Hey buddy I am wanting to start using notion to plan and organise my life and business. New to it and watched your video and found it very interesting and thoroughly explained. If I was to buy the template does it also include all the lessons on how to actually use and input everything. ??

I recently purchased and I love it! I have been using Apple Notes for years for my second brain mainly for capturing/clipping from the web. I'm certainly a minimalist type of person. Over organization actually just stunts my action taking because I can just plan forever without ever actually getting started. So this template is way more appealing to me. Can I just completely delete Journal? I journal in my own physical book so I'd like to just clean up the interface more.
Hi Simon, Like many of the other commentators, I'm impatiently waiting for the Complete Life OS (Bundle) in April. No stress mate 😁 From the "teasers" we're getting in this video it looks like the new template will be much nicer to use. Not that the previous version was bad, but like you say about this new Simplified version improving small screen usability and small screen navigation, I'm really looking forward to this functionality in the larger template. Ever since you showed off the My Inboxes │Quick Drop page on mobile in your video of a few weeks ago (How I Organize My Life in Notion...), I thought this was a must have. I was really tempted to download this version just for this functionality, but I really love the whole P.A.R.A. and Creative OS integration, so I'll just have to be patient. Of course, I am a little concerned about importing my data from my current version to the new template in April, but I guess I have no other choice but to bite the bullet and spend a weekend on it. One final point, I want to thank you because your videos and your templates have expanded my horizons. What first caught my eye and got me started with Notion was your videos on journaling and Stoicism. In the last few months, I've started down the rabbit hole you've pointed at and read the books by David Allen (not the comedian RIP), Tiago Forte, James Clear, Greg MeKeown and Daniel Kahneman. And I've got more on my list 🤪 Keep up the good work!

My favourite post this year, thank you so much for the feedback and support, it really does make the difference when working solo like I currently am, and is so great to motivate the energy needed to do it. Absolutely, I’m excited about the new update of the Complete Life OS: I think the simplification of some areas like habits and goal setting, and potentially the task views will be super helpful, and as you say improving mobile views etc. I agree: it’s the big challenge of larger templates: moving data across is almost impossible with so many related databases, but I’m going to give some thought to how perhaps users can at least choose to update their knowledge / notes databases and link them into the new version. Then again: it would be such a long and niche video I don’t know how useful it will be. Let’s see! Thanks again and for waiting. I’m directing a theatre show at moment until mid March: so will do my best to keep the channel video uploads, and develop the templates in time for April: but one has to balance work and life and be realistic! This is a much better way to manage habits then your previous system. The issue with using checkboxes like before is there is no way to archive a habit you either delete or let the habits pile up.
I was interested to see you stretch a task over a period of a few days. I always think of tasks as things that I can get done within one day or a single sitting. I've always struggled with the delineation between what might be a complex task vs a project. Find myself wanting to make everything a project at times. Sort of a 'where the rubber meets the road' scenario haha.
Can you add in a mood tracker to the habit tracker? I'd love to see how my mood/affect changes if I do / do not do things like: take certain supplements, go to the gym, abstain from alcohol, etc. Thanks! I'm a new convert to your videos!
Yes easy: in fact I believe there is a mood tag column in the Days database where habits are logged for the day :) easy to build out further if you like! Welcome and thanks for watching!
Currently in the process of setting up the template! Have you found out a way to manage and organize bigger projects into smaller sub-projects, or alternatively, have subtasks within tasks?
I'm confused about the beginning. You stated that I would receive an email if I had previously purchased the template. I purchased the Your Life OS in December 2022. Will I be/am I eligible for the Simplified free upgrade? I may have totally misunderstood (won't be a new concept for me lol).
Good job Simon! A Simplified notion is good and simply to use, which has more functions! However, I am also looking forward to that functional function will be updated to Notion Life OS on Apr :)
i like what i see here, but in case I feel the urge to update to a full Life OS template, would that be possible? Im new to Notion, so no clue how easy transferring databases will be. Thanks
Hi there, That's great to hear. Yes - I would definately go for the Simplified version if new to Notion - it's still a large template you'll want some time to get the hang of :) Notion templates don't allow for updates, so yes, you would have to download a new version and look at how you moved across, or follow instructions to add sections etc. Moving multiple linked database content to anotherrsewt of databases is not so easy - So I would expect users to move essentials, but mostly either start clean, or add sections to the one they have - that's the best way on Notion + you can tailor to your needs. you could always build what you have out. Hope that helps!

