  • Hey guys! I wanted to take your through my photography workflow - so everything that happens AFTER a photoshoot. I go through how I organise my files, how I backup my photos and take you through each photo editing program I use including Photo Mechanic, Adobe Lightroom, Adobe Bridge and Photoshop.

    I feel like I randomly stumbled upon photography one day. I've been shooting and editing photos that I'm proud of ever since, but I have continuously struggled to have an efficient workflow. Its turned something that I once enjoyed into a chore. Overwhelming storage space issues, competitive deadlines, and slow downloads have seriously made me want to distance myself from it. However, this video is a step in the right direction for me. It's incredibly helpful and gives me hope that I can take my work to the next level. This is info every photographer needs to know, yet it is hard to come by! Thank you so much for taking the time and effort to share your expertise

    Julia, I always had Photoshop as my favorite. But I tried Lightroom last week because I had a bunch of pictures to edit and I thought it was going to be faster - and it really was. Then I also used Photoshop only to retouch this time and the final results really pleased me. Thanks for your tips!

      @@juliatrotti thanks for this great video. is Photo Mechanic really that much faster for culling than using LR? so you keep all your current edit projects on the ssd 'working drive' and backup everything to the hard drive? do you keep the ssd working drive until it's full, then store it away?

      @@juliatrotti can't you just import the 'select' folder into LR instead of having a separate 'Lightroom' folder? just curious as to why you need both folders

    excellent video! Some good solid info. I would like to add a word of warning though for those that use traditional external hard drives. By that I mean the ones that have spinning platters. That type of external hard drive is still a hard drive and subject to failure just as if it was in your computer. I would warn against using it as your sole backup. I have friends that had issues with those kind of external drives. Sometimes it is just the power supply and if you remove the drive from the case you can still retrieve your files. If its the hard drive itself now you're talking file recovery and that can be expensive. Bottom line: it is best to have your files on more than one hard drive.

    Thanks for the information. I might suggest looking into GoodSync to automate some of your workflow. I use to to copy newly added folders to both my external drive and NAS.

    Hi Julia! Thanks so much for this video. As I’ve said in several of my other comments, you’re truly amazing and such a great and organized teacher. You’re my favorite You Tube photographer along with Joe Edelman. This video is an answer to so many prayers for those who need to be taken by the hand (as I do) and walked through all of these different steps.     Thanks for sharing, absolutely helpful! Wondering if you could do a video of a wedding behind the scenes or how you move about at a wedding during each part (ceremony, getting ready, reception) and even your camera settings/ lenses you typically use for those scenarios!     I want to give more than just one thumbs up!!
    1 - I have a very slow laptop and I am REEEAALLLYYY Strugling to select pictures. (after one morning of surf shooting, 650 pictures, I spent almost 3 hours selecting just because the pc was slow to change and load picture). I'll try adobe bridge for it now.
    2 - My pictures folders is just a mess. It is difficult to find specific pictures. Loved how you organize. I'll be doing it now.

    I had never considered my workflow post shoot and was wondering if I was doing something wrong. I am apparently on the right track but have some great suggestions now for how to preview my photos (I was using Windows photo viewer and a legal pad to write down the ones I wanted to send to post. A bit tedious). Thanks for sharing! One of the things most don’t consider is what happens between the time when the camera goes in the bag and when the “photoshop stuff” happens. I am sure you have helped a lot of folks with this video.

      if you do pick up an iMac dont get the upgraded ram size from Apple. Spent the additional $$$ on the vega Graphics card upgrade. Get the 8gb ram and order ram on amazon (corsair etc). You can get 4 X 16gb ram cards for $200 and then you can install them yourself (the ram door is accessible behind the mac by the stand)
      I recently swapped from my macbook to a XPS 15 (which turned out to be a nightmare and kept failing first few days after getting it). I returned it and now will be building a PC but I also was looking at possibly getting back into Apple. but for 2300 (taxes applied) I can have a pretty spec'd out PC with killer CPU, RAM, Graphics card etc while the iMac is 3100 (w/applecare and tax applied)

    I loved this! Thank you! I was wondering if you could make a video on how you archive your lightroom catalog? I see you created a new catalog but didn't show how you archived it into that folder and deleted that from your lightroom and computer? Thank you!

      Thank you! The Lightroom catalogue gets archived when the rest of the folders move to my NAS when I don’t need them anymore. Once they’re not on the original HD anymore, it won’t pop up in your recents Lightroom list.

