How to Print PowerPoint With Notes (Recommendations)

  • This might seem obvious, but to print your PowerPoint slides as handouts with notes, you first have to have notes typed into PowerPoint slides using the notes pane. If you have typed your notes in any other place other than the notes pane, your PowerPoint slides will not print with notes.

    To double check that you have notes in your PowerPoint slides, simply open up the notes pane. In the Normal PowerPoint view, simply hit the Notes Shortcut CTRL+SHIFT+H.
    Once the notes pane is open, you can resize it using your mouse. This is where you need to have your notes types if you want to be able to print your slides with notes, or see your speaker notes in the Presenter view of your presentation ALT+F5 on your keyboard.
    Once you have speaker notes in your presentation, you can print them using the Normal print dialog box from the File Menu, or hit Print shortcut CTRL+P on your keyboard.
    Within the Print Layout options, you can choose to either print your PowerPoint slides with notes directly below the slide thumbnail, or you can choose the 3-slide layout to print PowerPoint with lines to the right, allowing other people to take notes during your presentation.
    Either way you go, assuming you are distributing your notes as handouts before or after your presentation, I highly recommend customizing your handouts with your company logo and contact information. Customizing your handouts in this way will not only make your handouts look more professional, it also enables people to get in touch with you after the fact if they need more help - generating more leads and clients for your business.
    You can customize your handouts in this way using either the Notes Master or the Handout Master in PowerPoint, just as you would normally edit a PowerPoint slide. See the video tutorial for details on how to do this.
    If you want to get multiple slides on a same page with your notes, all you need to do is export your PowerPoint slides to word using the Create Handout features.
    This allows you to not only print multiple slides on the same page with notes, it also allows you to print just your notes in PowerPoint. See my other PowerPoint TH-cam video below for step-by-step instructions.

    You have no idea how much I appreciate this video.
    I am an avid OCD student who values improvement and it baffles me that there is still no easy way to create Cornell notes straight from powerpoint.
    If I had a way to show you my notes you woul see that they allow Ctrl+Find thourghout the slides in word while allowing hand written notes through the surface pro. To separate the lecture from key concepts given by the teacher, and another division where I can create test questions, key vocabulary, or personal thoughts throughout the lecture.
    Your video was the closes thing to make my note taking a little less challenging.

      Glad that helped out! Clever use of CTRL+FIND too...another clever trick with that is if you ever have empty spaces stuck in a PowerPoint table that came over from Excel, you can CTRL+H to find two spaces, and replace it with nothing. Cheers!

    What you presented was good, solid basic info. How do you print notes when they are longer than the space provided at the bottom of the slide. They printed before, but now they won't print.

      If they are longer than the space provided, they should print out on a second page (or third page) as needed. In the printer dialog box, when you select the Notes Page, it should automatically adjust the page settings to print all your notes.
      Also, keep in mind that the number you see at the bottom of the page is the slide number, not the page number. For example, the second page will be the number 1 as those notes are referring to the first slide in your presentation (that always throws people off).
      Double check and see if that fixes the problem for you, if not let me know and I"ll try and help you trouble shoot the issue.

    Still didn't work. Power point wanted the slide to be super zoomed in and notes weren't under the slide they were across multiple pages even though they were just a few lines. It didnt matter if you clicked to resize the slide or not.

      When you say that they were across multiple pages, was the text really big?
      What might have happened is, your speaker notes are sized to something REALLY big in the notes pane (which isn't shown there). The resized text and formatting will only show up when you print your notes. So what might have happened is, your notes are formatted weirdly in the notes pane (even though it doesn't show up there) and that's why it's printing like that.
      You can see a preview of your notes before you print them in the Notes Page View. View Tab -> Notes Page (Not Not Master). Take a look and see if that is the issue.

    Great video but is there a way of going the opposite direction. My lecturer uploaded pDF's with notes lines and I wan to get rid of them to fit more slides onto the page.

      It's tough to move from a PDF with lines to something without lines. You can use an online converter like smallpdf.com/ but you will have to do some manual manipulation on the back end which might be painful. If you give it a shot, let me know how it works with the lines. My guess is that will be tough.

      @@Nutsandboltsspeedtraining Yea ive been using adobe acrobat pdf edit function so I have to individualy select the lines and then hit delete. Impractical and tedious

    Is there a way to print 3 or more slides per page WITH the notes?

      Great question, and unfortunately the answer is no (as far as I'm aware of). You can push your notes to Word using the export feature and make adjustments, but that is time-intensive and not fun.

    some of my power-point files when i print " note Pages " only blank paper will come out from printer . is there any solution friend ?

      Does that only happen when you print the Notes Pages? For example, do you ever have that problem printing normal slides?

      Great question. To do that, you will need to first export your notes to Microsoft Word. Simply follow these steps:
      1. File tab
      2. Select Export
      3. Choose Create Handouts
      4. Click the Create handouts command
      5. Select Notes Next to Slide
      6. Click Okay
      That should export your slides to MS Word with your notes next to your slides in a table. From there you can adjust and print them.

      @@sherriflint930 great question. Unfortunately, PowerPoint on a Mac doesn't allow you to push your notes around like this. Hopefully Microsoft ports over this functionality to the Mac version fo PowerPoint soon.

    This is great but he's talking way too fast. All his videos are like this and I get to the point where I'm so overloaded with info and my brain shuts down. If he just dealt with one or two issues at a time (maybe he is) it might be more effective.
