how to avoid duplicate files of assembly and parts created in Solidworks after pack and go.

Pack and Go is designed to duplicate files for several possible uses. If you are creating an archive to a zip file or separate drive, renaming files often isn't required as the files are physically separated from the originals. If you are creating an alternative design and want unique new file names, add a prefix, suffix, or search and replace values to avoid duplication of file names. If you don't want certain files duplicated you can de-select them or manually rename them as needed. Study the dialog to ensure you will get the expected results before running the utility.

Do you have to use PDM? Work for a small company and we do not have any type of "vault" or document managing system. Also if you rename the part or assy file will it reassociate and rename the drawing?

Using PDM is not required, but you'll need to be careful about what you do with your files. Get familiar with file management basics and follow good practices.
If you don't use PDM and rename/move files manually in Windows Explorer, the parent documents will not automatically update to use the new name/path. You can rename using the SOLIDWORKS right click menu commands, or you can enable renaming files inside SOLIDWORKS and as long as all parent documents are open the rename will propagate to all parent documents.

If the buttons don't fit, it could be a display scaling issue. See if you can adjust the display or text scaling in windows and try again. Also, if it is simply off the page you can use the Tab key to cycle through buttons and use the spacebar to "click" the button.

Can we use Pack and go for saving in Step file format ?

No, Pack and Go only exports a copy of the native SOLIDWORKS files and their referenced files. If a STEP file is inserted into an assembly with 3D Interconnect, without being converted, then Pack and Go would create a copy of that file as needed, but only inside the SOLIDWORKS assembly file.
