    I made my calendar using the day and items as one string with vblf. I also used advanced filter to get monthly items. I added different fill colors for appts or events for my wife or myself. Birthday days get a picture of the celebrant in the lower left-hand corner. Navigation is very similar to yours. It hangs on the refrigerator door with magnets. I do love the way you created the days and colored them accordingly. Now, I get to merge the two. It gives this retired man something to occupy his mind. Thanks for all the tutorials that you give. You really are the best!

    Another awesome project. Thanks so much Randy. I made a few additions to my personal calendar. I split the tasks into 2 categories each with their own sub categories. I also added a couple dynamic fields to show pending or unfinished tasks. (FILTER is the best new formula!) Different colored boxes depending on their status. Also a button to send an email to the administrator responsible for QCing the task. This one is so much fun to use. I get ideas for additions almost every time I fire it up. You’re the man. Thank you for the content. Best on TH-cam by far.

    This tutorial is incredible, thank you for sharing - it's sparked a whole new interest in Excel for me.
    I've been trying to figure out how to sort events that last all day, or don't have a specified start time. When I enter them as 00:00, the cell goes blank - and when I changed the data validation to "All day", Excel sorts this after the valid times (so All day items display below the items with actual start times, I want to show the All day items on top). Is there a way to do this? Thank you

      Hi and thanks very much. Make sure that you add a 'Duration' column and field and set the length of that to something like 12 hours.       @@ExcelForFreelancers Thank you Randy - that's really helpful. I'd like to be able to share the calendar via Sharepoint to allow users to collaborate on it. Is there a reason why they would not be able to enter new items? A debug error comes up but I can't tell where the issue is, as it works for me (as the original creator)

    Great stuff. Is it possible to add resources (employee) for each course ? Need a calendar where I can schedule my courses and add freelance instructor for each courses. There could also be some action on each courses that need extra employee

    Hi thank you so much for this video! I have a problem, so at 59:30 you said that we must run an advanced filter from A to F, right? But once I do that most of my items disappear. Then when I go back to coding and I type 'With ItemsDB.' I don't get anything. Could you please help me with it?

    Hi, I thoroughly appreciate this video. However, I'm stuck at 1:23:19-Calendar Load. My "Calendar Item" Box at M is not loading any of the data from my selected calendar item although the data appears in the ItemDB sheet. Is there a way to have my code reviewed? Also, I reviewed the Video and still missing at what point the object CalItem was declared and type identified. Where is this done?

    I want to change the PM-AM time format in my calender appointments... how do I do that. I want it to display the international time like 13:00 etc

      Fixed It! I changed the VBA code in Sub Calender_Refresh
      I changed this code: ItemTime = Format(.Range("P" & ResultRow).Value, "h:mm AM/PM")
      To :ItemTime = Format(.Range("P" & ResultRow).Value, "HH:mm")
      It is working perfertly well.

    Hi Randy, thanks for the wonderful tutorial, i followed step by step till the point where you tested the Calendar_refresh code, "compiler error: Invalid qualifier" poped up and i couldent figure it out, any thoughts on that?

    Thanks for this tutorial. Trying to figure out how to make it where an event has a start date and an end date, so I want it to display across multiple days. So, it’s almost what I need, but not fully there just yet,

    How would you conditional format to shade all the cells in the day for the holiday?

    Randy, Do you have any training videos I can look at that would help me add a second date to the calendar? I think I am going to use this to setup deliveries and pickups but I only want it shown on those days not the duration of the period. Thanks

      HI Justin, thanks for your message. You could just add two cells in your calendar sheet with From and To dates. You can then link these two days with the criteria in the calendar items sheets, instead of the beginning and end of the month. Then make sure to run the calendar refresh macro on any change of these two cells. Make sure to watch the entire training video to help with this. I hope this helps and thanks so much.

    GREAT VIDEO! How do I show that an event runs for more than one day/timeframe? Duration is in minutes. I need it in "days". I want to use the calendar to show meetings that overlap. Thank you!

