    My wife and I share our "Grocery List" which is very efficient as it can be accessed on the phone and watch. The downside is that she can add items while I am standing in the checkout line! 🤪

      I think the list gets updated as other person does shopping or add/remove something from the list. Sure, it happens in a real time. Or you talk about the particular app?

    Hey Gary, I use a list of all my friends kids. I type in my friends name and then their kids names and get a reminder on the birthday of the kids. A great way when you don’t want to or can’t save the kids in your contacts app :)

    This presentation was very informative and also extremely creative. I loved the ideas for different types if lists. Some I never would have ever thought of. I just loved this video and am really excited about using this Reminders app on all of my Apple devices. Thank you for sharing this very interesting video.

    Reminders is synonymous with "Siri" for me. It's about the only thing I find Siri reliable for. "Hey Siri, on Thursday morning at 9:30 remind me to call Bill." Works great.

    This was inspiring. I did up a workout check list I had in Numbers, but works better in Reminders. Also a list of my daily Smoothies with recipes. I like your lists and I like coming up with more to help me. Thanks!

    Love the logical, well thought out and calm delivery of your excellent videos and content, Gary. Thank you!! So here’s a bugbear I’ve never been able to solve…My Reminder/Task Lists have been pared down to the bare minimum because there are so many items, like I’m sure you have, too! There are some Reminders/Tasks, however, that I need to re-remind me with a notification, for e.g., every 2 days but self snooze for say, 30 minutes or an hour or 2 or whatever if I don’t get to them, but importantly, to keep nagging me, with that notification, till I either manually snooze the Reminder or complete it. That way I don’t have to keep checking my phone between large numbers of daily meetings if I happen to have missed an important time-relevant Reminder. There’s an App, Due, that does something like this, but it does not efficiently synchronize with Apple Reminders so I have to manage 2 lists. I was examined different ways of working, as many apps as I could find, but I just get so many other notifications that are really important for other issues, it would be great to be able to manage the myriad of important Reminders with nagging notifications so they don’t slip through the cracks. Can you perhaps help? Thanks!

      Sounds like you have some specific needs there and I don't have any suggestions other than maybe do something else with your less important reminders so the only notifications you get are for truly important things? Sounds like you need to talk to a productivity expert and come up with some personal techniques here, not necessarily find solutions in software.

    Great video and learned a lot such as how to create sub folders. Was using another expanded app- paid for and the company was closed for not meeting the requirements by Apple, which just reiterates why I should be using all Apple apps that sync throughout all my devices. I use hashtags with all reminders and set a location. When I arrive at that store, the list pops up. So much you can do with Reminders. And with hashtags I can filter. Thanks for these videos.

    Gary, Thank you I have reviewed this video more than a few times. I am trying to create a list of locations in reminders of local places that I want to visit. The location function in reminders did not work for addresses and phone number so I have just created a list and put the address and phone number at the top of the entry so they can be seen.

    Gary - An excellent set of example lists.
    At the end of your video, you mentioned that Apple Notes is designed to handle tasks, too. True, but I only used Apple Notes for reference type information and keep tasks in Reminders, which has more functions (like "Repeat") for tasks. - - - Also, there is a way to add a "hard" link in a Reminders record to an Apple Note where the details are. You way wish to produce a video on how to do that.

      I don't think you can link to a Note. But I may investigate further to see if there is a clever workaround.

      @@mymonfort How are you doing it? The only way I know of off the top of my head is to go to Notes, select a Note, share to Reminders. But that creates a new Reminder with a special link and confusingly also puts a copy of the text into the Reminder's note (which if edited won't affect the real Note). Ideally there should be a way to link a note to an existing reminder, or one in progress.

