Welcome to Lesson 8 of the multi-part series on Zotero. We continue from Lesson 7 in which saw how we can set up feeds, create reports and install and use plugins.
In this concluding lesson of this series, we see how to take backups, how to use online Zotero, how to setup file syncing to an external storage solution through WebDAV, how to create groups & collaborate and how to use the Zotero app in iPhone and iPad. We will also cover some other associated topics like how to create a profile page, how to use My Publications collection and how to export collections.

    Well explained. I like the way that you show how to learn keywords by experimenting with the buttons in the UI. One question, I'll never remember Shift-F3 to number formulas; is there a way to do this using menus?

      Hi. Glad that the video was helpful. The LO writer documentation mentions the fn+f3 method for numbering equations. I can understand you missing a menu option for numbering but if you think about it, to enter a formula you have to type a lot anyway (the equation terms, and operators)! So sadly there is no escape from typing even if you could choose numbering from the menu. In that backdrop, just remembering to type the words 'fn' on an empty line in a document and pressing the F3 key whenever you want to enter an equation is actually a very quick way to have your equation numbered. You can then change the equation as shown in the video. Currently however, I was not able to find any menu option for numbering. Many thanks once again for your kind words.

      @@ChinmayaSinghRathore You're welcome. So this is similar to using F4 to switch between relative and absolute addresses in Calc. In general, while having shortcut keys and typed command is fine for frequently used actions, I think menu options should always be available. But I guess it is what it is.

    How to custom page number? For example I don't want page number on title and TOC page but I want Introduction (of page 3) to be page 1?

      Hi. Many thanks for your question. I have shown how to do this in the next video in this series - Part 5 - Table of Contents ( URL below) : th-cam.com/video/LVhKjdoENy8/w-d-xo.htmlfeature=shared You can watch the whole video (recommended) or specifically see it after @3 minutes. For different page number sequences, you need to break the document into two parts and then page number the two parts seperately as shown in the above video ( how to break the document into two parts- I have shown that the start of the above video). Your answer to the question of @Roberto_Ronconi (the Zotero-bridge from version six to version seven) conceived the idea to make an episode of Zotero in a dualboot setting Linux-Windows. What is your opinion about this suggestion?

      Hi. I shared only the file for the demonstration of the Consolidate Feature starting @ 12:38 (as it is a typical example involving multiple sheets) and not for the portions before that topic. You can please use any excel file for the initial examples in the video. If you do not have access to a large dataset for practice, you can download the 'all earthquakes " ( or any other dataset) under the last 30 days section of the US Government (USGS) Earthquake Dataset from the following URL: earthquake.usgs.gov/earthquakes/feed/v1.0/csv.php Hope this helps.     Hi Sir, I have query about epub. I want to cut my epub as 10%, 20% and so on. Can we do it automatically or its a manually. For eg. i want to remove 10 pages from the epub and all files are used in this 10 pages it will be deleted and updated into epub files. It is possible in sigil?

      Hi. I'm afraid you will have to manually edit the ebook in SIGIL to make those changes. To the best of my knowledge, there is no automated way to achieve this. Maybe you can make a few copies of your epub and delete the pages that you don't want and create multiple epubs as per your requirement.

      Hi. While I am not sure if by 'opt' you mean equation options and I am assuming that is the case, please see if the following solves your issue. 1. When you type in a equation, to get back the equation options and the equation box, you can double click on the equation and you should see the equation box open up in the bottom half of the screen. If other equation options or place holders are not visible after double clicking the equation, you can click on the small arrow in the middle of the right edge of the screen to reveal a pane that has these. I have shown these screens in the pdf (2 screenshots) below for reference tinyurl.com/2fredsc2 When you click on any other area outside the equation in the document, these options go away and are no longer visible. Hope this is what you were looking for and hope this solves your issue. Cheers

    Thanks for your lesson. I am a beginning user for Zotero so your lesson was very useful for me. BTW, may I have one question? I had set up the sync as Webdav and same on my iphone as you told in the lesson. The server was verified and sync was done well. But when I open the attachment (PDF) on iphone, the error message is shown as "Linked files are not supported on iOS. You can open them using the Zotero desktop app". Could you give a solution that I solve this issue? Thank you so much.

      Hi. Glad that you found the video useful. Linked files cannot open on iPad or iPhone. Let me explain why they can't open on the iPhone. When you link a file say a pdf research paper or article to an item in your desktop Zotero, only the link to that item is saved inside Zotero. Say you have a pdf file in your laptops documents folder. You create an item in Zotero , right click on it and choose 'add attachment' and then choose 'linked file' - what is saved is the path where the pdf is stored on your desktop computer i.e. say c:/documents/paper.pdf - just this path rather than the whole pdf is stored by Zotero. If you are working on your desktop/laptop and click on this attached pdf from inside Zotero, it will show you the pdf contents as using the path it can open the PDF located in your laptops documents folder. So on a laptop, this could be a space saving measure as you already have a pdf copy in one folder, why duplicate it inside the Zotero folder also on the same computer. This may work if you just use your laptop to access your Zotero repository ( in my view it's not a good practice as you can always accidentally delete a pdf file kept in some folder which has been linked inside Zotero) But when this arrangement is synced on your iPhone i.e. the iPhone also gets this link in attachment which is basically just a path to the pdf file which is physically located on your laptop - that is when to tap on this link in attachment inside Zotero on the iPhone, it tries to open c:/documents/paper.pdf and as it can't just waltz inside your laptop directly in this way and pickup the pdf ( this path means nothing to the iPhone), it politely informs that "linked files are not supported". The solution is simple and you can try this with one item - just create a test item on your desktop Zotero manually, right click on the item and choose 'add attachment' and then choose 'file' ( not linked file) and point to a pdf on your computer - say in the documents folder - paper.pdf. Or otherwise ( if you don't want to manually create an item) just drag and drop that pdf - say paper.pdf - inside Zotero my library or some collection. Now when you choose file in place of linked file or drag and drop a pdf inside zotero, Zotero instead of saving the path to that file, saves a duplicate copy of the entire pdf inside its Zotero folder. When sync starts now , it uploads the entire pdf (and not just the path to the file) to the cloud storage and as your iPhone is connected to that cloud storage ( via webDAV), it can easily download and open the PDF -(it has access to the cloud storage). So try this out and you should be able to read it on your iPhone. So in summary, if you want to read full pdfs on your iPhone, make sure that item does not have a linked file attachment in your Zotero desktop app. Please let me know if you have any problem doing this and I will explain it via a video or some additional screenshots.     These are really great tutorials. Thank you very much. One small remark regarding the tip box (any box in fact): you can also create some space between the box and the text inside with the ‘padding’ css parameter. I think generally this is preferable to adding extra newlines.