Thanks. :) Sure: if you are newer to Notion and the idea of adopting a second brain system like this: I recommend going for this template: the Simplified Notion Life OS: it’s easier to use and adopt and potentially less overwhelming. If you are more experienced with Notion, happy to follow a more involved and longer process of onboarding and learning, and / or want further additional features built in like a cRM finance tracker etc etc: consider my Complete Life OS system. That said - users can always upgrade to a different template with me, or add and build out more on top of what they download from me. Ps. A new version of my Complete Life OS will be ready in spring inline with the ideas in this one. :)
Thank you for this video! I just built your 2023 task manager last week for the new quarter of my master's. I am going to gradually add on features as I see fit. Hopefully, this will allow me to close open loops in my head and help me to fully focus on doing meaningful work rather than worrying if I am doing the right things at the right time. However, I had a question related to Projects, what is the best way do you think is to have subproject, for example I would like to have a Project named freelance and all my freelance projects linked to it, i'm still debating what is the best way to do it, for now im just putting all the projects individually without having them under "freelance" but i think it would organize it better if i could. Do you have any thoughts on that? Also, if I want to delegate tasks and projects with other people, is that doable while still keeping other projects private etc..?
Let's say that we begin using this template and really get into it -- populating it and using it daily. Then, a few months later, we feel like upgrading to your soon-to-be released updated Life OS that you'll release in April. Is there a way to preserve the information we populated in this template? Or will we have to start from scratch?
As you might have worked out: any Notion template has this limitation: if you want to move to a new one or new version: you would have to decide on how to move / update. If you are adept at using Notion: you could do a bulk ‘move to’ action and send data across, but it can mess with database properties. Relations have to be turned into text properties and the converted back etc etc. ultimately: I would suggest picking a system: and committing. I then try to share the details of the updates I make to my templates in videos so users can choose make the same edits, or decide to move to a new one. I recommend picking a template of mine: simplified / Complete Life OS, of three Life OS/Creative OS bundle and sticking to it. :) I’m actually dealing with the same question: whether to spend time updating my existing system, starting from scratch or a combination: I’ve settled on the middle ground starting from scratch we easily updated sections, and then replacing databases in the new system with my only database of info and updating that. Hope that helps!
This simplified one looks great! Quick question, Is there a way to do recurring tasks? And if a task without a project is marked completed is there an archive of those tasks? I saw an archive of tasks in projects, but where do completed stand alone tasks go? Can't wait to see what the note system looks like as the one I use is too complex.
Ah great to hear. Yes: recurring tasks could be done using the recurring database item features in Notion (see my recent videos on this) and task when completed can be found in the system database views for tasks under completed tasks (just a filtered view where complete is checked)
Hi Simon, how would I add and track quarterly goals in this system? I follow the 12 Week Year system and want to integrate it into this template. The structure and sequence I use is: Annual/Year Goals (based on visions for different areas of life) => Quarterly Goals => Projects (aligned to the Quarterly Goals) => Tactics/Tasks => Reflections/Reviews (Daily, Weekly, Monthly, & Quarterly, then an annual review at the end of the year)
Nice. I’d use the milestones sub-items in the goals database for quarterly goals, or just fuse the goals in that database. Alternatively : you could use projects as quarterly goals and track them on the time line and through tasks progress. All very doable. :)

Does anyone know how the formula works for "next review date"? I created a formula that simply takes a "First Review Date" and then whatever "interval" I set and shows that newly calculated date, but what about the next review after that? How does the formula change the "next review date" to the next and the next?