    Thanks for these wonderful Excel workbooks and training. I am working on the Excel Calendar workbook I wanted to add addition items under the Calendar Items table. I am trying to make this into an Emergency Management Exercise Scheduler.
    The current Excel Calendar has Item Name; Item Date; Time; Duration; and Notes. I wanted to add 4 additional fields, Type of Exercise (dropdown), Facility Type, Category and Status.
    I have tried to expand of the current fields to include the additional fields, but I get an error, Runtime Error 1004 -the extract range has a missing or invalid field name.
    I have persed trough line by line in the editor but I am lost and can not see where I made the mistake.
    Any assistance would be appreciated. Thank You Dale

    Hi Randy! I've watched this and the task manager tutorial to make a calendar for a friend who still uses a paper agenda and it was really helpful. Especially considering I had never written a single line of code before. They're both excellent and I have almost finished it. I have one small issue. My friend is a teacher, and it would be amazing if she were to be able to schedule recurring events. I know you did something similar for the task manager, but I don’t think it worked with the following example: “Give classes to Laura” every three days for the next three months. I don’t know how to calculate the skip or the end date. I hope you can help with this. Thank you very much for your trainings! I really like them.

    i try the calendar and is amazing i have a cleaning and construction company and for the cleaning i am using a daily route with appts for the week and my question is it is possible to change color of the appt? i want to put a color for the cleaning and a different color for the personal appts like a dr. appt.

    I want my calendar week to start on a Monday and not Sunday? How is this possible, because all the ones I've seen start on a Sunday?

    HI Randy, thank you for sharing this! Just had a question if something like this (a dynamic calendar) could be used to incorporate a work schedule and then linked to create invoices for the different type of work. (I think you may have a video on something similar?) But then be able to run reports (breakdown) work done for different months years etc.
    ….So basically what I'm trying to ask is, if you could run reports on the contents inside the dynamic calendar for the different months, days, years etc ?
    (so as in this example how many times you did a certain activity i.e.. attended a field trip)

      Hi Ferrao, thanks so much for your comment. For the Admin sheet I just added a Page Background (same background as in the calendar) then I added and formatted my lists and then created dynamic named ranges from those lists.

      Hi and thanks. Yes for sure you can. You can great a new conditional format formula such as
      =D4=Today()
      and apply that to every cell in the calendar, starting with Cell D4 and it will color the current date

      I solved it with an admin cell =today() and named it Today.
      Then conditional formatting =ISERROR(MATCH(D4,Today;0))=FALSE

    How to you change the sheet name from Sheet 1 to a name. in the Developer mode my sheets still show up as Sheet 1(New name) how do I change sheet 1 to show New name(new name) in developer

      Hi Dwayne, thanks very much. Each sheet has two names. One is the visible sheet name in which you can change from the sheet itself. The other is the sheet code name, in which you can change from the VBA Editor. Just click on a sheet, then F4 for Properties and then you can change the sheet code name within the properties.

You could create another sample shape, just like we did on the one for appointments, however instead of loop through the appointments you can loop through holidays and birthdays on the Admin screen and create a new shape for each Holiday or Birthday and add the name and place it to the left of the date for each day.

      =Or(Weekday(YourDate,2)=6,Weekday(YourDate,2)=7)
      A formula like that would return true if it was a Saturday or Sunday

    It’s cool but not really a calendar that can be used by a team at work. If there are more than 5 items to enter on a single day, the entries start overlapping and hiding each other. There is also no selection option to state that someone is taking a full day of vacation or out of the office for the entire day. The holidays can be manually entered and the date on the calendar turns yellow, but would be nice if we could enter the name of the holiday or a date that the company is closed. The calendar does not show time ranges. Like if someone were to have a meeting from 8:00-10:00, it doesn’t say that, it just says meeting at 8:00. Would have to search for the duration on the calendar items tab. Again, really cool Excel project, but just not as capable as an Outlook or Sharepoint calendar.

I am limited to the features I can add in a single training since followers want me to make them from scratch, during the training.     I'm thinking of a very challenging project, an Excel application to record the data of a transport company. It would record data on trucks, drivers, customers, costs for each destination, fuel for each destination, employee salaries, trip costs for each destination, mechanic salaries, fees paid to the driver for each trip, reminders for maintenance or other repairs for each truck, repair costs for each truck, the work done by each mechanic on each truck, parts replacement for each truck, the different fleets of trucks, daily loads for each customer or private individual, registration of each customer or private individual, automation of invoice drafting which would be different for each customer, automation of sending an email to each customer to inform them about the available trucks for them, and a dashboard showing the company's net and gross sales over the desired period, best customers, number of loads per customer or private individual, etc. As I said, it's a real challenge, but it's possible with you.

