    Thank you for this session DeShon - I need help with restricted access, i.e. to be able to grant access in such a manner where by, a list or a folder is accessible by a few, but the same people cannot access other lists / folders in the same site

    Hi Deshon, thanks a lot for this very helpful information. Still some questions: when do you need to create a new document library (so next to the current default document library)? Is this depending on the metadata, I mean if certain documents need completely different metadata then others, then it's better to create a new document library? Other question: do you explain somewhere how to create icon-based filtering on document libraries, which means that by clicking on icon 1, I present all documents related to functional design and by clicking on icon 2, I show all documents related to technical design?       +Rik De Bie thanks for watching...I really do appreciate the feedback. As far as document libraries, when to create .vs using the default really depends on the number of documents and how easy it will be for the end users. For example you can put all of HR documents in a single library and just segment them by folders of the total count was less than 200 or so. You can use content types for the different meta data requirements for the various documents in the same library, but the easy of use may be in question when you have many documents and you need both a search and browse option. Instead of having all forms, policies, procedures, and contract documents in the same library, I would create one for each type, especially if you are considering 1000s of each. Then you can further segement policies, as an example, to different types of policies within the same library. For the end user, if they are looking for policies, I have a targeted library I can point them to...
      As far as the other question, related to filtering docs, or refining documents by icons, you can have the icons on a site page (or any SharePoint page) and just link the icon to the various views within a document library (since each view has an url). This becomes pretty straight forward once you have the right meta data in place, one simple "category" column will allow you to tag tech specs, design, requirements, etc...for each doc. Create a view(s) filtering on the category column sorted by modified desc, and you have a powerful feature on hand....hope this helps.

    Is there anyway you could tell me if there are any videos about the blog? I need to figure out how people can submit information to be published on the blog but have it go through a approval process. PLEASE HELP!

      Krystal, are you using SharePoint online? Basically, you need to enable the "Content Approval" option for the Posts list in the Blog site. So on the Post list go to List Settings --> Versioning Settings --> select "Yes" for the Require content approval for submitted items. Once this is set, the users will be able to create Posts, but they will not be visible until they are approved. (note: until it is approved, only the creator of the post and the approvers will be able to see the post)...hope this helps

    These videos are helpful I just do not know how one person can learn SharePoint and make it user friendly and helpful without a consultant or someone who is fluent with it. It is easy to get lost as a beginner. :(

It took me a while to wrap my head around SharePoint and keep up with all of the changes from version to version...with 12 years of experience with implementing and customizing SharePoint for large organizations, I still find myself on the learning side of things. No one person will know everything...you have those whom specialize in certain areas and have a general understanding in others. Whatever your role will be in SharePoint for your organization, that's the area you want to master. Feel free to reach out if your have questions or interested in tips and tricks. I will try to get lesson 4 out very soon.

      Actually the two are completely different, modern SharePoint is going to give you way more out of the box capabilities and it's responsive and mobile-friendly out-of-the-box and was built from the ground up to be cloud first mobile first of portal solution. Most organizations are moving towards modern SharePoint modern SharePoint is a new kid on the block, and will receive new features and capabilities monthly if not biweekly

    We use SharePoint for purchase and travel request. The request are created via a SharePoint form and they each have unique IDs. I know you demonstrated search and indexing documents such as .docx and .pdfs however, how would I index the search option for my purchase and travel request or any data created via a form. I hope I made since. Any help on this matter from anyone is appreciated.

      +D W if you are using Infopath for the form, ensure you are storing the form data inside of a list. If this is the case, then that data is searchable. With Infopath forms, there are two storage types, save the form data in a list, or save the form as a whole in a forms library...you need the former.

They also told us going forward we have to start using nintex workflows. Have you used this process yet? Would this same process you mention be applicable to nintex forms?

    I need some help. If I have two subsites and I want to send a paste from subsite A to subsite B with all the documents inside, how can I do that?

      For SharePoint 2013, the easiest way to do this is to use Internet Explorer and view the libraries in Windows Explorer view (in two separate windows) and then copy and paste the documents from site a to site b in the Windows Explorer view th-cam.com/video/3yM974e6CMY/w-d-xo.html

      Some good, but creates a lot of friction when abused... You know those types 20 required fields to upload a document. It became so bad that they dropped custom columns for OneDrive and added better support for folders. Someone spreaded the gospel that it was good, it got abused, now they are reigning it back.
