything in one place. And tags, of course..
    But when it comes to personal memories, holding a note your loved one gave you, a letter, running your fingers through the imprinted ink of the pen.. In my opinion that's priceless.

      Keep in mind, this is an additional option...
      Doesn't mean you have to make everything paperless.
      But I think you'll find that 90% of our thinking defaults to paper.
      Personally, I am still working on my preferences, which is different for everyone.
      But it's what I've discovered. Cheers.

      @@geekmeee I’ve started scanning any documents I feel I need to keep using my iPad Pro’s built in scanner and downloading my bank statements as pdfs. I didn’t tend to keep receipts unless it’s for a big purchase, and those get scanned as well. I also wen through a big box I had of old greeting cards and took pics of the inscriptions I wanted to keep, then tossed em. It’s a slow process but I am getting there, and stuff is so much easier to find.

    Wow, thanks for all the details on how to use Apple Notes. I am fairly new to Apple and had no idea the power of Notes! I have always been a pen and paper person, but trying to convert to digital. Also, you have a really great attitude in responding to some of the ridiculous comments you receive! 😂

    Great ideas. Even if you save the birthday cards, this is a really good way to create a nice reference for the occasion that you will see again and again and remember people and events that might otherwise seldom or never come to mind.

    I put a digital copy of my espresso/coffee maker manual into Books which I have found very useful. But I am impressed by your system of using a Manuals Folder in Notes for copies of all manuals. I will be taking your advice and will do that.

    With iOS 14 - I believe it was - we got the option to scan a document - even multipages - right into a new or existing note. I put the paper on the floor (it’s dark brown) and simply hold my iPhone above and it will detect edges and do the scan without me having to worry about zoom, focus etc. Very simple but effective tip 😜

    I hope in the future Apple Notes will support a functionality like PDF annotation or photo annotation in the note page itself. Like attaching an actual piece of paper in the note page and scribble around it. I’ve search high and low but still cannot find an app that has this functionality.

      Notability can do that. But I'm getting away from Notability and more into Apple Notes. I'm hoping for the ability to color code the fonts here. I know you can do all that in PAGES, but I like the feel and look of NOTES better.

    Good video. I love using Apple Notes for all my stuff. The issue I have is I have not found a folder structure that works for me and I keep moving the notes around. With the introduction of Tags that has got better, but again you have to think carefully about the tag name.

      Don’t overthink it with tags, use as many as you want to. For dedicated folders try stoic JOURNAL, ARCHIVE, PERSONAL and then projects each get their own folder

      I agree, don't overthink it. But generally speaking, folders are a higher level form of organisation compared to tags. Tags can also be applied across any notebook/folder. e.g. 'Receipt'

      I have also been struggling with my folder structure, but I'm finally starting to make some headway in that area but it took time. Tags were another headache but the concept and proper use of tags have finally clicked for me so I'll start utilizing those more for topics I have spread across various media. Going digital definitely has its perks but it also created some speed bumps along the way. 😛

    Like the ideas here. However I’m wondering if this will eat the cloud storage we have when storing all these receipts and files ?? Because if it does consume storage then why not just store them for example in the photos.

      Either way it will consume storage in photos or Notes. But I've paid for 2TB as part of my family plan so I have plenty of space.

      Been getting into Apple Notes recently, and the way I sort of “get around” this is to compress & (when needed) convert the images first. some things are better kept in full resolution, but I’ve found a strong majority of all the things i store in Apple Notes do just fine when they’re shrunk down from, say, a 2.5MB HEIC image file (which you’d get with the newer iPhones’ cameras) down to a 250KB JPEG…I even found a way to batch-convert these within Mac OS, with no extra software (can’t remember exactly the steps I took, but I can go back and check if you’re interested). Stuff like receipts can easily be stored in even smaller files (

    Very helpful videos! I've learned alot from Apple Calendar aswell! Thank you for taking the time and making those videos! I have a question. I use my hotmail email address to my icloud, but I want to change to another email. Is is possible to move all files from notes, calendars, numbers, pages, keynotes to other icloud account?

      Rather than moving everything, which would be very hard to do. You can add a secondary email to your iCloud account instead.

    Paul im wondering If a pic is saved and then inserted in a note, and later you decide to delete it from the pic gallery, will it also get deleted from the note?

    So how do you back up your notes ? It all sounds good but what happens if you have a problem and can’t access your notes ?
    I’m sure you realize it’s quite difficult on Time Machine to retrieve also I wouldn’t throw away the hard copy just in case but that’s me

      I don't. With iCloud, all notes are on Apple's servers.

    Hi Paul, I’ve currently been saving manuals etc. in icloud folders. Are there any advantages to using notes? Using global search, I can easy locate these documents. Do the same advantages hold true in Apple Notes? Thanks.

      Good question - I'd suggest you keep doing what you're doing. There's no real advantage. It's just sort of what you prefer.

    But the photo management… doesn’t this mean you have a lot of photo sorting to do to make sure, for instance, you don’t delete an important receipt? Aren’t you carrying a heavy load of documents that must stay in your Camera Roll?

      Most stores will accept a digital version or they can print a physical copy from their system if you provide the receipt details. But if you're really concerned, then just hang on to the physical receipt.

      I view folders as the big categories of your notes e.g. Work, Personal. Whereas tags allow you to add context e.g. you may have a 'Receipt' tag being used for notes in both Work and Personal.

      It hasn't been an issue for me. I don't keep that many photos in Notes. I have a large iCloud storage limit anyway.

      All good. You don't have to use the tag but it does make it easier to find all receipts later if needed.

    When converting Apple Pencil handwritten notes to text in Apple Notes I always get something like an ‘0’ before the text. I’m guessing this is wrong because the videos I’ve watched don’t show this have . Any idea of a fix

      It depends how many notes you have in total and whether you are storing lots of attachments and larger images. Normal text notes don't consume a lot of space.

    Can you show your folder hierarchy organization? What about general random notes?-e.g. jotting down customer service phone number from web page-then having to leave webpage to go to Skype to call?-These jots accumulate as bits of paper. Thanks

      I don't actually have a hierarchy. The folders you see there are all the folders I have. For random stuff, I have a note called 'Scratch Pad' which I pin to the top. This is where I scribble down random phone numbers and things. Hope that helps!

    Wonderful treatise on WHAT to store in Apple Notes, but not a single word about HOW to store stuff in Apple Notes. I think all Apple users believe that the whole world knows how to use Apple software. Well, I don't! I am divorcing myself from Microcrap and switching to Apple and I would like simple, comprehensive hand-holding about what to do. This ain't it.

      Apologies, I think it's just because the HOW is simply a case of typing in whatever you want... Or you can drag images/files into a note. It's very straightforward.
