Have you ever done anything on cloning/copying records were list relationships are involved, such as if you wanted to use a project with its tasks as a template for people to get quickly up and running?

Hey Reza, thank you for this video and all your videos (of which I have watched many :D)! At the moment I'm looking into changing 4 dataverse tables into Lists as my users will not have a Power Apps Premium license. Which is incredibly expensive, even for education. There are a lot of mixed opions online about whether or not using SharePoint Lists as a relational database (like in this video) is bad. To be honest I still can't see the big issue for regular apps. In my example I'll have about 100-150 "projects" maximum in 1 Projects List and each project has about 5 Tasks itself, so 750 max in total. There will be different Teams with their own projects = multiple Projects Lists with their own Tasks. All in seperated lists with their own List Permissions (Read/write). Honestly I think it's manageble with Lists. Though the internet seems to push me towards Dataverse (which we cannot pay for user to write to the dataverse tables). Do you think I should go for SharePoint Lists? Is it doable?

I have built something for work which replaces projects with risks and tasks with treatments to lower the risk which works great but I have been wondering if there is a way to assign the tasks (or treatments in my case) to multiple projects? When I allow multiple selections on my list, it creates an incompatible comparison so is there a way I can get round this? Any help would be much appreciated!

Amazing, Reza...👍 I have a case in which many projects must be tracked saving all tasks, approvals, notes, files... Must they be separated in different related lists and concatenate collections of max 2000 rows to avoid delegation problems?
Too many collections and too many relationships will hit performance of App. For lightweight use case SharePoint is good but beyond that you should consider Dataverse or SQL

Hi Reza I love your videos so easy to follow and have built several of your apps having never done any SharePoint so finding these videos extremely informative. I have tried and failed to use this relationship on a custom form, so because i'm using the SharePointIntegration data model to get the record. When i view the form the record is there so it all seems to be working, my issues is I have 2 drop downs and when i edit the fields i can't add value. It doesn't seem to save but i think it maybe something to do with drop downs. Also have lots of red circles when in power apps which can't be good. Obviously missing something and my very basic level of knowledge of the data model and functions is hampering me, really sorry to ask as i know your not here to support Sharepoint.

Quick question why does the search bar on Main screen not function? It seems like a simple straightforward function but for some reason I cannot get it to search my “projects” list in the side container . I have a similar app set up just the same as the main screen of your app and the search function works great no problem. I just can’t figure out why it won’t search. The 🔍 icon does nothing. Hello Reza!!, great job mate. I don't know what happened to one of my SharePoint list, in this I have an image column and an attachments column (default column), for some reason when a user creates a row and uploads an image this is duplicated in the attachments column. It is as if SharePoint creates a copy of this image in the attachaments column, which is not desirable because other documents have to be loaded in the attachements column. Do you know what could be happening?
I appreciate all your videos very much! I have built a wonderful app using this tutorial and now fine tuning. If I create a new parent item (which would not have any child records associated with it) and then go to the child screen to create a child record, is it possible to make the child gallery with the repeating table already have a blank row ready to fill in? So that I wouldn't have to click the "Add" button until I wanted to make a second child item?

Hey Reza, great video it's very informative! I was wondering if you happen to know if you can update the different choices in a choice field within a power app. As in add or remove a choice from a choice field column, which you usually do via microsoft Lists itself.

I believe you can update choice field with power automate. An alternative is to create a sharepoint list that will capture your choices. Then in power app link the drop down to the Sharepoint list instead. Then you can create a screen that display the Sharepoint list and have use add new or edit “choices”
For my use case of this I am using a people picker column for the first column in the "tasks" list. It appears when patching to a lookup (people picker in my case) the btnUpdate gets selected by the onchange property in the people picker column after saving which causes the gridupdates collection to fill back up making it impossible to add a new "task". Is the lookup field causing an extra onchange by refilling its information?
I believe the culprit is combo box. But should work with this technique. Il have to recreate your scenario to know more. May be try posting your issue on forums powerusers.microsoft.com
@@RezaDorrani I downloaded your reference app and put a people picker instead of text and sure enough it broke the solution. Changed mine to text and it works. I will need to recreate the people picker control using one of the methods like office connector and then pass the information to a text field and populate the people picker on the list by patching it after. Definitely going to post this to the forums to see if anyone else has seen this with onchange in a combo box/people field
@@RobotRisingTech The reference app does not include people picker. A change may or may not be accurate + sometimes there could be workarounds. Forums will be a good option.
@@syssslllik I haven't opened a thread but I ended up as a work around making a people picker of my own (just a o365 user search using a text control) and passing the email address/display name/claim from that to a people picker field.
Hi Reza, thanks for the video. Quick question on this. Given that multiple projects could have the same title in theory, is there a way to lookup to project ID rather than project title? I'm doing a similar 1:N app for a ticket system with comments, and I had it working when the ticket title was the lookup field in the comments list, but when I realized the duplication issue and switched to ID, I'm having issues getting the linked formulas to work. Wondering if the ID column has specific rules/attributes that make this problematic, but then not sure how to work around it to avoid the duplicate title issue. Thanks again for your videos. Hi Reza, I have a performance question for you. To connect projects and tasks screen, wouldn't be better to Navigate to Tasks screen and pass by context the selected item from your gallery, instead of calling gallery.selected from tasks as you do in 11:26? I got use to doing all navigations passing context variables among screens, but I don't know if it is a best practice or not.

