    I'm from the future where Microsoft created a tool that does this automatically but it's behind a paywall and having to learn a custom scripting language (I'm looking at you, power automate). So glad to find this OG Office trick! Sometimes simpler is better!

    Question, even though I made all the steps exactly as you suggested, my appointment is not visible in Outlook. Do you have any advices what is the reason for that?

    This is a great tutorial. Almost exactly what I need, but I need to do the opposite. When working in my Outlook calendar, I am able to gather all the data (subject, location, start, end and category) and put it into Excel. However, all of the appointments on my Outlook calendar are color coded by the categorize feature. How do I have the color associated with each appointment populate into Excel? I am creating a graph and need the colors from the appointments to populate into Excel. Thanks for any advice you can give me.

    hi, i tried the exact same steps. but while custom maping csv file values are shown in a single line separated by semicolons. please advise how to get it right

      Did you use the exact same column headers, and order as in the video? I've found that Google Calendar prefers different column headers and order than MS Office 365's Calendar

    I've done exactly what Jason shows in his video, however when i go to import the data and the map custom fields shows up, the date and name for the date are in one line, making it impossible to clearly map what is the date and what is its name. Any tipps?

    Question, assuming that all mapping is perfect, any way to have data automatically be imported with one click? maybe VBA Script or some sort of MSI or EXE file?

    Hi there,
    in the part "Map custom fields" I don't get the list as shown in the video only all the columns headlines in one row like : "Start date;Start time;End Time;Subject"
    Could you please help me why is that?

      Seems to be a regional setting issue. In my region, the standard separator used in Excel is ";"
      Whereas in the US and most other regions, the standard separator is ",". Outlook expects it to be ",", hence it's not able to interpret the .csv file.
      Excel has a method for changing the separator to a different character, however I still didn't manage to get it to work.
      Solution: Once saved as shown in the above tutorial, open your .csv file in notepad, and do a search and replace on all your separators, changing it to a ",". In my case from a ";" to "," and then save the file. Now it's possible for outlook to interpret it.

    Hi, good video! thanks men. I'm triying to fill the categories between my document and the outlook but only apears one categorie to fill whit the outlook and it's like: start time; finish time; start hour (see that the categories apear separated whit a
    semicolon) Do you know how I could separate the categories?

      Open the csv with notepad or similar and replace all semicolons with a comma.

    Is it possible to import attachments as well? For example, all appointments in schedule imported in CSV format should have the same attachment.

    In my excel download it’s like that: just one column, many lines, each line contain: “date start, date finish, start time, start finish, subject, Description, category “ - just lines with this text divided by comma. I need the same but in separate columns. Could please kindly help how to do it? Thank you very much, Irina

    hello, I tried ur method and it worked with my 2007 excel, but I have a question , how do u activate the reminders for each appointment?? I saw on the customizing map something related to the reminder , but don't know what to put on my excel from columns to activate it, also I have used the 98-2007 format not CSV to keep the data linked to the original excel :) it worked and I can see the appointments on my calendar but with no reminders

    Excelent. Now, is there a way I can get and email when new appointments are added to my Calendar? I have reports that I don´t modify but contain meeting dates that I need. However, often times it is a large report and I don´t want to waste time looking through it, just be notified and the appointment created in an automated way. I know with VBA I can create the email. I wonder if there is a way to do all at once.

    Hello Jason, very useful video, thank you very much. I’m trying to find out how to do exactly opposite thing: I need to transfer appointments from my calendar to excel into table like shown in your video: I need table with columns: start date, start time, finish time, subject, category. When I’m trying to save CSV to excel and open file, I don’t see this table with columns mentioned above, I see just lines with text, devided by comma.

      Open the file from window explorer, instead of launching excel and then opening. Hope this makes sense

    I followed the exact instructions with the same column names. When I started the import, it just hung my Outlook. It said it would take a few minutes but after 20minutes I had to reboot

    It seems not working on Outlook 2010. "Microsoft Excel" is not on the list after selecting " import from another program or file".

    Thank you, the system is working properly. I have another question; since i want these events to be shared with my workteam, I set up the calendars as shared, but the reminders aren't firing up as expected, they only appear to me (the creator of the calendar). Do you have any advice on how to manage this? I want everyone to see the reminders. Thank you.

    This is so frustrating. The video looks simple, but in my case I can't map the fields. Everytime I save my excel file to CSV comma separated, I have ";" and not "," so I cannot map. I have looked for a solution, but still cannot find it. :(

      gail mindy singer From memory I had already used those category names in my calendar and had assigned colours to them. If you click on any appointment and then go to calendar tools--> categorize--> all categories it gives you the option to name your categories. Make sure that they are the same as in your spreadsheet and you're set

      Tom Phan no it won't. If you're worried create a new calendar with a couple of fake events in Outlook and try importing to there. They should happily coexist.

      also, if needed, how do you reverse this? delete all the data you just imported. i understand this is a test calendar and one can easily delete the calendar. what if it were in a real calendar? is there a way to reverse an import somehow? thanks

      To delete all the events you imported, delete the new calendar you created to. So in the example here, delete the "Test" calendar.

    I only get the option: Import events from an .ICS file to your existing calender
    There is no option to choose from an CSV file (although) there is a csv file on my desk.

      88colleen88 If you are using Outlook 2013 it won't work with IMAP accounts. The workaround is to make an empty calendar in a Pop3 account. Import the CSV schedule there and drag this data to your main calendar.

    Is it possible to edit the dates once you've imported your calendar? i.e. update the excel sheet with the same subjects with different dates and then import into outlook, with it replacing the old ones.
