Question: Is that project portal document just a Google doc? Does Zapier send that back to Honeybook or does your project manager merge it back over once completed? Do you use this document in place of a questionnaire?

What happens if someone is gone for vacation for a few weeks? Is there a way to move all dates easily? Or does it ruin the entire process? Thanks!
Great question! So right now, unfortunately, there is no way to avoid this and you can't block off someone being assigned on certain days. Even weekends. BUT good news is they are working on this! You can check the status of this feature here: clickup.canny.io/feature-requests/p/skip-weekends-when-scheduling-rescheduling-tasks
Do you think it's best to have both a Honeybook and a separate website for consultants?

How do we create automation so that one team member can be the initial contact for Honeybook ? from the inquiry form so I can assign to a member, as i am the owner i want to see but i dont want to be everywhere in the proecss
Great question! So this would be in the Contact Form Settings. You will see the "Incoming Leads Recipient" section, and you can have your team member added as the "Project Owner" and you can just add yourself as the "Leads Recipient". Hope that helps!
Is there anyway to have clients select a time range for their session? Say a photographer that charges an hourly rate for example.
Yes! There is a way you can accomplish this with HoneyBook's new "Service Based Scheduling". How you could do this is set it up through a Lead Form, where you have a few schedulers for the session times you want them to choose from, say 30, 60, 90 mins. Then you can set those options in the services block. Hey! Yes they can see their open projects! It won't be in a pipeline like yours, but in the portal on the top left side, they will see "All Projects" and they can click between each project portal.

Hey there! I am not exactly sure what you mean. Where exactly do you want to put it in the HB portal?
Can you help me understand something about honeybook bookings? For instance, if I only want to be booked on saturday once by one 1 client only, how can I make it so that there's only 1 slot available on my scheduler with the time frame opened from 9am-10pm? I've tried opening my schedule from 9am-10pm but there's so many slots for other clients to choose from. I only want it where 9am-10pm is 1 session. I have changed the duration but that also conflicts with my scheduler on Fridays.
Great question! So unfortunately right now on schedulers there is no way to close a scheduler when X amount of sessions is booked. You will just have to manually remove that day's availability once someone books it. Hoping we see this in the future 🙏🏼.
Thanks for this clear and instructive video. I have a question on subtask automation. Is there a way to change the status of a task to "in-progress", when at least one of its sub-tasks change from ANY to in-progress. I see there they now have introduced "All subtask resolved" under "When", but that doesn't help in solving my challenge. Thanks in advance for your advice.
Currently that's not possible. You cannot have actions for a task based on subtask triggers. Hoping we see this in the future! 🙏🏼

Thank you for your video. It really cleared up some things that I was struggling with. I do have a question regarding Automations that was not covered. How can I set up my Automation so that it's personalized for each person in the project? I have a project consisting of 6 individuals (senior group session) and want each of them to sign contract and model release. Currently when sent, it only shows the first person in the project, so everyone is getting the contract and email, but they see it with one specific individual's contact information. Hope that made sense.
Hey there! So unfortunately, automating this is not possible right now. You can manually add more people to the project and to sign the contract. But there are also only one set of smart fields for emails as well so you will need to adfdress people manually. Hope that helps!

Why are there 2 calendar views, and I cant delete them? Theyre the exact same
Hey! Not sure why you can't delete your calendar view. You need to click with the right button and then click on "delete view". If you are not able to do that I'd suggest checking with ClickUp support.

Love your videos! Just starting to use Click up, these have been so useful! Quick question, when I add a task list to the dashboard I'm seeing all the tabs (subtasks, chart view, etc) . i would definitely prefer to have it simpler like the one you showed to not overwhelm clients. I've tried different settings and re-inviting only to the list, but I can't seem to get it to look like that. Thanks so much in advance!
So happy you love my videos! 😄 I appreciate your support! So the reason yours looks different is because this is an old video before ClickUp 3.0 Now the 3.0 dashboards have the additional fields and there is currently no way to hide them.
Your 'how to' is really stratightforward to follow - i have a question about the client view - does this disable click through to the tasks in the list and only show the 'top view'? What if there is back end information that is not for client eyes within the task data (e.g. comments, billing info/time tracking etc.) Thanks for helping.
Hey! Yes, you'll need to add your clients as Guests in your Workspace settings, and then tailor specific Views for them to see. You can decide exactly which fields they can view by adjusting the settings in each task under 'Sharing & Permissions.' This way, you ensure they only get the necessary info, keeping sensitive details secure. Hope this helps! 😄

Yes, when creating or editing a smart file, you can include a special type of question (file upload) in your form. This block allows clients to upload images and PDFs directly through the file. Hope this helps!! 😊

Do you recommend creating separate contact forms for when people download a pdf from a blog post? For each downloadable pdf? Or just one that tells me it's coming from a download. Thank you for your help. I've been searching the best way to do this and can't seem to figure it out.
I actually would not recommend providing free PDF Downloads with HoneyBook. This is something that is more suitable for an Email Marketing tool - there are some great free ones out there too if you don't have one already! 😀
Is there any way to split the payments for mini sessions using lead forms? For some reason it isn't letting me when I've tried.
Unfortunately, lead forms in HoneyBook only allow for one payment to be scheduled, which must be paid upon submission of the form.

I suggest that with all templates you will want to at least be on the first paid Tier of Unlimited. This way you don't run out of Custom Field uses which all of our templates include :)

Great video, thank you. I was hoping to combine this Calender view you've outlined with a holiday calendar of the action owners. Is this possible?
You can create multiple calendars or action item lists and then go to the Folder Level, Space Level, OR Everything Level and create a view that filters in ALL Tasks & Events. Hope that helps! 😄

Great review! Are you using the circle payments + thrivecart & running a dual system? The order bumps & upsells are important but could get messy with zaps to stick it all together
Currently we are just using Thrivecart and use Zapier to add them to Circle after purchase! It is definitely a lot to set up and figure out in the beginning, but then once it's set up you're good to go.
