Naming Conventions made easy - save time and make your life so much easier
There's no 'best' universal naming convention. It's entirely dependent on how you've set up your work. In this video I'll walk you through the four principles and two questions you'll need to ask yourself to craft a solid naming convention for your purpose.       If you're on a team managed project and you're a project admin it's pretty straightforward. Just go to the project settings and select 'Issue types'. From there you can add custom fields as needed. If you're on a company managed project it's trickier and you need to be a global admin. In this case you'll need to look the Atlassian documentation, sorry.

      You'll need to set the filters up to hide unassigned items. Adding 'AND assignee != Unassigned' to your filters should do the trick.

      If you add a condition to the filter along the lines of 'AND (status = Done OR resolution = Closed)' it will exclude those issues

    I dream of a time to come in my life when Jira gets out of it. It's a horrendous piece of software. Positively diabolical. Been struggling with it for 10+ years and it still does my brain in trying find stuff. Massive time waster. It's more of a hindrance than an aid. And the more Jira is integrated into our workflows, the more of a menace it becomes.

      It’s the leading work management platform for app dev teams, but requires careful management to avoid information overload. I have not found a better solution. Best used with Confluence for project docs.

    Where can I find the Filter option for the dashboard in the Jira version Jira v9.4.6?

      Hi Kerstin, Unfortunately, I use Jira Cloud and don't have access to a self-managed version so I can't check if there are any specific differences in how Dashboards are set up. As far as I can tell from the Jira 9.4.6 documentation the 'Filter Results Gadget' should be available to you (confluence.atlassian.com/jirasoftwareserver0906/gadgets-for-jira-applications-1217303502.html) and from what I can see it should be similar to how you add it on Jira Cloud. If you are not seeing the Filter Results Gadget, there may be an issue with your instance of Jira, so it may be worth escalating to whoever manages your Jira instance. Sorry I can't help more.

      Where can I find "X" option of feature in Jira... probably the most often asked question and it's the one I ask every day. Nothing is easy. Everything is hidden behind layers of menus, links, controls or whatever, and all arranged in a seemingly random unintuitive way. It's diabolical.

    Whether it's invoices or marketing assets, a naming convention can help you spend less time looking for something you know exists or redoing things you know you have but can't find. While this is not an exhaustive list, I've used naming conventions for: • Invoices - You may want to consider using the date and client name, then enumerating if there are multiple (e.g. ClientName_2023-06-19_1), as enumerating your invoices (e.g. invoice1234) can give away how much other business you do - some people/businesses can be sensitive to this so it's worth keeping in mind • Marketing assets - for internal use, consider naming product shots with the product SKU or similar unique identifier and a description, e.g. ABC123_front.png or ABC123_specs.png • Graphic assets and content briefs in a digital publishing setting • Jira/Trello tickets to track progress of large scale publishing projects - tens of thousands of items composed of dozens of components each add up quickly, and having consistent naming helps you keep track of everything. • Naming files for yourself and clients - the spreadsheets I create to track projects are named consistently, so I can find the ones I need more easily in future. Using consistent naming for files I created for clients also made it clearer to them what they have received and makes it easier for them to find what they're after (and it also makes you look much more professional). Naming schemes make work so much easier, particularly at scale, and I've condensed all you need to know to get started into this video. I'd love to hear what's worked for you too, as I'm sure there are some interesting uses for naming schemes out there.

      Hi @frillback, I'm not infront of a computer right now, but from memory this is how it works: Make sure you've clicked the button named something like 'Edit dashboard' on the top right of the dashboard (this should only be an option for you as an owner-if you're not an owner get the owner to set the sharing permissions so you are). Once in edit mode, on the widget you want to remove, there should be a menu in the top right (three dots). One of those should allow you to remove the widget. I hope this helps.

      That should work. The only thing I can think of is if there are other conditions in the filter that filter out your assigned bugs. Not sure if you're using custom filters, but my Jira Search and JQL videos might help with getting a custom filter set up for the dashboard.