    I decided to use linked files (so I sync my papers with Google Drive) and use Zotmoov to put the PDFs in the right folder and automatically rename them. Works fine so far. Thanks for your Zotero series!

      Hi. Thanks for your valuable suggestion. The Zotero plugins are a bit scattered so it is a bit difficult to know about recent ones or really useful ones from a single consolidated location. Also the plugin architecture has changed for Zotero 7 so some useful plugins like Zotero folder import or zotfile do not work in Zotero 7. I did not come across any exclusive plugin store for Zotero. The documentation page for plugins, which I shared in the video, is the only location that has a list.     A more useful plugin to dive into would be Zotmoov, which is a replacement for Zotfile (which won't be updated anymore) and which many people use to work with linked files (to avoid reaching the 350 MB storage).

      Hi. Yes you can I guess. But you must type it in the grey field area otherwise it might be left out of the citation parenthesis or brackets. The thing is when you are citing a reference, it might be more organized to finish it in one shot rather than leaving some bits to type later after you have inserted the citation. Also adding prefix and suffix at the time of citing through Zotero ensures that you do not mess up the cited field later on by typing inside it in word. So when you do it in one shot from inside Zotero, there is no need for you to tinker the cited field after entry. In big documents with many references, this can become a Hassel to add / edit / delete. There can be another issue. While I used the Harvard style in the video, there may be other citation styles like IEEE that may not be so intuitive in terms of adding prefix/ suffix via direct typing. Using it from inside Zotero relieves you of all this burden. Zotero places the prefix / suffix as per chosen style rules and that burden is not taken by the author. My personal preference therefore is to do the suffix prefix from inside Zotero and let the software worry about placements as per chosen style guidelines. This way I just cite in one step and then forget about it and do not need to tinker the citation field. Hope this helps.

I think the only downside of doing it in Zotero may be that if you add extra references after, the "see" may have to be placed with the newly added article (e.g., in APA if the newly added article comes alphabetically before the existing ones). Same for "see for more examples".... it should come after the last alphabetically in line, so it may need some changes

    Dear Dr, Chinmaya, I enjoyed your series of videos on Impress. they are good and clear. I do however have one problem: My version of LibreOffice Impress does not allow the option to enable a remote console panel. I have tried: >Tools>Options>Impress> General but the screen that results does not allow the option to 'enable remote control' ( it does however allow the other options of New Documents, Text Objects, Settings and Compatability). The Guide suggests to down load an Extension, but I can not find an extension there. If you could please suggests what I should do I would be very grateful. N

    I am not able to get a snapshot of the web page. I tried 3 browsers and multiple install-uninstall attempts. But It never worked. Is there any setting for getting a snapshot of the webpage on Zotero without manually downloading HTML

      Hi, Thanks for your question. Although you haven't mentioned which browsers you are using, I have the following that you can try in sequence. 1. First make sure that you are using the latest version of Zotero. As I write, the latest version is 7.0.3. So please go to Zotero Help > check for updates and install any updates. That done, please try the following and see if you are able to solve the issue. BTW, Zotero does not take snapshots of some kind of web pages. So for testing, try to take save the following page using the browser Connector . www.un.org/en/climatechange/what-is-climate-change Try the following 2. There is a setting that users can check uncheck and that affects all browser plugins. In Zotero 7 and also earlier versions you can reach it as follows: Edit > Settings In the General Tab and under file handling, make sure that the last option - "Automatically take snapshots when creating items from web pages" is checked. With this setting on , Try saving a web page and see if issue is resolved. If not try the following. 3. Disable the Plugin and enable it once again from inside your browser and check if it starts working. Hope this helps.

    When you added multiple citations (Pielke and ...; Calvin...), should it not list them alphabetically? I know in APA it should, maybe Harvard style is different.

      Hi, Thanks for your question and your insightful observation. The citation style that I used in the video is "Cite them Right 12 edition - Harvard" . This citation style, (to the best of my understanding) uses the following rule for inline text citation using multiple sources: It orders citations chronologically - earliest first to latest last - and not alphabetically. So in this case, as Pielke and Sarewitz was published in 2005 , it appears first and Clavin et al. published in 2023, appears after it in the citation. You can read more on this at the following University of Birmingham cite under the Citing Multiple Sources Section (scroll down the page to expand this section) . intranet.birmingham.ac.uk/as/libraryservices/library/referencing/icite/harvard/intext.aspx You can also try this out with a couple of citations by changing the year in the Date field and seeing the result. If two citations have the same date ( or just the same year - no date just year - in the date field) of publication, then per this citation style , the citations will then be sorted or ordered alphabetically . I cannot claim to be an expert on different citation styles but I hope this helps answer your query. Thanks and Cheers
