Love Yardbook. I’m starting my new part time lawn service this year. I have one client so far. I did a mulch job and grass (weed) mowing for this client for the first time last week. When I was done and client came out and paid me I presented him with the option to store a card with me. I was surprised that he said that’s a good idea. Awesome I can’t wait to hit that card for the first time. Takes a lot of the stress out.

Is there any chance that in the future you could do a part 2 followup that covers what happens after the customer approves the estimate and puts their card on file? Meaning, things such as: setting up their service date (adding them to the schedule), invoicing after services are completed, etc. If not, I understand as you've already helped us all plenty, but it would be extremely useful and time saving to see how your company does those things as well.

I was wondering this too - I think the transaction takes place in the financial account you enter/ give it access to - I plan on using my institutions routing number and the account number for a "MySpending card" that's isolated from the rest of my banking - for the payments and all business transactions.

Not to see your pricing at all, but to get a better idea of some more services and items other than grass cutting and hedge trimming that I should be including in my own. I like that you're always trying to make better videos and constantly trying to improve. However, music below dialog or narration isn't really the best. As a general rule, it's better to not use any music. Unless you're using it for an intro or outro etc. If you ever need any help with audio let me know.
Hey great info here! Can you let us know if any of these are paid features or if it can be done with the basic free account? I’m still using the free version but this would be worth paying for. Currently I just send a monthly invoice and about half pay on the own through the pay now button. Also, with the card on file, is there any way for clients to still leave a tip if they choose to? We actually receive around $150-$200 per month in tips. Doesn’t sound like much but I LOVE some free $$$ lol. Thanks Jonathan

Hey Jonathan, Awesome video just have a question regarding the Credit card E.P.F Electronic processing fee?? Do you bill it you your customers or do you eat it??
Not sure if you ever got an answer to this, but it's my understanding that it depends on your State law. Most States don't allow you to explicitly charge for credit card fees, so you have to factor that in to your rates. For example, let's say you charge $25 per mow and mow 4x in a month, that's $100. A credit card is going to charge between 2.5 - 3.5% of the transaction, plus a per transaction fee, maybe 35 cents. Do all that math and each mow bumps up to $25.35. Most of us are going to round up to $25.50, aren't we? :)
We charge a convenience fee. It doesn't make sense to eat the fee. Its customers discretion to use card with us. We must have a CC on file with all customers but we do not make them use it ,its only so we dont get screwed. They can mail check , bank draft ,ect. But there's no way possible we would eat the fee on CC use. We have some clients that pay up front for the whole year that ranges in the 4 - 5 k mark for annual services and that would be 400+ dollars for us to eat. Not happening. And I've never heard of any state not allowing you to charge for it. That's a new one on me.
Quick question Jonathan, doing the online measuring, and i currently have my clients in both sap and yb, do you ever get burned using the sqft method? Meaning, each job is different and when you give a quote based on lot size, but the unforeseen fence they have or a whole lot more weedeating than projected, we gave them a quote based on that sky view. Guess what im asking is how do you give yourself the buffer to get what your worth? Obviously doing a lot of $45 yards for $35 based on aerial view will set you back in the big picture. Because this is what im going to. online/over the phone everything until my truck arrives. Maybe have a higher first cut price then do calculations and give a concrete price at the end? In this video, it says in your estimate email text, that once they approve the estimate, you will then send them a link to begin service. Can you please elaborate on how you do this? I have searched Yardbook high and low, and cannot find any area whatsoever that allows you to do this, but saying that it would be extremely helpful would be an understatement. Also, have you ever had any issues using Stripe to process your credit card payments? We have it set up but haven't ran with it just yet. I've read some reviews about Stripe that says that they have deactivated accounts for no apparent reason, leaving some businesses with no way to collect payment until they find another processing company, but with Yardbook, there is no other option. Just curious if you ever had an issue whatsoever while using their services.