There are no delegation issues here. Unless you have more than 2000 tasks for a specific project. Dynamically getting data will run into delegation challenges and not something I have done any work on.
Hi Reza, this is great, but i have some question here, example i want to set only 5 task under 1 project, then they only can add the task for only 5 then after that the button disable because already limit task. Is it possible to do that?

Hi Reza, I have this code here for the collection and it does give me incompatible data types. Project_Lookup = Information_Gallery.Selected.'Project Title'... I was using Dataverse as my datasource.

Hi Reza. You've taught me a ton since I started watching your channel a few months ago. I finally joined your channel as a silver member. If time permits, would you consider posting a follow-up video to this? Starting from the "Projects" list standard Board view in SharePoint (not in the Canvas App), I want to: 1) Click the "New" button, which starts editing a new Project item directly in the Canvas App. 2) Click an existing Project item, which starts editing that item directly in the Canvas App. I created the Canvas App the same way you did (i.e., NOT created via Integrate>Power Apps>Customize Forms in the header menu of the Projects list). So, this has created a challenge to figure out how to link them from the list interface. Thanks again!!

Hi Reza, I am working on a project and have referred this video to add row items for a material management request, which as number of line items under one request. I have used single form for this. It's all working fine but, when I click on new request, the collgrid gallery is not getting cleared. I have tried adding clear colgrid in btnupload, but that is affecting other operations. Could you please suggest, what is the best way to clear grid when new form is opened🙏

This is an awesome video. But the step at 23:06 where you move the "Clear" command to the "btnLoadGrid" button, breaks my setup. So I had to leave it as part of the Save button instead.

Hello Reza, thank you for this video. Since we don't use Dataverse, using relational data with SP is very necessary. However, I found one l issue. When I first opened the app , it was fine. Once I clicked on an item in the gallery(for example, customer 1) , even though I attempted to create a new item, the gallery still selected the customer 1, causing the second page, which uses relational data, to display the details associated with the customer 1. When I click the new , I expect the second page to be empty but it doesn't. Do you know how to resolve this issue? Without resolving this issue, I can't use it at work.
@@RezaDorrani Yes. When the app is open at first, there is no issue. But if you click one of existing items and then if you click new, you can see that the main gallery still selected the existing item that caused the second page which is the relational data page.

Thanks, Reza. My text input control doesn't have a "Value" property and I can't find that in documentation. Is the "Default" property the same thing? Are we working with different versions?
Never mind. I just saw that you answered this earlier and said that Classic and Modern have different properties and Default is the same. Additionally, under Default, I needed to state the value as "ThisItem.'Project Lookup'.Value" rather than "ThisItem.Title" in order to get a result. I then turned on Modern to avoid similar issues ahead.

