    As a retired Air Force engineer I used Excel on my Windoze machine for decades. This really helped clarify some of the sorting differences that Numbers has, for me. Thanks!

    THANK YOU - in case you don't know, in Pages and Excel you can double-click the line between columns it will auto-adjust to the maximum width of the longest bit of text in that column. May help you (probably not) and others - enjoy

    I have used numbers to plan out chapters I am writing in a writing project. columns for quick description of the chapter, characters in the chapter/scene, plot purpose of this chapter, Point of view of this particular chapter. It makes it easy to plot the story, rearrange chapters if needed, choose to write a chapter further into the book if I want without having to do it al sequentially.

    Thank you Gary for this video.
    As I prefer "Victor Hugo" to "Hugo, Victor", to manage my library I added a column "Sort by name" = "Hugo".
    It's obviously inspired by the feature in iTunes that sorts "The Beatles" as a B, not a T.
    I hide this column "Sort by Name" before exporting the pdf to iCloud and iPhone.
    My Ikea shelves are deep enough to fit 2 rows of paperbacks, "Front" and "Back", the spreadsheet is therefore essential to find the hidden ones

    Another tutorial I've saved immediately! Great to learn that Numbers isn't just for, ya know, *numbers*, but also useful for lists like the ones you illustrate so clearly here. I've always steered clear of Numbers because I haven't been into spreadsheet calculations or fancy figure-work-so I'll definitely be putting this tutorial to good use. Thank you, Gary!

    Thanks Gary. I’ve been using spreadsheets for household inventory, including item costs for insurance valuation since the 1990’s. Started with Excel and when I came back to Mac the files converted easily to numbers. But as usual you highlighted a few extra things we can use to make it easier. Neat sorting options.
    For books I used t=trade, p=paperback, h=hardback, e=digital edition, and even included ISBN, original date of publication as well as published date, even Publisher name - I guess I had too much time on my hands.
    Anyway, sound advice as usual from you, especially saving files to the cloud. Thanks.

    I love the synchronicity between macOS and iOS/iPadOS. One of the features in iOS that I often use in Numbers is adding an input form. This feature would be a great item to mention in this tutorial.

    I use Notion for my reading list, but I’m switching to Numbers after watching this video. Nothing against Notion, but Numbers seem to work better for me as it suits my needs. Love your content. Thank you!

    As always, an excellent presentation on the topic. I have been using spreadsheets for over 40 years. Mainly Excel, but the principles are all the same. I use spreadsheets for my financials, taxes, inventories of tools, movies, and others. I have just staring using Numbers. I will say that Numbers are more straightforward to manipulate the data, formatting, etc.

    Its like you read my thoughts 😊 I am looking for an app to inventory my books. I thought of using Reminders, but Numbers never crossed my mind… I’m also thinking of using LibraryThing or Libbib. They both have ISBN scanners, which means you don’t have to imput the data manually.

    Wow, some really cool features. I've been using Excel since around 1993, 1994 time, so really familiar with it, so haven't invested the time in getting used to Numbers, especially as I need to share the spreadsheets with colleagues and customers who are standardised with Excel.

    Just another tidbit of adjusting the columns of a Numbers spreadsheet. If you place the mouse over the Column Letter designations and double click, it automatically makes the column fit all data in the column without the text wrapping. Click to the right of each column you want adjusted but directly over the column line separating two columns.

    I use Numbers to keep track of my passwords. I have one column that sorts by, banking, shopping, music, etc.

      You should instead use a password manager. Either use the one that is built into macOS, or get a third-party one. In addition to encryption, the big feature you need is the ability to create strong passwords, among other things. See th-cam.com/video/bd8qCDn860s/w-d-xo.html

      @@macmost I do use the one built-in to Safari, but sometimes passwords won’t auto fill, even though I have chosen to save them. I’m on Mojave, so maybe it’s that Safari is pretty old? But, I like having the spreadsheet handy, so I can quickly get a password anytime on my Mac, or a printed sheet for home. You never know when iCloud is going to go down. Maybe I’ll take a look at a 3rd party manager.

      @@alienrefugee51 Yes, you don't have as many features if you are back on Mojave. But you can still see them in Safari, Preferences.

    This kind of useage of a spreadsheet is kind of like using it as a database. I wish Apple had a native database program that came with the Macs but for most small things a spreadsheet is a possible solution.

    I have been doing this activity in my home effectively since 2017, before that I worked in a notebook. I started with Excel, then with the Open Office Excel equivalent and transferred everything to Number, but somehow I returned to Excel.
    With simple programming I can show for each item its age. I have all the electronic devices in my house in this list and I know how many years, months and days old they are.

    I also LIMIT the contents that can be typed into a column - so, as one example, I don't end uo with multiple spellings of 'book type' or more importantly, Author. I do this by accessing the Inspector, then going to the cell tab (the "42") and choose Pop Up Menu as format - then edit the list of items. Works great for simple selections (e.g. Hardback, Soft Cover for 'format') but not so good for complex ones like Author's name. 🤷🏻‍♂
    (p.s. I aIso add ISBN as one day this can be changed into a searchable field to fill in all other fields)

    When I'm at the end of a row and hit return the cursor doesn't move to the far left column. It'll stop at other columns. Does numbers have "rules" to govern this behavior?