Hi Jonathan! I have a question for you. I've asked Yardbook customer service and they helped some what but thought you may know. Normally I invoice customers right after I complete a mowing service. I have a customer that wants to pay a month in advance and I'm trying to figure out how to do that properly. I wasn't sure if you have ever done that before or not? I went into recurring invoices for this customer and set them up for a recurring invoice but not sure if that'll work? Thanks man!
Jonathan, I wanted to get clarification about the credit card payment: are you actually able to charge the credit card on file after completing the service, or does the customer still have to pay from the invoice you generated through the invoice they are sent? It seemed to me that you were saying that each Monday after doing the service that you are charging their credit card. Thanks
How do you handle cc fees? I think it works out to 3.9% + $.30 fee. Do you just pay them or toward them to customer? If you pass it on to them? Is there a way to auto/set up all those fees to be passed on? Hope I am being clear in my question lol

Question, are you not visiting the properties that you are doing these estimates from? So let’s say you give them the estimate and you get there and realize what was once a 45 dollar yard is now a 65 dollar yard because you based it off sq ft and a satellite view. I only ask because I want to see the approach one should be taking to do this the right way.

Hey Jonathan. What about converting existing customers that pay by check or cash. Have you had that come up and how have you handled it? Are they grandfathered in? Or have you tried to convert them. What if they have said no. Do you keep them or move on. Thanks for all your info.
Todd Notobartolo Hey there, I have just given my original clients the option. Most of them just put a card on file, but I still had a few that were happy to just send a check. They were always great payers so I just grandfathered those ones in.

Have you ever had any problems with those guys? The only thing I would say for myself, I wish they had live agents we could speak to on purchasing equipment, general questions etc. I guess that wouldn't be a complaint, more of a request. James Amerson Hey man, I totally get the questions about Stripe and not having live customer service. That being said, they are a billion company who handles major corporations all over the world. They’re definitely not a start up, which is a valid question. Also, stripe is level one PCI compliant. Which basically means they have the strictest data security standards possible. So to answer your question, I understand the validity of a concern, but I am 100% confident in Stripe.
It’s Free. Just create an account and you have access to enough features to completely run your business. There are some paid options for advanced features.
so my big issue with doing estimates is people in my area want a monthly rate. but allot of guys are out here doing yards for $80 a month every week. that just dosent add up to me. i dont usually service a yard for less than 40 a cut. 4 times a week thats 160. im completely lost on what to do about this any suggestions?
Makes things nice for sure. Paper invoices can be a pain. Question for you. You said you charge out by the week. I believe . So does this mean you do not service year around and charge per cut only ? I personally bill by the month and all my clients are year around.
Ron Hart I don’t charge you around, and it’s mainly because I want all my money up front. I’ve had friends who did a lot of work for low prices during the summer, then the client left and didn’t fulfill their contractual obligation throughout the winter.
@@FloridaTurfPros understandable. I have been in business for 14yrs and have had a few bale. It is just part of the business. Over here in POLK CO. Fl it is all you see" Year around service". Your house would be $125.00 a month for basic cut. The cookie cutter homes .3 and under go for $100.00 a month. I am every other week from November to April 1st. We are home of the $25.00 cut !!! and see a few newbies put out $20.00 signs 😂 I like the way you do business though .Thanks for sharing.

Card on file is the only way to go. 2 questions for you. 1. Can you mass charge all cards at once? I cant figure out how if so. 2. Have you figured out a way to track how customers heard about you (other than putting it in notes) in yardbook?
Mike Jones I specifically asked Mark about adding this feature. He said they were working on a feature to process all cards in the background to mass charge. I agree, this would be a great new feature to add!

Go to the main 'settings' tab (drop down under your business name). Click on Invoice Settings. There you can add that options - its about halfway down the page. I had to figure this one out myself. It's there and no upgrade required.
Ok I got a question if you charge a credit card on file are you allowed to pass along the credit card processing fees? If so how do you know if it's activated to pass along those processing fees.
Worsham's Lawn Service There’s an option you can click to pass along the service fee to your client. I would advise just raising your price to account for that portion of the overhead rather than tacking on a ‘convenience fee’. Remember the convenience is more for you the business Owner, and I would just be very careful about openly passing that along to the client. Just my thoughts!

There's a tab at the top of the estimate to add a CC on file so there's no need to go back and send the separate link.

quickbooks online, will automatically generate and mail invoices after you set it up.
TheProCut Do you mean send an invoice and you still have to wait to get paid, or it will charge the card on file and automatically send a receipt?