@@RezaDorrani If I had paid more attention, you answered my question in the video. I adapted the choices(Tasks.Priority) to the lookup field and it worked perfectly. I used the combobox control and its ideal for the number of choices vs dropdown. Its crazy how much time you can spend on basic solutions - ya dont know what ya dont know. Hi Reza, I just would like to know how we apply this to a service desk app spos. I have multiple departments with custom columns requirements. I could not make a single list with too many columns. What may be the best approach to handle this scenario. Should I use the relationship list type. I just want to know how you manage to maintain lists when my columns are not the same for various departments but still I have to show the gallery unique for each department. Pls advise
@@RezaDorrani Hey Reza, My expectation is to have a service desk app for multiple department to handle the tickets. But each departments has the requirements of custom columns. Example Transport required pick up dates, drop location etc. whereas facilities teams require floor number, wing, buildings etc. If i make one SharePoint list, there may be many columns i need to add considering each department specific field requirements. However if i create list for each department, though if i use look up columns, in the powerapps to show the departments with their specific tickets i need to switch multiple lists on items properties to show the tickets for the specific departments. Additionally i also have to customzie the labels inside the gallery based on the department to show the proper data for the helpdesk ticket. Is there a better way of doing this. Please input some ideas.
@@RezaDorrani in this case, your child list is in SP, what if we want to have different data sources for the child list eg; SQL, the only way to make a relationship is to save the parent id in the child list while doing a patch; Q? Is there a way to get the parent ID and patch in child list? and still have editable grid exp

When I create a new form, and add a related task and save the task before I have submitted the form, the tasks in the tasks list do not have a value in the lookup column and so the relationship is not created. Do you have a solution for this scenario or did I miss something in the video? Thanks.

Reza - as always great video - I'm struggling with the PowerFX on the add button for the grid, I have this - Patch( 'Item Details Receiving', Defaults('Item Details Receiving'), {'Item/SKU': "New Item/Sku"}, 'PO#':{Value:RecordsGallery1.Selected.'PO#', Id:RecordsGallery1.Selected.ID}}) - it likes everything except the PO#. The internal column name is PO_0023_, but it doesn't like that either. That is my lookup column.

I have tried to tie a search search box on the child form to both collections, the Data and Updates, individually. I can complete the code with out errors but the filter function still does not work. I used the StartsWith() functions in my code. By the way my version of the app has two child forms and associated lists. Hi Reza! I am having an issue that I cannot find an answer for and I was hoping you might be able to assist me. I added a people field column with a classic choice box to my grid/gallery view. When I update in the app everything updates in my SPL accordingly and saves in the app too, however, my add button stays disabled from the point of hitting the save button on and I only have my save button available to me from that point on. I can continue to make changes to the fields and hit save all I want & it will save and update in my SPL too but the add button stays disabled after that point going forward and all I have is my save button. I can not add any new rows to my grid. I have no errors and everything seems to working except for the add button disabling after I make 1 change. I don’t know why it’s happening but I do know it has something to do with my combo box field for my people column and I know this b/c I spent hours testing it and figured out it does not do this and everything works perfectly in the app when I don’t use, change or even remove the combo box field all together but surely I should be able to have a combo box people field/column?!? I mean after all it updates & works correctly in my SPL but for some reason the combo box disables my add button. Please please any help or thoughts is greatly appreciated. Maybe it’s the way I have my combo box people field coded in my save patch function or btnupdate. I believe every thing is correct on the combobox properties (items, display fields & search fields etc.) I’ve spent hours trying to figure out why. I don’t want to have to go w/out a people field. Thank you in advance for any help you can offer.

Reza, I'm working on the Choices column for priority...when I run the formula up top, I get the right values, however, when I run the application, the choices container is blank. Any ideas?

At the moment I'm looking into changing 4 dataverse tables into Lists as my users will not have a Power Apps Premium license. Which is incredibly expensive, even for education.
There are a lot of mixed opions online about whether or not using SharePoint Lists as a relational database (like in this video) is bad. To be honest I still can't see the big issue for regular apps. In my example I'll have about 100-150 "projects" maximum in 1 Projects List and each project has about 5 Tasks itself, so 750 max in total.
There will be different Teams with their own projects = multiple Projects Lists with their own Tasks. All in seperated lists with their own List Permissions (Read/write).
Honestly I think it's manageble with Lists.
Though the internet seems to push me towards Dataverse (which we cannot pay for user to write to the dataverse tables). Do you think I should go for SharePoint Lists? Is it doable?
Dataverse is the preferred option from a scalability perspective but for lightweight scenarios SharePoint can do the work

I have built something for work which replaces projects with risks and tasks with treatments to lower the risk which works great but I have been wondering if there is a way to assign the tasks (or treatments in my case) to multiple projects? They wont automatically be available. You would have to add them to your gallery or forms.