Purchased the OS and I'm stoked for it!🙏 - Question tho: I previously purchased and love your task database, how hard is it for me to migrate that database to this new OS? It would eliminate a considerable amount of start up with this new system.
Great to Hear thanks! reckon it’s pretty similar. The way to do it would be to adjust the like for like properties in your old task manager to ensure they are named identically. And then do a ‘move to’ action to send tasks to the new simplified task database. However: you need to do the same for Projects, and temporarily change the relations to a text property, migrate both databases, and then change the two properties in each new databases back into relations. Yeah. It’s not simple. But doable. I’d recommend moving the live tasks and then linking them fresh to new projects. Sadly the limitations of Notion: but also its superpower I guess: custom setups. Hope that help s my friend. I have a video demoing this ‘database merge / move to’ process in a very old video on knowledge management. Check the playlists and see if you can find it; it’s on ‘knowledge banks’ and using Readwise: think it’s called ‘how to remember everything you read’ a few years back. :)

I’ve actually extended the code offer until the Complete Life OS for 2024 is ready - I need a little more time to work on that with various stuff going and getting some help with the channel - so you can still use the code if you would like to. Re merging the essential task manager with simplified: you could likely send tasks over and the. Link to new projects (but I would recommend starting clean unless you know what you are doing around testing a merge and managing the relations) - it can mess up and add new columns to the new database if you are not careful :) thanks!

Awesome! Welcome! Yes, subtasks can be added as with any notion database, I have done this in my complete Notion life os version. But for this I wanted to keep it simple for people. And honestly: after trying subtasks - I found I preferred to use this method: makes it a lot easier to view. I did wonder if tags could be used to group tasks within a project using a filter: could be nice. Either way: I have a video on how to set up sub-items and dependencies and I have included a link to it in the guide under tasks and subtasks. :)

Hi there, just seen your email, will reply tomorrow: yes: this is a different template to the complete Life OS: I have two route options - this the simplified / analog template route, and the one you are on - the Complete Life OS. They are quite different in design. Complete Life OS owners will get the update emails / link for the new version of that template when it’s ready, and I would highly recommend holding on for that since it will be the same template improved. There would be little reason to own both I think. So you haven’t missed anything! All good. :)
I'm looking through the Notes & Clippings part of this simplified template. How do we create new Notebooks? I only see "notes". The idea being, I want a notebook for self development, or designing a new home. Would those just be tags in the "subject tags"?
I would either use the Projects relation as your notebook: or yes, you could simply filter by Select Tag. Interesting option. I’m working on the demo video at moment and will be showing how to set up notebook views using either the projects pages or creating an additional feature. Coming in a week or so. :)
Hi guys..quick question. downloaded this template and just setting it up. I work across multiple devices, iMac, MacBook Pro and iPad Pro/iPhone, but have noticed that the far left column where you can multi select and delete is not visible on iPad or iPhone. Any work around?

Hi David: yes: I have a 14-day refund policy on this template: I will say however: you will need to invest a little time to learn and adopt the thinking and methodology behind the system, and if bigger related Notion builds are newer to you: give yourself time to understand the system to adapt it and make it work best to your personal workflow. Hey is there anyway to make a task reoccurring n the My Tasks page? For instance I'd like to make a task of responding to comments every Monday so I don't have to keep inputting it each week. Is this possible?
Yes easily done with the repeat database function: just create a new tasks template in the database by duplicating mine, and then set it to repeat weekly on a certain day :)

I use Gmail for email (folder organisation and filters etc) but I hear superhuman is fab if you don’t mind paying. I use Google cal via Notion cal for calendar.

