Work around for two factor authentication for multiple users

    0:15 The two-factor authentication is problematic if you have multiple people logging in from different locations. Initially, I found myself with the problem of having my personal cell phone as the two-factor phone number, so people are constantly you know, my accountant, office people anyone else logging
    0:37 in to my account that's shared with one login, it would always have to text me personally the six-digit code or what have you in order to be able to access those logins.
    0:50 And when those people logged in from a different computer, different location, and it was just becoming very distracting and a hassle for everyone involved.
    0:58 Also sometimes I wouldn't get the code to them in time, they'd have to text it again, so we'd end up texting the code five times by the time before it timed out in order for them to log in.
    1:08 So I just wanted to share with you guys a solution that I, I came up with that's been awesome, and it really adds up, you know, those little things add up and then And they're kind of stressful when you have a time constraint on them and frustrating.
    1:20 So my solution was this, we use RingCentral, there's different solutions out there, I'll put a link in the description if you're interested for our car, our, excuse me, our call handling, call routing for our phone system for both my landscaping company and consulting company.
    1:36 So the way it's put this up is inside of RingCentral, you can go to users you can click on the extension specific phone number.
    1:43 So we have a specific phone number associated with these two factor authentication numbers. I've tried using things like Google Voice, but a lot of times they know it's not a physical phone and they won't let you use that number to accomplish this.
    1:59 But whereas RingCentral is an actual text line it works just fine. So what I did is I went to the extension I'm using here and I went to notifications, messaging notifications, you can do by email, by SMS, so text messages here we have to notify us by email and SMS.
    2:16 We have the office the office email address here for any business system, so whenever someone tries to log in, the phone number is always set up to this one phone number that is actually a RingCentral line and it will text the code to this email address.
    2:31 Within Gmail we can then set up filters to forward this to whoever we want. And we also can set up specific phone numbers to get text messages.
    2:42 I guess in the future I'd probably just set up forwarding of the email because it's just easier. So when an email comes in, sent to office at ReadyBusinessSystems.com and it comes from RingCentral you can find the email address here. And then forward it to whoever you want to be able to receive that
    2:56 number and be able to log in. So we have our cell phone number set up here, anyone who wants to receive it, and the office email can also be forwarded to to different people whoever we want to receive it.
    3:08 So, the only downside is, you know, you get the codes all the time, anytime anyone is requesting it but it's really not a big deal, you just ignore it, and it's much more preferable to having to you know, copy the code, having one person be the contact, and forward that are around.