      Yes. It all depends on how you do the data entry. If you start at the first column, then tab to each one until the last column, then Return, it should go to the first column again. But if you move around or double-click on cells it interrupts that.

    Thanks Gary, as usual. Great to see that you are 'serving' all kind of Mac users, starting from the relative novice to experienced coders. Would you have a suggestion on a 'Settings' problem I have experienced for a while. I own a MacBook Pro 16 and an iPad mini. On a daily basis I see a red 1 above the 'Settings' icon on either devices. Once I enter my Apple ID details on one device, the 1 disappears from that device, but shortly after appears on the other device. So back and forth on a daily basis. Thanks again.

      So the 1 (it is called a badge) is for a notice that you need to enter your Apple ID password again? What does the message say exactly? Same for the other device? How often? Hourly or weekly, for example? Have you contacted Apple Support?

      @@macmost Thanks Gary, With English not being my first language, I struggle at times to use the right terminology. There is no message, just that red badge appearing on the System Setting Icon of the MacBook and once I have entered my Apple ID, the same happens on my iPad. All this daily and without fail. I am getting to the stage where I am willing to turn off all iCloud synchronisation and only use the iPad as a media consumption device, including watching your informative videos. And regarding Apple support, not yet.

    Hi Gary- Great video as always. I am sorry if you covered this in another video, but I have not seen it if you did. I am new to numbers (excel user). I am trying to find a way to “roll up” rows within another row (MS project does this by indenting and then rolling up what you dont want to see). Is that possible in numbers?

    Is there an easy way to add a JPEG in a cell? An image of a stamp or a coin along with all the pertinent data in an inventory list is what I have not been able to get right.

      You can't put an image IN a cell. You can only use an image as a cell background. So it rarely is useful, but in the case of an inventory spreadsheet it works ok. Just drag and drop the image file, or copy and paste the image into the cell.

      @@macmost Coincidentally I started a book inventory in numbers a month ago. I didn't know about filters and categories. This will be a big help. I like to see the book's jacket, so i take a picture w/ my iPhone, and paste it into a cell in that row. But it makes printing awkward, so I appreciate the "hide column" instruction.

    I am attempting to create an inventory of my artwork and I want to include images for each item. I have tried utilizing the media box, but I am struggling to apply it to all rows. Any assistance would be greatly appreciated. Thank you for the videos!!

      Images are just backgrounds to cells. So you'd need to have a column of empty cells, and drag and drop an image into each corresponding to the item for that row.

    My friend's M1 Mac Mini takes over 15 minutes to become responsive after signing into an account from the login screen. He has no startup or login items and it also happens when booting up in safe mode. Any advice? Thanks

      Have him call Apple Support. Something is wrong and he should get help to figure it out.

      @@macmost it's out of warranty but that's what I'd do if there was warranty or Apple Care associated with the device. On occasion there's an icon that appears in the dock recently opened apps that disappears moments after getting through the login screen. The icon is white and has the various circle and line guides that Apple has shown for app development. Not sure if that helps or makes sense but my experience with troubleshooting computers is from mostly Windows stuff.

    Why is Numbers different on the Mac, via version in iCloud? Very annoying.

      Do you mean the Numbers app vs the Numbers WEB app at iCloud.com. They are different, yes. The web app, like all similar apps, is built to work using scripting in web browsers. Very different platforms. If you are on a Mac, always use the regular Numbers app.

    I do my video games and I wanna have them numbered 1 through whatever, but the title column takes the 1 column. Is there a way to have the titles across the top not in the 1st column? Also when I delete one and add another it seems to throw the numbers off.

      Not sure what you are doing here. Just put a number in column 1, title in column 2, and then other info in columns 3 and on. In row 1, put the column titles, like "Number," "Title," etc. When you delete a row, it deletes the whole row.

      You can certainly change it for any cell or selection of cells you want.

    hi, got a issue on m2 i can't open/preview 4k footages . if i import the video file on fcp its blank only playing the audio. can you help to solve this

      Open in which app? And what is the format of the video (4K is dimensions, but the file format and compression settings could be lots of things).

    A better product to keep track of stuff was called Bento, and made by Apple. It was a database application that ran on Macs and iPads that customers paid for. And for no logical reason, Apple executives destroyed its functionality when they updated operating systems.

      Bento wasn't made by Apple. It was made by FileMaker. It was discontinued by them in 2013. Apple didn't stop supporting it, FileMaker did. en.wikipedia.org/wiki/Bento_(database)

    Professor, on my MacBook I created a numbers template of restaurants that I order from to keep track of foods that I do and do not like from a given restaurant. It is saved to my iCloud.
    Is there a way to edit that document when I access it on my iPhone?

      Do you mean a template or a document? Sounds like you mean a document. Yes, you can just open that Numbers document file in the Numbers app on your iPhone.

      And I just realized that I don’t believe I have the Numbers app on my iPhone. At least I don’t think I do - even though I’m able to open the document on my iPhone.