Yes - I would definately go for the Simplified version if new to Notion - it's still a large template you'll want some time to get the hang of :) Notion templates don't allow for updates, so yes, you would have to download a new version and look at how you moved across, or follow instructions to add sections etc. Moving multiple linked database content to anotherrsewt of databases is not so easy - So I would expect users to move essentials, but mostly either start clean, or add sections to the one they have - that's the best way on Notion + you can tailor to your needs. you could always build what you have out. Thanks. :) Sure: if you are newer to Notion and the idea of adopting a second brain system like this: I recommend going for this template: the Simplified Notion Life OS: it’s easier to use and adopt and potentially less overwhelming. If you are more experienced with Notion, happy to follow a more involved and longer process of onboarding and learning, and / or want further additional features built in like a cRM finance tracker etc etc: consider my Complete Life OS system. That said - users can always upgrade to a different template with me, or add and build out more on top of what they download from me. Ps. A new version of my Complete Life OS will be ready in spring inline with the ideas in this one. :)

Hello Simon, I hope all is well, just wanted to drop a quick thanks, i have download the template and its been a pleasure to use. However, I had a question related to Projects, what is the best way do you think is to have subproject, for example I would like to have a Project named freelance and all my freelance projects linked to it, i'm still debating what is the best way to do it, for now im just putting all the projects individually without having them under "freelance" but i think it would organize it better if i could. Do you have any thoughts on that?
Also, if I want to delegate tasks and projects with other people, is that doable while still keeping other projects private etc..?
Let's say that we begin using this template and really get into it -- populating it and using it daily. Then, a few months later, we feel like upgrading to your soon-to-be released updated Life OS that you'll release in April. Is there a way to preserve the information we populated in this template? Or will we have to start from scratch?
As you might have worked out: any Notion template has this limitation: if you want to move to a new one or new version: you would have to decide on how to move / update. If you are adept at using Notion: you could do a bulk ‘move to’ action and send data across, but it can mess with database properties. Relations have to be turned into text properties and the converted back etc etc. ultimately: I would suggest picking a system: and committing. I then try to share the details of the updates I make to my templates in videos so users can choose make the same edits, or decide to move to a new one. I recommend picking a template of mine: simplified / Complete Life OS, of three Life OS/Creative OS bundle and sticking to it. :) I’m actually dealing with the same question: whether to spend time updating my existing system, starting from scratch or a combination: I’ve settled on the middle ground starting from scratch we easily updated sections, and then replacing databases in the new system with my only database of info and updating that. Hope that helps!
This simplified one looks great! Quick question, Is there a way to do recurring tasks? And if a task without a project is marked completed is there an archive of those tasks? I saw an archive of tasks in projects, but where do completed stand alone tasks go? Can't wait to see what the note system looks like as the one I use is too complex.
Ah great to hear. Yes: recurring tasks could be done using the recurring database item features in Notion (see my recent videos on this) and task when completed can be found in the system database views for tasks under completed tasks (just a filtered view where complete is checked)

Hi Simon, how would I add and track quarterly goals in this system? I follow the 12 Week Year system and want to integrate it into this template.
The structure and sequence I use is: Annual/Year Goals (based on visions for different areas of life) => Quarterly Goals => Projects (aligned to the Quarterly Goals) => Tactics/Tasks => Reflections/Reviews (Daily, Weekly, Monthly, & Quarterly, then an annual review at the end of the year)
Nice. I’d use the milestones sub-items in the goals database for quarterly goals, or just fuse the goals in that database. Alternatively : you could use projects as quarterly goals and track them on the time line and through tasks progress. All very doable. :)

Does anyone know how the formula works for "next review date"? I created a formula that simply takes a "First Review Date" and then whatever "interval" I set and shows that newly calculated date, but what about the next review after that? How does the formula change the "next review date" to the next and the next?