Credit card payments are the majority of how my customers pay me, however I lose a lot of money in the processing fees. How do we get around that?
How do you handle cc fees? I think it works out to 3.9% + $.30 fee. Do you just pay them or toward them to customer? If you pass it on to them? Is there a way to auto/set up all those fees to be passed on? Hope I am being clear in my question lol
Just build it into your pricing algorithm.
Got a question if you dont mind me asking? Do you still use yard book and if so which one do you have, the business or the enterprise? Also do you sync to quick books or no?
I'm not synced to Quickbooks. My accountant handles my bookkeeping through our bank accounts directly. I use the upgraded version of Yardbook.
Do you have to get prior written consent from the customer to charge their card?
Question, are you not visiting the properties that you are doing these estimates from? So let’s say you give them the estimate and you get there and realize what was once a 45 dollar yard is now a 65 dollar yard because you based it off sq ft and a satellite view. I only ask because I want to see the approach one should be taking to do this the right way.

What about converting existing customers that pay by check or cash. Have you had that come up and how have you handled it? Are they grandfathered in? Or have you tried to convert them. What if they have said no. Do you keep them or move on.

Todd Notobartolo Hey there, I have just given my original clients the option. Most of them just put a card on file, but I still had a few that were happy to just send a check. They were always great payers so I just grandfathered those ones in.

Awsome video my friend. I to have utilized yardbooks for many years now. Absolute love this software. Let me ask you, how do you feel about the stripe connected processing? Have you ever had any problems with those guys? The only thing I would say for myself, I wish they had live agents we could speak to on purchasing equipment, general questions etc. I guess that wouldn't be a complaint, more of a request.

James Amerson Hey man, I totally get the questions about Stripe and not having live customer service. That being said, they are a billion company who handles major corporations all over the world. They’re definitely not a start up, which is a valid question. Also, stripe is level one PCI compliant. Which basically means they have the strictest data security standards possible. So to answer your question, I understand the validity of a concern, but I am 100% confident in Stripe.

so my big issue with doing estimates is people in my area want a monthly rate. but allot of guys are out here doing yards for $80 a month every week. that just dosent add up to me. i dont usually service a yard for less than 40 a cut. 4 times a week thats 160. im completely lost on what to do about this any suggestions?

Makes things nice for sure. Paper invoices can be a pain. Question for you. You said you charge out by the week. I believe . So does this mean you do not service year around and charge per cut only ? I personally bill by the month and all my clients are year around.
Ron Hart I don’t charge you around, and it’s mainly because I want all my money up front. I’ve had friends who did a lot of work for low prices during the summer, then the client left and didn’t fulfill their contractual obligation throughout the winter.
@@FloridaTurfPros understandable. I have been in business for 14yrs and have had a few bale. It is just part of the business. Over here in POLK CO. Fl it is all you see" Year around service". Your house would be $125.00 a month for basic cut. The cookie cutter homes .3 and under go for $100.00 a month. I am every other week from November to April 1st. We are home of the $25.00 cut !!! and see a few newbies put out $20.00 signs 😂 I like the way you do business though .Thanks for sharing.
Ron Hart It’s always interesting hearing how others organize their billing practice. Thanks for sharing! I can see the benefit to having steady year round income, even if you’re sacrificing a lower margin during the summer. It’s a trade off, and if it works for you keep killing it!
Card on file is the only way to go. 2 questions for you. 1. Can you mass charge all cards at once? I cant figure out how if so. 2. Have you figured out a way to track how customers heard about you (other than putting it in notes) in yardbook?
Mike Jones I specifically asked Mark about adding this feature. He said they were working on a feature to process all cards in the background to mass charge. I agree, this would be a great new feature to add!

I don't have the "Approve" button on my estimates. What would cause that? Yes I am setup with Stripe as well.

Change it under 'invoice settings'. No upgrade required.
We dont schedule a service until we have a card on file.

My question is once you have card on file can you charge at time of service or do you have wait for client to approve payment through email link everytime of serious?

I’m having issues please help. I didn’t do what you did rather I sent out a invoice and it gave them a link to pay with credit card and so they did but I have not received payment in my bank in 4 days now.

Go to the main 'settings' tab (drop down under your business name). Click on Invoice Settings. There you can add that options - its about halfway down the page. I had to figure this one out myself. It's there and no upgrade required.

Ok I got a question if you charge a credit card on file are you allowed to pass along the credit card processing fees? If so how do you know if it's activated to pass along those processing fees.
Worsham's Lawn Service There’s an option you can click to pass along the service fee to your client. I would advise just raising your price to account for that portion of the overhead rather than tacking on a ‘convenience fee’. Remember the convenience is more for you the business Owner, and I would just be very careful about openly passing that along to the client. Just my thoughts!