      ​@@macmost I think ​@Eren Ozturk means hard link. I hard link Notes checklist items to Reminders. They are not synched tho, as in checking a Reminders item does not check complete the hard linked Notes checklist item. To get around that, I use the Notes icon that is in the Reminders item to open up the item in the Notes checklist, then check both Reminders and Notes items as complete.
      Background info on the setup ... Notes acts as the project tracker of all the tasks to be done. The top of the note is the Title of the project. Then comes the tasks as checklists. Finally, there is the desired outcome statement, which helps me know if all the tasks resulted in the desired outcome. The desired outcome is created before the start of the project
      More background info on the setup ... I start the project by the looking at the first checklist item then check off items as I complete them. When Im done for the day with a particular project, and I still have tasks left over for that project, I highlight the next checklist item to be completed, and share that to Reminders. Reminders will show the Notes title, or my project title, as the Reminders title. Reminders will show the Notes checklist that was highlighted in the Reminders note. Because I structured my Notes so that the project title is at the top, and only the next action for a project is highlighted and shared, Reminders lists are just a list of projects, a note for the very next action to be done, and a hard link to its location in the Notes app.
      Even more info ... Reminders also groups the Notes projects into lists relative to the context because I can share a Notes checklist to a specific list in Reminders. Context would be work, so it has a Work List, and home has a Home List. The context decides what Reminders list ill be looking at, so if im at work, I go to the Work List and it will have a bunch of projects in the list each with their very next action to progress the project. When I complete the task in Reminders, I click on the hard link icon to go to its location in Notes and check it off in both Notes and Reminders. I continue on the project until Im done for the day. Then I repeat the linking of the Notes checklist to Reminders.
      This is how I keep the checklists in Notes and Reminders "synched" and how I utilize Reminders app to keep track of projects in Notes app.

    This is the kind of video that inspires me to use the reminders list more often. I virtually ignore this feature on my iPhone. I firmly believe, "hide completed" makes the lists easier to manage & keeps the user from having to create the same lists over and over.

    I have Keurig coffee machine and try a lot different coffees when they are on sale. I keep a list of the coffees and rate them so I don’t end up buying one I didn’t like.

      I use ScreenFlow as my main tool. A tutorial on ScreenFlow wouldn't be interesting to most of my audience. I sometimes talk about this to my Patreon group, but just small parts (camera, lighting, software, tricks, etc).

    Thank you! How do you add those handy icons to the left of the list? when I create a list, I can choose a color but not a specific icon like the thumb tack etc

      Are you using an older version of iOS? Or, perhaps you are creating lists in another system, not iCloud.

    I'd love to have a reminder of a due date. MS To Do has this feature. I'd also like to see better integration with the Calendar and Notes app for sharing reminders and notes between each app and to add it to the calendar app as a separate calendar when a due date is selected. I use the calendar app for recurring things like bills, AC filter replacements and appointments. You are right though each app has slightly different features that are better suited for different things. It's nice to have options that work well with someone's specific workflow. Thank you for the suggestions.
    Also, a date completed would be awesome also.

      In iOS the Fantastical Calendar app can automatically interface with the Apple Lists app. I am not sure on a Mac.

    One thing that I can't figure out in Apple Reminders that is very useful in Outlook Tasks is a reminder that repeats a certain amount of time AFTER the last task was completed, rather than on a specific day. Is there a way to do that in Apple OS? TIA!

    Recurring or repeating reminders are handy. For example I have a recurring reminder to take out the trash once per week. I set a day, time and select repeat. Now when I check that task as completed it automatically places next week's task on the reminder list. This does accumulate a lot of completed tasks but I periodically delete all of the completed ones.

    Hi Gary you really are genius! Just wondering if you know a way to add lets say 50 vcf files at once into an icloud contacts with each vcf being a seperate list of contacts thanks!

      You should be able to drag and drop a vcf into Contacts. Try that.

    I have a iPhone and a Ipad. For the longest time they sync to each other an mirrored changes one one with the other. Recently with the last update I have found they do not sync with each other. What am I doing wrong? Both have been updated to latest ios 16.6.

      Check and recheck your iCloud settings for Reminders. If you can't find the issue, call Apple Support.

    I love the reminders app on the iPhone. But on macOS, I connect my MacBook to a large widescreen monitor. The fact that I cannot individually increase the font size of the reminders app is a real pain in the ass. Because of this I moved entirely to Google Task and Google Keep. I really wish you could individually increase reminders font size on macOS without having to increase the display resolution which effects everything.

    Hi Gary, I've got a question regarding a strange folder I found on my MacBook (M1 MBA). It's called Trial, it takes up 3,3 GB and it's located in my library. Cmd+I tells me it was created on October 25 of last year, which is when I installed MacOS Monterey. I have no idea what to make of this folder or if I could/should delete it? Any advice? Have you heard of this?

      No idea, but a search shows you aren't the only one (www.reddit.com/r/macbookpro/comments/q5zzms/found_a_trial_folder_in_mac_library_any_ideas_on/) Probably some app you have installed. The contents of the folder may hold clues.

      Do you mean select more than one? Not sure. Experiment. You may have to just do them one at a time.