Purchased the OS and I'm stoked for it!🙏 - Question tho: I previously purchased and love your task database, how hard is it for me to migrate that database to this new OS? It would eliminate a considerable amount of start up with this new system.
Great to Hear thanks! reckon it’s pretty similar. The way to do it would be to adjust the like for like properties in your old task manager to ensure they are named identically. And then do a ‘move to’ action to send tasks to the new simplified task database. However: you need to do the same for Projects, and temporarily change the relations to a text property, migrate both databases, and then change the two properties in each new databases back into relations. Yeah. It’s not simple. But doable. I’d recommend moving the live tasks and then linking them fresh to new projects. Sadly the limitations of Notion: but also its superpower I guess: custom setups. Hope that help s my friend. I have a video demoing this ‘database merge / move to’ process in a very old video on knowledge management. Check the playlists and see if you can find it; it’s on ‘knowledge banks’ and using Readwise: think it’s called ‘how to remember everything you read’ a few years back. :)

I’ve actually extended the code offer until the Complete Life OS for 2024 is ready - I need a little more time to work on that with various stuff going and getting some help with the channel - so you can still use the code if you would like to. Re merging the essential task manager with simplified: you could likely send tasks over and the. Link to new projects (but I would recommend starting clean unless you know what you are doing around testing a merge and managing the relations) - it can mess up and add new columns to the new database if you are not careful :) thanks!

Awesome! Welcome! Yes, subtasks can be added as with any notion database, I have done this in my complete Notion life os version. But for this I wanted to keep it simple for people. And honestly: after trying subtasks - I found I preferred to use this method: makes it a lot easier to view. I did wonder if tags could be used to group tasks within a project using a filter: could be nice. Either way: I have a video on how to set up sub-items and dependencies and I have included a link to it in the guide under tasks and subtasks. :)

Hi there, just seen your email, will reply tomorrow: yes: this is a different template to the complete Life OS: I have two route options - this the simplified / analog template route, and the one you are on - the Complete Life OS. They are quite different in design. Complete Life OS owners will get the update emails / link for the new version of that template when it’s ready, and I would highly recommend holding on for that since it will be the same template improved. There would be little reason to own both I think. So you haven’t missed anything! All good. :)
I'm looking through the Notes & Clippings part of this simplified template. How do we create new Notebooks? I only see "notes". The idea being, I want a notebook for self development, or designing a new home. Would those just be tags in the "subject tags"?
I would either use the Projects relation as your notebook: or yes, you could simply filter by Select Tag. Interesting option. I’m working on the demo video at moment and will be showing how to set up notebook views using either the projects pages or creating an additional feature. Coming in a week or so. :)
Hi guys..quick question. downloaded this template and just setting it up. I work across multiple devices, iMac, MacBook Pro and iPad Pro/iPhone, but have noticed that the far left column where you can multi select and delete is not visible on iPad or iPhone. Any work around?
Actually - after a bit of playing you can long click and backspace. Use shift to multi select 😅

Hi David: yes: I have a 14-day refund policy on this template: I will say however: you will need to invest a little time to learn and adopt the thinking and methodology behind the system, and if bigger related Notion builds are newer to you: give yourself time to understand the system to adapt it and make it work best to your personal workflow. Hey is there anyway to make a task reoccurring n the My Tasks page? For instance I'd like to make a task of responding to comments every Monday so I don't have to keep inputting it each week. Is this possible?
Yes easily done with the repeat database function: just create a new tasks template in the database by duplicating mine, and then set it to repeat weekly on a certain day :)

I've bought the previous OS bundle, but I want to start immediately. Would it be easier or more efficient for me to purchase the simplified template now to get started, and transfer the data over when the new OS bundle update is released in April? Will there be further increases when these templates integrate with the skiff email system Notion have just bought. Fair play to you, you must put a lot of work into these products. I use Gmail for email (folder organisation and filters etc) but I hear superhuman is fab if you don’t mind paying. I use Google cal via Notion cal for calendar.