I have a case in which many projects must be tracked saving all tasks, approvals, notes, files...
Must they be separated in different related lists and concatenate collections of max 2000 rows to avoid delegation problems?
Too many collections and too many relationships will hit performance of App. For lightweight use case SharePoint is good but beyond that you should consider Dataverse or SQL

SQL uses FK and PK type true relationship. Behavior would be similar.
Hi Reza I love your videos so easy to follow and have built several of your apps having never done any SharePoint so finding these videos extremely informative. I have tried and failed to use this relationship on a custom form, so because i'm using the SharePointIntegration data model to get the record. When i view the form the record is there so it all seems to be working, my issues is I have 2 drop downs and when i edit the fields i can't add value. It doesn't seem to save but i think it maybe something to do with drop downs. Also have lots of red circles when in power apps which can't be good. Obviously missing something and my very basic level of knowledge of the data model and functions is hampering me, really sorry to ask as i know your not here to support Sharepoint.

Hello Reza!!, great job mate. I don't know what happened to one of my SharePoint list, in this I have an image column and an attachments column (default column), for some reason when a user creates a row and uploads an image this is duplicated in the attachments column. It is as if SharePoint creates a copy of this image in the attachaments column, which is not desirable because other documents have to be loaded in the attachements column. Do you know what could be happening?

If I create a new parent item (which would not have any child records associated with it) and then go to the child screen to create a child record, is it possible to make the child gallery with the repeating table already have a blank row ready to fill in? So that I wouldn't have to click the "Add" button until I wanted to make a second child item?

I believe you can update choice field with power automate.
An alternative is to create a sharepoint list that will capture your choices. Then in power app link the drop down to the Sharepoint list instead.
Then you can create a screen that display the Sharepoint list and have use add new or edit “choices”

I have done Dataverse table relationship video.
For my use case of this I am using a people picker column for the first column in the "tasks" list.
It appears when patching to a lookup (people picker in my case) the btnUpdate gets selected by the onchange property in the people picker column after saving which causes the gridupdates collection to fill back up making it impossible to add a new "task".
Is the lookup field causing an extra onchange by refilling its information?
I believe the culprit is combo box. But should work with this technique. Il have to recreate your scenario to know more.

@@RezaDorrani I downloaded your reference app and put a people picker instead of text and sure enough it broke the solution.
Changed mine to text and it works. I will need to recreate the people picker control using one of the methods like office connector and then pass the information to a text field and populate the people picker on the list by patching it after.
Definitely going to post this to the forums to see if anyone else has seen this with onchange in a combo box/people field
@@RobotRisingTech The reference app does not include people picker. A change may or may not be accurate + sometimes there could be workarounds.

Hi Reza, thanks for the video. Quick question on this. Given that multiple projects could have the same title in theory, is there a way to lookup to project ID rather than project title? I'm doing a similar 1:N app for a ticket system with comments, and I had it working when the ticket title was the lookup field in the comments list, but when I realized the duplication issue and switched to ID, I'm having issues getting the linked formulas to work. Wondering if the ID column has specific rules/attributes that make this problematic, but then not sure how to work around it to avoid the duplicate title issue. Thanks again for your videos. You can decide which column you want to lookup on.
Hi Reza, I have a performance question for you. To connect projects and tasks screen, wouldn't be better to Navigate to Tasks screen and pass by context the selected item from your gallery, instead of calling gallery.selected from tasks as you do in 11:26? I got use to doing all navigations passing context variables among screens, but I don't know if it is a best practice or not.

There are no delegation issues here. Unless you have more than 2000 tasks for a specific project.

Starting from the "Projects" list standard Board view in SharePoint (not in the Canvas App), I want to:
1) Click the "New" button, which starts editing a new Project item directly in the Canvas App.
2) Click an existing Project item, which starts editing that item directly in the Canvas App.
I created the Canvas App the same way you did (i.e., NOT created via Integrate>Power Apps>Customize Forms in the header menu of the Projects list). So, this has created a challenge to figure out how to link them from the list interface. Thanks again!!

Hi Reza, I am working on a project and have referred this video to add row items for a material management request, which as number of line items under one request. I have used single form for this. It's all working fine but, when I click on new request, the collgrid gallery is not getting cleared. I have tried adding clear colgrid in btnupload, but that is affecting other operations. Hello Reza, thank you for this video. Since we don't use Dataverse, using relational data with SP is very necessary. However, I found one l issue.
When I first opened the app , it was fine.
Once I clicked on an item in the gallery(for example, customer 1) , even though I attempted to create a new item, the gallery still selected the customer 1, causing the second page, which uses relational data, to display the details associated with the customer 1.
When I click the new , I expect the second page to be empty but it doesn't.
Do you know how to resolve this issue? Without resolving this issue, I can't use it at work.