    I have many lists in Reminders. A few are named Tasks This Week and Tasks Soon. Suppose I complete one of these. If I check it complete, it disappears in a few seconds, but stays in the list. So I have a task in Tasks This Week., but marked as completed and hidden. It seems wrong and inconsistent for it to stay there. What do others do? ///Note: if I have a list that's project focused like Replace Roof, then completed tasks make sense to stay there.

      Not sure what you mean. Marking a task as complete and then it is hidden makes sense to me. What would you prefer to be different?

    Nice info. I always had just one long list. LOL - I just created a few list. But, I see no easy way to move items between lists. That's a shame.
    EDIT: I just figured it out. I was able to move items via my iOS app. I was initially trying via the macOS app.

    I use many of those type of reminder lists. However one of the serious frustrations is that Apple offloads the Notes and Reminders apps on my phone. So when I’m out shopping I can’t access the lists I made! It just says “waiting”. So my work and preparation is inaccessible. I wish there was some way to make apps stay put so they’re there when I need them most.

      It shouldn't do that. Even if you have Settings, App Store, Offload Unused Apps enabled, it should only offload apps you aren't using regularly. You must have a completely full iPhone and go without using those apps for a while to have them offload.

      @@macmost I have a lot of “other” in my iPhone storage that I don’t see a way to delete, and I know I have too many podcasts downloaded. I checked the offload unused apps to make sure it’s disabled.

    I am applying the tips to iPhone. Reminders has never been helpful. I created an entire list of daily to do’s, checked them off, and the entire list disappeared, and now all that is left is the Daily Reminder to do the missing to do list, that now has to be recreated. I use Notes a lot for record keeping, but thanks for the video. I will try again. I may just opt for the Notes checklist that doesn’t disappear.
    It seems so complicated for a To Do list. People want to stop using paper, but to have to recreate the list by checking and unchecking; there’s so much room for making a mistake. I would still feel like I need a Back up Checklist that I never touch, in case I lose it again, so I can copy the items.
    For those with older model Macs, I was told mine is “obsolete” so they no longer update the OS. I’m already having crashing from Safari. I have a perfectly good machine but it’s failing. I have a ton of information and records, and in a short time your product is out dated and refuses to service the software.

      I use alarms in the clock app to do that. Different alarm sounds for different meds, plus I add an alarm a half hour later in case I silenced the first alarm but forgot to take a pill!

    Hi Gary, I really try to use my list, however mine doesn't work anything like yours. Probably because my Macbook pro is a mid 2012. When I check complete I lose it forever. This is why I don't like this app and never really use it. thanks, MIKE

      I’m on a 2012 Macbook Pro as well, and I’ve tried to share Reminders but I always get the message that I need to update to the latest MacOS. Ergo, those of us on older Macs running older versions of MacOS lose out on some of the features Gary mentioned in his tutorial. I use Reminders on my phone and iPad as a way to get around this limitation.

    I wish Reminders would work for me. I’ve spent over 6 hours with Apple tech support and they can’t get the sharing feature to work. Reminders by location doesn’t work either. I have an iPhone 11 and 2013 MacBook Pro. I have a simple shopping list that I shared with my husband and while he has the list it is always blank for him while I have items on my list. So frustrating that Apple can’t fix it.

    I am not receiving notifications alarm when I want multiple alarm for the day with 3 hours gap

      For "alarms" use the Clock app, not Reminders.

    For the Daily task list, why don't you just set the repeat so that they respawn each day even if checked off.

      I suppose the idea is to see what you haven't completed before you reset the list the next morning. But for other kinds of daily lists, that would work.

Because when I create a Smart List for daily tasks it's not working as it supposed to. If you can show us how those Smart lists can be created for any specified purpose that'll be great. Thanks

    I really like Apple reminders and use it all the time but I’ve noticed that when you start to really use Apple reminders with all the functions that they allow like Geo tagging uploading pictures and documents and reminders for time-based locations that the watch only has so much storage and you can really clog it up and I’ve had to stop using Apple reminders and using the iCloud sync because there’s no way to delete the Apple Reminders app on the Apple Watch. I wish there was a fix where you could only select certain groups that you wanted synced to the Apple Watch allowing you to keep the iCloud sync but since Apple doesn’t allow you to delete the Apple Reminders app I had to break the syncing functionality and it’s really frustrating please Apple fix this.
    Now nothing pairs fluidly between my watch my phone my tablet and my computer it’s super lame. @apple #pleasefixthis
