  • Word - Managing Bullets and Numbering Using Styles
    Getting bullets, numbering, and numbered headings to work correctly and consistently in a Word document can be a humongous challenge. In even the simplest of documents, it often seems like these features can easily go awry. In this course, students will learn how to create and apply paragraph and list styles to control the formatting and application of bulleted lists, numbered lists, and numbered headings in a document or in a document template. Students will also learn how to transfer these styles between documents and templates using the Organizer.

    Nice tutorials. @55:43 you restarted the numbering manually by right clicking on it. I want that to be done automatically. How do I do that. I have been searching for this since last week. No one has explained that. There is one such scheme in "list library" that does the trick but I want to do that through styles.

    Scott, extremely helpful. Two questions: 1. When I create my own List Style, assign it to various headings, then protect the document per your instructions, sometimes the newly created and saved List Style (even though checked when protecting) does not show up as being "in" the document as THE ONLY list style. Why? 2. After being protect (per your instructions) and then the document is shared via a Microsoft Teams channel, and others collaborate in the document, often times the formatting blows up and the Heading numbering, as assigned to the newly created, saved and protected List Style, disappears! Why? I'm right back to the same problem as before with the numbering being all jacked up. Thx.

    This is outstanding Scott. I do have a question: I am creating a doc with multiple levels of Headings (1 thru 4). Under Heading 1 I am able to define new Bullet and Numbered Lists fine. It's when I try to build a new bullet and numbered list under the other 2-4 headings that i get lost. I would like to be able to assign the number 1 numbered list at each Heading Level. make sense?

    At the 20 min mark you claim that Heading styles have NOTHING to do with each other. But isn't that ignoring the fact that all heading styles are used by Word's Table of Contents feature to generate the Table of Contents? In that sense, they are related. I realized that this isn't the focus of the tutorial but it might cause some confusion... at least it did for me. (Yes I am a noob).

    Thanks for this video. I have researched for many hours over several weeks and had almost given up until I viewed this video. Microsoft has recently butchered the bullets features making things far more difficult to use. I used to be able to define a bullet with indents and line spacing, then save them to a new style. I don't know why they have complicated things.

    You don't need the developer tab for organizer. Organizer is in Manage styles dialogue left down corner Import/Export.

    i have a style which is all bullets. Sometimes I want to make a 1,2,3, numbered list but when I do it changes all the sub bullets for that style. I there a way to only change that ones I want to numbers without changing the rest of them?

    Great video - in some places I was looking for the 'skip 10 seconds' button but that's OK.
    Around 58:00 you stumble over the bullet styling. That happened to me too. I found that some of the built-in labels (in that particular dialog) for bullet styles appear attractive, but they seem to be referring to a 'code point' in the font you're using, and if you look closely, you'll note that the label in many cases doesn't match the shape that is shown. So, I used 'new bullet', selected a particular font like Symbol, or Wingdings, and picked my bullets from that as an alternative.
    On avoiding the 'bullets' and 'numbering' widgets in the Paragraph section of the Home ribbon: I fully agree with you. What would you think of re-wiring those icons to "Apply List Bullet" or "Apply List Number", two little macro's that act as desired? I'm not sure where the re-wiring would live, though. Is it in the document/template or on my computer?

    Hi Scott! thank you so much for this video; it's the best one of seen yet. I'm having one problem. How do I get the List Number 1 to restart without right clicking on "restart at (a)".. or is that the only way to get it to restart within the same document?

    Hi Scott, thank you for putting this online, was a huge help. I never learned Word and now have to put together an operations manual (think 500+ pages of legal style numbering) and I learned so much.
    Quick question: Should I set the level specific indent in the numbering settings of the list style, or in the paragraph settings of the level-dedicated style? If the first option is correct, what should I put or not put in the paragraph settings of the styles then?
    Otherwise I would really like to see part 2 of your references video, and the video covering the styles, in case I missed basic things.

    Hi, back again! Looks like my Word 365 loaded in 2020 is corrupt because as I create a "list style" and move to the next level it forgets the work I have done on the previous level, so there is no visual check for the 5 levels that should show List Bullet, List Bullet 2, etc.
    Consequently when I save the named "list style" that is also not remembered.
    I started a fresh document and the problem persists.
    ... I found "UNRESOLVED MENTION" and by checking the box "A:check", third to the right, at the bottom of the STYLES dropdown found my named "list style".
    Not sure how to get it to work.

      Apply the levels in order, do not try to search for each style; doing so frequently causes Word to forget or erase the previously entered number.

    Hi Scott.. as some others have stated, I also have worked for 30 years with Word, but never understood the Styles until I have watched your video several times. I have one question: As I cannot find an information as to how can I continue with levels 6, 7, 8 and 9 during the creation of Bullets, Numbers and Headings? I have also searched in Google but either I was not able to find it or such information does not exist.. Congratulation.. You are the most professional from all other Microsoft "specialists"..

      For List Number 6-9 and List Bullet 6-9--create each style separately,. e.g., List Number 5, List Number, 6, etc. Word only provides 5 levels for each of these styles. Word's built-in heading styles go from Heading 1 through Heading 9.

    Scott, great video but there is a problem: you have to manually apply the heading numbers. Is there a way for them to go automatically by using tab or shift tab (Mac)?

      I use Ctrl+Alt+1, Ctrl+Alt+2, Ctrl+Alt+3, to apply heading styles. (These are built-in shortcuts. You must customize the keyboard for Heading 4 through Heading 9.
      When defining/modifying a style, use "Style for following paragraph" and enter the same style name. The style will repeat every time you press enter.
      To go from heading 1 to heading 2 press tab. If that inserts a tab, go to File, Options, Proofing, Auto Correct Options, Set left- and first-indent with tabs and backspaces. Then pressing tab will take you to the next level, shift+tab returns you to the previous level.