@@RezaDorrani Yes. When the app is open at first, there is no issue. But if you click one of existing items and then if you click new, you can see that the main gallery still selected the existing item that caused the second page which is the relational data page.

Thanks, Reza. My text input control doesn't have a "Value" property and I can't find that in documentation. Is the "Default" property the same thing? Are we working with different versions?
Never mind. I just saw that you answered this earlier and said that Classic and Modern have different properties and Default is the same. Additionally, under Default, I needed to state the value as "ThisItem.'Project Lookup'.Value" rather than "ThisItem.Title" in order to get a result. I then turned on Modern to avoid similar issues ahead.

@@RezaDorrani If I had paid more attention, you answered my question in the video. I adapted the choices(Tasks.Priority) to the lookup field and it worked perfectly. I used the combobox control and its ideal for the number of choices vs dropdown. Its crazy how much time you can spend on basic solutions - ya dont know what ya dont know. Hi Reza, I just would like to know how we apply this to a service desk app spos. I have multiple departments with custom columns requirements. I could not make a single list with too many columns. What may be the best approach to handle this scenario. Should I use the relationship list type. I just want to know how you manage to maintain lists when my columns are not the same for various departments but still I have to show the gallery unique for each department. Pls advise
What is relationship list type?
Sharepoint is not best fit for relational data. Even what I show in video is more of a lookup between 2 lists.
@@RezaDorrani Hey Reza, My expectation is to have a service desk app for multiple department to handle the tickets. But each departments has the requirements of custom columns. Example Transport required pick up dates, drop location etc. whereas facilities teams require floor number, wing, buildings etc. If i make one SharePoint list, there may be many columns i need to add considering each department specific field requirements. However if i create list for each department, though if i use look up columns, in the powerapps to show the departments with their specific tickets i need to switch multiple lists on items properties to show the tickets for the specific departments. Additionally i also have to customzie the labels inside the gallery based on the department to show the proper data for the helpdesk ticket. Is there a better way of doing this. Please input some ideas.
@tvenkatesh81 With SharePoint you are limited. You would need multiple lists. That's a better option than 100s of columns.

Choices is an inbuilt function in power apps.
You can apply it to columns of type choice.

Hey Reza, question about this solution. I recreated this solution. When I create a new form, and add a related task and save the task before I have submitted the form, the tasks in the tasks list do not have a value in the lookup column and so the relationship is not created. Do you have a solution for this scenario or did I miss something in the video? Thanks.
I believe you have probably missed doing some step. I dont remember running into any such issue.

You will need to be specific. Which checkbox modern or classic?
Modern has options for OnCheck and OnUncheck now which can be used.

Would you be willing to add a multi-column search box to the Tasks child form of the App in this video and re-post it. I have tried to tie a search search box on the child form to both collections, the Data and Updates, individually. I can complete the code with out errors but the filter function still does not work. I used the StartsWith() functions in my code. By the way my version of the app has two child forms and associated lists. The app works very well with exception to having search/filter capabilities on the child forms. Thank you and Best Regards.

Hi Reza! I am having an issue that I cannot find an answer for and I was hoping you might be able to assist me. I added a people field column with a classic choice box to my grid/gallery view. When I update in the app everything updates in my SPL accordingly and saves in the app too, however, my add button stays disabled from the point of hitting the save button on and I only have my save button available to me from that point on. I can continue to make changes to the fields and hit save all I want & it will save and update in my SPL too but the add button stays disabled after that point going forward and all I have is my save button. I can not add any new rows to my grid. I have no errors and everything seems to working except for the add button disabling after I make 1 change. I don’t know why it’s happening but I do know it has something to do with my combo box field for my people column and I know this b/c I spent hours testing it and figured out it does not do this and everything works perfectly in the app when I don’t use, change or even remove the combo box field all together but surely I should be able to have a combo box people field/column?!? I mean after all it updates & works correctly in my SPL but for some reason the combo box disables my add button. Please please any help or thoughts is greatly appreciated. Maybe it’s the way I have my combo box people field coded in my save patch function or btnupdate. I believe every thing is correct on the combobox properties (items, display fields & search fields etc.) I’ve spent hours trying to figure out why. I don’t want to have to go w/out a people field. Thank you in advance for any help you can offer.

Reza, I'm working on the Choices column for priority...when I run the formula up top, I get the right values, however, when I run the application, the choices container is blank. Any ideas?
