Multi Select Filters in Power Apps with Combo box, Checkboxes & No Delegation❗

  • In this step-by-step tutorial video, we will learn how to build multi select filters in Power Apps. We will apply multiple filters to PowerApps Gallery including multiple item selections using combo box, multi-select checkboxes and multi select buttons.
    We will build these gallery filters keeping delegation in mind (No delegation warning) & work with multiple data sources like Dataverse & SharePoint.
    I will showcase how to filter a multi select choice column based on a multi select combo box control.
    Trick is to go around the IN non-delegable Operator and use Equals (=) which is a delegable function.
    I will also cover a new function called "Index" in Power Apps.

    Incredible as always Reza, thank you very much, It's sad but understandable that there are almost cero example on SQL databases, mostly dataverse and sharepoint, but work perfect for mine sql one!, except I still have delegation problem!

      Nothing out of the box. I have a video on versions (coming in 2-3 weeks time). I plan to show which column value changed from last version. Might be useful in your scenario.

    Hi Reza this is really cool, especially the multi-select filter with buttons. I am wondering what would be the best method to make it so that users can only pick one button at a time, and clicking one button makes all the other buttons "false". Thanks for the great work tho!

      Simple make a dropdown filter, which forces user to make a single selection.

    Great video. There are a few ways to do this but I notice you had "All" in the default for the dropdown but that's not one of your choices in the SP list. What's the RD best practice way for doing that? I realize that's a 101 question but I like to know best practices.

    Awesome stuff Reza. Though, for some reason I’m having trouble populating the combo box using the Choices function. I’m using: Choices(data source). But nothing populates? I’m definitely using a SP list with choice columns for this. Any ideas?

      Reza - Thank you again. Just realised the source SP column was labelled ‘Task Status’. I changed this to ‘Task_Status’ and fed this into the Choices. It appears it doesn’t like spaces.
      Now working perfectly. You’re the master - please keep educating newcomers and learners like me.

      Why do you need index for that? Since you are only filtering based on current user. You can directly filter for that.

      @@isaiaguillon9878 ok. Index should work (not 100% sure) but as shown in video you need to have some limit to multi select.

    Hi reza. This video is really helpful. I am new to power app. I don't know how to select only one button instead of selecting multiple buttons for filtering at a time. And it is possible to change the pressed color for the difference to know which one is selected? Any Suggestion.

      If its a single selection scenario, then simply use a dropdown.
      If u still need buttons, then set 1 variable value when button is clicked.
      I do not have a specific video on it though.

    Hi Reza, thanks so much for your video, really helpful! I'm having a problem when following your steps for the multi-select filters though. It's working perfectly well when using the Last(FirstN( combination, but as soon as I replace it with the "cleaner" Index( function, it stops working correctly and does not filter the selected values anymore. Any reason why that might be happening? Thanks in advance!

      Same issue here, doesn't work with the Index function but it does with the Last(FirstN functions... Btw I'm using SQL server as a data source.. not really sure if that's the cause

      Video shows how to filter on multi select choice columns. Does not matter if combo box if limited to 1 or 5 options.

      Thanks for watching and learning from the videos. Set default property of combo box or gallery depending upon what you are using. I have done a video on combo box where I did show default. I also did a video on multi-select checkboxes in power apps where I did show default logic.

    Wow, Reza! I've been needing this for so long! Then Im sadly, found there was/is still a limitation.
    My combo box has far more selections than 5 and there is no way around that. It might have three; it might have 200 options. My options are already filtered by a parent dropdown.
    Any thoughts about how I can manage this since there is no way to create checkboxes or buttons because the choices are too many?

      There is a way out with this approach. You do not have to use checkboxes or buttons. Let the user pick from your massive list of options in combo box.
      However you would need some limit. You can allow them for example a max of 10 selections in combo box.
      Write code for 10 indexes from your combo box and you should be good.
      I dont think you want scenarios where a user is requiring to filter a gallery of more than 10-20 selections.

    I have one scenario, kindly assist with that. I have a combo box which is showing the item based on the SP list and they are multi select. Same list is being used as a lookup column in the document library. Now when I am trying to filter it based on the selection from combo box, it is giving me the delegation warning plus comparison error with = and in.
    Any suggestion.

