Enhance Power BI Reporting: Manually Add Data Without Leaving the Report
Frustrated by incomplete data in Power BI?
Do you wish you could add missing data directly into your reports without expensive and drawn-out IT projects?
Well, the good news is - you can! In this video, you'll learn how to use tools you likely already have (SharePoint, Power Apps and Power Automate) to build a solution in about an hour.
Here's the 3-step plan:
➡️ Step 1: Create a Data Home: Securely store your data in a SharePoint list and connect it to Power BI.
➡️ Step 2: Embed a Data Capture App: Build a user-friendly Power App and embed it directly in your report for quick and easy data entry.
➡️ Step 3: Automate for Efficiency: Use Power Automate to automatically refresh your reports when new data is added, ensuring you always have the latest data.
Stop letting gaps in your data hold you back from creating impactful reports that support and drive better data-driven decisions.
Check out this video, follow the 3 step process to set up the system and start getting the most out of Power BI and your data.

Case Study Details: Chemical Plant Production Loss Analysis
🤔The Problem:
A chemical processing plant tracks equipment breakdowns using a CMMS (Computerised Maintenance Management System). The CMMS lists maintenance work orders related to fixing equipment failures that have caused plant shutdowns. However, it doesn't capture the financial impact of the lost production caused by these breakdowns.
This critical data exists in a separate production management system that isn't connected to the CMMS or the data warehouse. Plant management also wants to capture root cause information, corrective actions, and the status of these actions - all within the context of the work order. They are losing money! They need the data quickly and don't want to spend a fortune on drown out, expensive IT projects.
🎯The Goal:
As a reliability engineer, you have been tasked with coming up with a solution. You need to analyse the total cost of failure for each piece of equipment, so you can identify which equipment items are the 'bad actors[add a full stop]' This analysis requires more data in order to prioritise maintenance efforts, investment in new equipment, training, etc.
The overall goal is to use the data to drive data-driven investment decisions with the aim of reducing unplanned breakdowns and costly downtime. This starts with adding the production loss value associated with each breakdown. Next it's finding a way to record further details of the failure to improve the root cause analysis process and reduce the risk of repeating issues.
🥳The Solution in Action:
This video demonstrates how the 3-step system described above was used to solve this exact problem. You'll see how a Power App, embedded directly within the Power BI report, allows users to add the missing production loss value, root cause codes, cause descriptions, follow-on actions, and status updates directly to each breakdown work order.
By connecting this app to a SharePoint list and automating the data refresh with Power Automate, the plant now has a complete picture of the financial impact of each breakdown, enabling them to make data-driven decisions to improve maintenance strategies, minimize future losses, and improve their failure analysis process.

Power BI CARD with STATES by OKViz Deep Dive - Learn 3 Ways To Set Up This Great Card Visual
Let me try thanks
I don't have embedded feature
Right on time! Nice work!
Can you multiple power apps I have ten plants and I want to use the process to get each site to enter their data into the power and some sites have one unit with 30 days of enter for OEE and some have up to 5 people entering 30 days of data for up to 20 unit. And we would like to do an excel spread upload????
I'm not 100% sure about the specifics but it seems like you could use a single Power App for all sites, as long as the Power BI report has a filter for site and each unit has a unique tag (although if now you could always join the plant and the tag to make it unique). If you already have date in Excel you can copy and paste it into the SharePoint list as long as the columns were the same data type. There is no issue with multiple people updating the SharePoint list as the same time through the PowerApp. Hope that answers you question.
Do this need direct connectivity in any source?
No, it's import. That way you don't need a PowerApp premium licence. It does however mean that update via the embedded Power App are not in reflected in the report in real time, you need to refresh the report before you see them. Is that what you ment?
I've been searching for months how to sort when it goes beyond 9 because it kept wanting to sort by 1 first. So 100 would show up right under 1. This video helped me figure it out. It's exactly what I was looking for.
great job 🙂 where can i the resource for this video?
This is amazing. Clean, neat. Great!
Very helpful, thank you! (Just stupid, to hide such an important functionality)
mind blown, thank you!
No matter what I did, I could not download the full version. I registered on the main site, but I could not get the full version from it. Is it possible to upload the full version here?
Jaon, this is a very good tutorial on this subject. Thank you very much for the insights into this comprehensive topic
Love it 🫶 I spend hours by trying to get this result, how i can get this matrix with the measures in the Rows 🙏
Thank you so much 🙏
How do you do italics or underlined, not a color?
Hi Jason, how are you building your trend visual. Are you pulling from an excel spreadsheet that is updating the information regularly? or do you have some kind of automation going on?
Hi, it's connected to a data warehouse. This takes time stamped copy of all the open work orders every day. From that snapshot it is possible to count the work orders that meet the measure criteria.