      The admin screen is a basic sheet in which I used a background picture and a few lists in which I have created named ranges for those lists (Such as Days, Years, Holidays, Times & Durations) I also use a single cell to track the color of the calendar items. You can change this cell color to any color you want.

      Hi and thanks very much. You can use a conditional formatting, based on the current week # or based on dates
      A formula like:
      =WEEKNUM(D4, 1)=WEEKNUM(TODAY(), 1)
      would work just fine inside the conditional formatting
      The "1" would mean starting on Sunday, and yo would change that to a 2 if your week started on Monday.

    Hi Randy, i have tried implementing this training in my work and the code for some reason isn't working, though i have followed every step just like the way you showed it.

    'clear all existing item shapes from calendar sheet
    For each ItemShp in Calendar.Shapes
    So when i run the macro it's highlighting the word calendar.shapes and the error 'invalid qualifier' pops up.
    Please help

      Also make sure your sheet code name is "Calendar"

      HI and thanks, the color picker is just a square shape with many other square shapes with colors. You can simply copy this shape to any other workbook you want, and also copy and paste the macro and reassign the macro in the new workbook to the new shape. I hope this helps and thanks so much.

    When I go into the Developer Tab, and click VB
    I don't have the Modules Folder.
    What Step am I missing? This is my first time using Macros.

    If this is your idea of simple VBA coding, I hate to think what difficult or complex VBA coding looks like.🤔🤣
    But seriously. This is an excellent video nicely explained.
    Sadly, I've hit a problem and I'm not sure if it's the code or another Beta bug. When I try to run my Calendar_Macros macro, I get a visual basic "compile error invalid qualifier".
    The "offending" Qualifier is *Calendar* in the line of code...
    For Each ItemShp In Calendar.Shapes ...
    Your help would be appreciated.

      Thanks for getting back to me. I just thought I'd update you (and everyone else) on my progress. I'm not on Facebook. But, I did follow up on your tip to check I named my sheet correctly (I did) especially checking my spelling (again, correct). However, something urged me to check the Sheet Properties. And, sure enough, that's where the problem was.
      In Sheet Properties, the Sheet Name was "Sheet2". I changed it to "Calendar". On a whim, I immediately checked the Sheet Properties for the "Items DB Sheet". Sure enough, in Properties, the Name was "Sheet3". I altered it accordingly, saved the File under a different name to be safe and tested the Code. Success!
      The Beta version of Excel has some wonderful things not available to mere mortals who only have the consumer release, my favourite being the new checkbox feature, but it does tend to throw a curve ball from time to time...like not updating the Properties Sheet when renaming a Sheet for instance. But that is something I take into account and accept as I was warned in advance of the potential for possible bugs. Luckily, taking your tip to heart and diving deeper into Excel, I found the problem and was able to work around it.
      No further issues experienced. The calendar works as intended.

    Seems like I'm great at finding problems. HAHA... Great app, however a few things are missing from this to make it work. Example: the color palette on the admin page refers to a shape that doesn't exist. Also, if you add a new item with a time of 12:00 AM, it will fail for the cell being empty even though it isn't.

      HI and thanks so much for your comments and feedback. I will make sure to check the color palette exists on the sheet and that its assigned to the correct macro.
      For the 12:00 AM issue, Excel does not see it as a value, since 12:00 AM is zero, so we can work around this by instead of checking if values are empty in those 3 cells (M4:M6) we can use a CountA Formula like this:
      If Application.WorksheetFunction.CountA(.Range("M4:M6")) < 3 Then
      MsgBox "Please make sure to add in an Item Name, Date & Time"
      Exit Sub
      End If
      This fixes the issue and I will make the updates on the downloaded version

    Disappointed. Downloaded the "free" file to find it filled with ads not a surprise I guess. Also the macros wouldn't run. Also, tried following along with the video to build my own but failed because you never showed how to build the lists you were using on the admin page. couldn't go past the year dropdown button because there was nothing behind it. Appreciate the work you put into it.

      HI and thanks for your download. As an extra security measure, Microsoft disables macros from workbooks downloaded over the internet. You can fix this once and for all by following the steps I have outlined on this page www.excelforfreelancers.com/how-to-fix-macro-blocking-issue/
      For the ads, you can simply right click on the ads and click delete and they are gone forever.
      If i were to show every feature available in these workbooks, each training would be 6 to 10 hours long, so I have to set some limits.