    HI Reza! Great video -- as always. But I'm really stumped trying to apply it. (I've also watched some of your other similar videos. ) I have SP List with a Choice field set for multiple choices. I am trying to filter my Power App gallery using a multi-select combo box bound to the field using the Choices function. (I've also tried binding to a collection that contains the choices as well.) But none of the steps you walk through are working -- from the non-delegable "in" to the Index() function. I keep getting variations of the "invalid argument type," including "cannot use table values in this context." I have re-created all of your steps, including creating a new choice field in SP, but get the same roadblocks.

    For this approach, I am getting delegation warnings -- which I wasn't expecting -- and a "incompatible types for comparison: Table,Text." Finally, if I switch it to Index(), I get the same error.
    By the way, my SP List has less than 2 items and my app is set to the default delegation limit of 500. I am scratching my head.

    Nice. I used the 'Index' function on my combobox and it removed the delegation error. However, I have three additional combo boxes and using the same 'Index' technique brought back the delegation warning for that second one. 😒

      Must have to do with the technique being used to add the filter logic. I have not tried with multiple combo boxes though.

      @@RezaDorrani Yes it seems to have something to do with the new syntax. I used the older technique you showed in 2020 simply using: 'field1=cbobox1 || field1=cbobox1 || etc. And that doesn't yield delegation errors.
      Trust Microsoft to be inconsistent with this "low code, no code nonsense" that only works properly if it's a Tuesday with a full moon.
      Even doing this filtering on the fly in Excel or Access then gathering the filter code for that years ago was more intuitive and ultimately more functional.
      Iys taken me over a month of trials and tribulations just to hack together some flows and an app.
      They could've produced a far simpler method of constructing these things.

    2- Combobox control (cbStatusFilter)

    Items: Filter (Table, ApprovalStatus in cbStatusFilter.SelectedItems)
    i made sure that i enabled the "Enhanced Delegation for Microsoft Dataverse"?

    I dont know if it is new but I am getting an error and then the filter wont work if there is less selection than index provided in the OR.
    Example, if I use this in my filter:
    Or(
    IsBlank(FilterServices.SelectedItems),
    Service = Index(FilterServices.SelectedItems,1).ID,
    Service = Index(FilterServices.SelectedItems,2).ID,
    Service = Index(FilterServices.SelectedItems,3).ID
    ),
    But if I have only 2 items selected, I get an empty gallery. I see this text when I mouse over the 3th index,
    Index(FilterServices.SelectedItems,3) = Error. (The second argument to the 'index' function must be between 1 and 2, the lower and upper bounds of the table. The upper bound may be reduced due to the non-delegation limit)
    So the Last(FirstN( might still be the best solution for my case. Thank you for that trick!

    Thank you for this extremely useful demonstration, Reza. Is there a limit to the number of combo box filters? I ask because in one app, once I got to seven combo box filters, I have a problem with the gallery not loading when the app opens. Also, the reset button leaves the gallery empty. You have to do a search, and then the gallery loads again. But with only three or four combo box filters, it works fine. Is there a limit? Or maybe something else is causing this?

    Reza I am using a dataverse table so I followed the example starting at 1:49 in your video which worked. I didn't follow the steps starting at 6:04 in video since its sharepoint and thats not what i am using. I did follow the example at 10:58 because I do want to use a checkbox but once I do that and click on any checkbox it doesnt display anything in my gallery?

    Getting delegation warning even with Index function described at 10:03 in video and the filter doesn't work. Any ideas why? This is the line of code along with other filters

      You have && right at start. Is there other code. Just keep filter to the main formula and check if it works.