@@jasondavidsondata Ok thanks, I'm trying to find a good solution for automating the trend data. Currently I have a excel that I update manually every week but would like to automate this activity. Started looking at power automate for this. How is your data warehouse taking a timestamp?
@hhillmtb are you on LinkedIn? We can connect and I can see what I can do to help you.
@@jasondavidsondata No not on Linked in. I think i have it figured out, thanks
I love how simple and quick your solution is. Perfect!
Great video, good quality and straightforward explanation!
Hello Jason, Can you provide the direct download link to the PBIX file of the dashboard because i didn't find it the ressources, thank you
save my day. Thank you
Hi great videos Do you have video that shows how to create Sub Total same columns by Departments?
Thank you Boss, you are genius
I can see there is a comment previously added before, would love to know once you hit the page navigation the menu bar should hide and at the same time go to desired page, cos as we get back to the page, the menu pane is still open which does not look good.
Useful. Thank you.
Awesome Work! Thanks a lot.
In my metrics trend line forecasting future date values, how can we fix that
Hi, thanks for the videos, really helpful! I got an issue, when I click on one item from the table, all the filters are reset. Do you know why?
Hi Jason, may I know how can I format the date column to be in the format "dd-mm-yy"? Also, I've been running this flow daily without any issues, and it's been aligning perfectly with the Power BI report. However, on October 31st, I noticed that approximately 20 rows were missing out of 10k+ rows. This was unexpected, as the flow has been smooth until now. Could you advise on possible reasons for the missing rows or any troubleshooting steps? Thanks so much for your help!
Hi, without understanding the query it's hard to say why some rows are missing. If you copied the query from a power bi visual do all the rows show up in there? If they do look in the query in power automate to see if there is a limit on the topn filter.
@ I've set the topn to 300k rows. Im puzzled since the query ran smoothly up until 30th October. But now some rows are suddenly and randomly missing and those rows are not the latest data, and has appeared in the report for 30th October. I'm wondering if this could be issue with Power Automate?
my next move would be to run the query in power bi and then in power automate and get more of an idea of the delta. Then try and figure out why there is a difference. Sorry I can't offer any more advice with out actually seeing what's going on first hand.
@@jasondavidsondata I ran the exact same query in Power BI, which returned 10,345 rows. However, when I run it through Power Automete, it only returns 10,249. I really can't figure why there's a difference here. :( Anyway, thank you so much for your help, Jason
If you want to connect with me on LinkedIn then we can follow this up and I'll see if I can help.
How did you build your date table
Can you share the date table formula that you are using
Hey Jason, this indeed was a very helpful video and am thrilled that i am able to use this. By any chance i can use multiple pages visuals of the same report going in the same email
Hello Do you know if we can add multiple labels in this slicer?
Thaaaaaaaaaaaaaaaaanks from my home to you any where.
Thanks a lot for the video..can we embed power bi visual along with the table ?
Thanks very much. Useful video and helped me with a challenge. Well done. Keep up the good work :-)
Great video, exactly what I needed to achieve and easy to understand.
This saved me so much time! I had done it before, but couldn't find it. You'd think MS would unbury that button. Thanks and great voice!
Thank you very much for this comprehensive video series.
It took me one week, messing with DEX formulas and things like that before I found this video. Thank you soo much.
i have a question, can't we say if one of a goal change statut activate my Power Automate ? (i have a lot of goals & subgoal on my scorecard)
Hey Jason, thanks for this amazing content, can you tell us more about the actualisation of the goals ? when it's going to check the new value ? for my case, i have a directquery data set and the matrix is added new values every 30mn, will the goal change or not ?
thanks for the video. i wonder is it possible to add extra column to the matrix where values are difference between 1 column of the matrix - 2 column of the matrix (MoM = last month - previous month for all measures)?
Hi Jason, I tried your method but instead of formatting to html table, I created a csv table and email it. There is a 500 rows limitation, is there any way to export without limitation?
Hi, you could try modifying the code that was copied from the query in Power BI desktop into the the Power Automate action to run a query against a dataset. Look for a TOPN statement. Power BI probably set this to 500. You can change this to a different figure. That should help hopefully. Let me know how you get on. 🙂
@@jasondavidsondata That's really helpful and has solved my problem. Thank you so much jason! I really appreciate your help 😄
Thanks. it is helpful. I've 2 soubts. 1. What if i select an row in table. Will slicer get filtered? 2. What if i add any category/discipline/station slicers at top and use the.. will it filter risk slicer?
can it be trigered by an update from powerBI tables, automatically ? so we dont have to click a button if we want to update the table in excel online ?
did the label density setting disappear, or was it relabeled?
This helps me a lots thanks Jason
Thank you... I´m learning a lot...
Thank you so much, saves me from using SWITCH() and creating a table just to set as rows.
Thank you so much. I was struggling😭