    I have watched this video several times but did not understand how you have brought up 2nd excel sheet with count.. I want only count from my Jira filters to be fetched in excel. How can i do that?

      Good catch. I think that might have been accidentally cut from the video. I used the COUNTA and COUNTIF functions in Excel to get those. To pull in the Statuses I used the UNIQUE function. I have a video that explains these functions here: th-cam.com/video/1NNAp3YaaLo/w-d-xo.html Unfortunately, there's no way to just fetch counts using this tool. You could use a Jira dashboard or filter to get those counts. I have videos on these too.

    Thank you so much! I was looking for a way to retain all of the formatting when uploading into Jira. One simple unchecked box did the trick. That is going to save hours for my testers. Question: Is there a cheat sheet showing how test in the csv file maps to special characters? I liked the green check box (/) and red x bullets (x) .

      Hi Jeff, I'm glad this proved useful! Yes, there's a list of basic ones like (x) towards the bottom of this page: confluence.atlassian.com/doc/symbols-emojis-and-special-characters-136870.html You _should_ also be able to use any emoji you can put into a Jira text box from the UI using text between two colons (e.g. :star:), though I haven't tested that. You can get the emoji's specific text by hovering over it in the UI and reading it off the bottom (see the screenshot of the emoji menu in the link above).

    Florian, you're so good... can you please do a confluence page as well? Your excel and reports via the dashboard is the best tutorial that's quick, easy to understand, and saved me. Some folks said they know Jira, and when I asked them questions it's like, I don't know...duh.

      When you tube loads the video it can possibly reduce the quality of the video. Hit that settings button and choose the highest quality available. That should solve ur challenge. Eg: when i was watching it was showing the screen in 360p and i changed it to 1080p and that solved the challenge.

    Honestly, this was the best quick tip. OMG, saved me big time cause I had trouble with the reports setup. But, I've discovered the dashboard gadget from the column dropdown....I'm telling you, can't get any better using that functionality. Now I'm going to look at the Dashboard gadget Video to learn even more; will let y'all know the feedback.

      I've just released a video a few minutes ago that addresses more advanced Jira filtering with JQL. The last chapter in that is about filtering down to date ranges. You could use something like: status = "In development" AND statusCategoryChangedDate <-7d That will give you all issues in that status that were last transitioned more than 7 days ago. If that doesn't work, you could try these: I've only looked into this at a surface level, but you could use Jira automations to update a custom date field (not sure if this can be hidden from the user), which you update to the current date whenever an issue is transitioned. That way you just search for dates in that field that are longer ago than the number of days you care about. Alternatively, you can also create an automation using something like Zapier or Microsoft PowerAutomate to record each time a transition occurs along with the date, and just compare the list of the last X days to all the items in the project. The ones that don't marry up haven't been transitioned in X days. If you're technically inclined and happy to write some code, I've had great success with Atlassian's API and some Python. You can access the status transitions in the issue history and check if it was greater than X days ago.

      It should remember what fields you imported last time, but you can also filter the fields to just the project you're looking for with the drop down at the top. It should automatically have all custom fields that are available in the Jira instance you're searching.

    Hi. This is very useful. Do you know a way how to migrate the entire db from mantis 1.2.4 to Jira? I want to migrate all the tickets I have to jira but dont know an easy way.

      Hi Hakan Tanis, I don't have experience with Mantis, but you'll need to find some way to export all the tickets there to CSV or JSON. If you are a Jira admin, you can do a bulk import of all of these tickets and projects using the External System Import (Administration > System > Import & Export > External System Import). Alternatively, you may need to write a script that goes through every project and ticket in Mantis and creates an equivalent project ticket in Jira (particularly if you want to grab attachments as far as I can tell).

      Hi Vishnu, I haven't specifically mapped check-list values for a custom field, but there's a short thread on the Atlassian Community that covers this called 'Import subtask with checklist mapping is not working' that talks through mapping the values (with screenshots). This should work for all tickets with custom check-list fields. I hope that helps!