      @@RezaDorrani Maybe Microsoft does not like me, because in I am definitely getting the warning symbol and the double blue lines show to show it is not delegable. My work around was to create 10 variables, using UpdateContext and Index, before the Filter expression. I then used "equals" and these variables, instead of "in" as you suggested, ", and it worked for filtering the large list (9000 rows). Thanks

      @@RezaDorrani I think I have found a work around that does the trick - now not sure if that's super best practice...but in case anyone encounter the same issue - here is how I did it.
      OnChange property in my combobox; I set up three variables - because I give the user up to three selections;
      UpdateContext({Var_1: If(IsBlank(Index(Combobox.SelectedItems,1).Result),"###",Index(Combobox.SelectedItems,1).Result)});
      UpdateContext({Var_2: If(IsBlank(Index(Combobox.SelectedItems,2).Result),"###",Index(Combobox.SelectedItems,2).Result)});
      UpdateContext({Var_3: If(IsBlank(Index(Combobox.SelectedItems,3).Result),"###",Index(Combobox.SelectedItems,3).Result)})
      Then in the gallery, I uses those variables to filter it down as follow;
      Filter(
      SharepointList,
      (IsBlank(Combobox.SelectedItems) || IsEmpty(Combobox.SelectedItems) || ComputerType = Var_1 || ComputerType = Var_2 || ComputerType = Var_3)
      )
      Please note I had tried to use a collection instead but I received delegation error with it...

    Hi, In my case I allow multiple selection On in SP list, so that filter function not working properly. because when submitting form it will take more than one value in the list. (due to allow multi -selection On).
    please suggest me in this case. I used same logic.

      @@RezaDorrani in above case … If we want to add multiple choices … then it will take only one value instead of all. This choice field with enabling multi choice in PowerApps but not enabling in SP list will not allow to take multi choice value. For that I used below logic
      Filter(ListName,
      Concat(comboBox.SelectedItems,Value&”,” ) in
      Concat(choiceColumnName,Value&”,”)
      )

      that feature is now GA.
      In is not delegable with every data type. It depends. Check documentation.

    Hi Reza, Somehow for the Combobox filters the results are only displayed when the selection is blank or maximum limit is selected i.e 5 in your example, in case I select 1,2,3,4 the gallary show blank.

      @@RezaDorrani Thanks for reply during holidays, the issue seems to be with index formula and worked with first and LastN formula, if the value for particular index is not selected then the formula is showing error and filter is not getting apllied

    Reza - The approach you have taken doesn't work for multi select choice columns. Does it? I mean if your column type is single select choice, you can have combo box filters like that you applied. But if my column itself is multi select choice column Progress.Value gives you a table in return and you cannot equal it with Index() function. Am I right or missing anything here?

      I did showcase multi-select choices columns in this video. Around 20:15 min in video.
      You will run into delegation issues with it (is what I did call out in the video).

    when I write "Filter(Gallery2_1.AllItems,Checkbox2_1.Value" in the "DefaultSelectedItems in combobox the error appears, Gallery2_1.AllItems= there is an error in this formula, check it again and execute it again :( what would be the error if I did everything like in the video :c

    I can´t seem to get the checkbox function to work with my combobox if the source is dataverse. It populates the combobox when I click on the checkboxes but It does not filter. If I manually click on the values in the combobox the filter works :/

      I have this exact same issue. Did you find a solution? Combobox filters work great as long as they're selected in the combobox. Using the checkboxes populates the combobox but the filtered gallery goes blank (returns no records) if using the checkboxes.

    imagine a record that is a multiselect field. There are N people selected. How can I filter the records that match a person that is one of the selected items of that multiselect field? My scenario is an Assigned To field that can have multiple people in. I would like to get the records that, say, PersonX is IN the selected items of that assigned to field. Thanks in advance, any help would be much appreciated and, again, just as I have said in other videos, your work is incredible. I have learned a lot

      @@RezaDorrani I have an idea to implement this. If you could be so kind as to provide feedback on it, delegation issues etc, that'll be great. I'm thinking about:
      1. loop through the data in that column and for each row,
      2. split the field using a comma (I had to Concat the names with a comma to show up in the field, so I can "split back", to get the individual names)
      3. Loop through this individual result set and compare the results with name of the person with the one I want
      4. if they match, extract the ID of that row,
      5. append it to a collection or a table
      6. calculate the number of rows.
      I don't know.. it seems like a lot of work. I was thinking maybe there was a simpler solution.

      @@RezaDorrani Turns out it was much simpler indeed. Since filter works by checking every row in the DataTable and the in operator checks for matches in a list of values, I just added the condition "PersonX" in "MultiSelect Person Field". I get a delegation warning, but I'll see about changing the source to Dataverse, since IN in Dataverse supports delegation, just as you explained in the video