      Thank you! Yeah I used to import everything into one catalogue as well.. when I started photographing weddings, I learnt really quickly that it wasn't going to work too well with thousands of images being added in every single week :D I hope this new method helps!

    Once you've retouched the images in PS, how do you export them to Dropbox to do this? And what are your export settings for both the highres and lowres images? This is probably the best video I have seen on a general editing workflow. I have made some notes and plan to follow this to the tee! Thanks!

      Thank you so much! I export the highre JPGS from Lightroom (the export settings for that are in this video), then once I've retouched in PS, I flatten and resave them as a JPG with quality 12. Those are the highres images that I upload. Then for the lowres, I just resize the images to 1920 pixels on the longest side, 300dpi :)

      Awesome, thanks! Really love your channel. Only discovered it quite recently but definitely one of the most resourceful as I shoot similar stuff to you. Loved your shoot in Poznan! Brought back fond memories as I've spent a lot of time there. :-)
      When you do the lowres resizing, do you do that in PS or LR. I'm very comfortable with exporting/resizing in LR but only just getting into PS.

      Thank you :D For wedding photos I lowres resize in Lightroom as I don't do any Photoshop retouching on my images - only Lightroom edits. For my fashion photos where I do retouch in Photoshop, I use Bridge to batch resize the lowres images!

I'm a little late to the party sorry, but do you mean you are exporting from LR a highre JPG then opening it up in PS to retouch? As in, you are retouching a JPG and not a raw file? Also, is your final highre export out of PS/Br sufficient for jobs intended for print? Thank you for sharing so much of your knowledge x

    I like it, I have almost exactly the same routine after a shoot but I definitely think I'm going to try the idea about using separate catalogs.

      Thank you! I used to put everything in the one catalogue when I first started as well, it ended up getting so confusing! Especially when your harddrive fills up and you have to start moving files.. eventually half the photos in the catalogue are "missing". Hope you enjoy the new method if you end up trying it :)

      I usually format my cards the night before a shoot! I like to keep them on my card for as long as possible :)

    Hello Julia, thanks for this very interesting insight. I understand the idea of one LR catalog per project to increase the speed of workflow but in this case you lose the ability to look through photos of different projects AT THE SAME TIME..eg if you want to look all "smiles", or "cars" or whatever tags you can insert in LR...When my catalog became too big I splitted it in a few smaller ones ( France including my family and social events, Asia etc...for example, I find it pleasant to be able to scroll among all my chinese pictures in one catalog. Of course everybody has to find the best way to sort his pictures and catalogs...just my 2 cents and congrats for all your videos and tips !

    I run a Windows PC and a Macbook Pro and have been debating on getting between extra internal or external hard drives. External would be ideal since I could edit on either machine. Where do you keep/store all your external HDDs/SSDs?

    Thanks this is a good video, I use a similar workflow for culling and cataloging my photos, but I am hesitant about keeping one LR catalog per photo shoot. I think the LR catalog structure works well for large amounts of photos. Watching fragmentation and the right performance options. Having so many catalogs can be a maintenance hassle.
    I have a question: After you EXPORT the photos to share with your clients do you re-catalog those photos back again into LR?

      I think it depends on your workflow really! I usually only work on editing 1-3 sessions at a time, once I'm finished I back up that catalogue and literally never have the need to open it again. For my personal work - I do film photography where I process the negatives in Lightroom - I have one catalogue for everything because I do revisit older photos frequently. So it all depends! And no, I don't put the exported files back into Lightroom personally.

    Nice workflow ! I tried to transfer my photos from the SSD to a cloud storage like Dropbox but it takes like 2 hours to complete for 40 high res photos. Is it the same for you ?

    This is great for one day shoots. If you are making a new catalog for each folder then how do you handle multi-day travel photoshoots? I have photos from several trips to Italy over 6 years. How do you propose to handle something like this where you want to organize and see all my Italy trips at once?

    Thanks to your video I am going to begin implementing a similar strategy that will finally get my photos backed up and organized in an efficient manner.       Glad you found it helpful! I personally keep everything because I don't want to accidentally delete anything I shouldn't, etc but I also know photographers who keep their selects and delete everything else. I honestly very very rarely need to go into the archives to grab a raw photo for a past client :)

    This is just what I needed. My current system of backup is cluttered. This is such an easier way. Couple of quick questions. Do you save the psd file? What kind of hdd system do you have to have it all plugged in?

      Thank you, I'm glad this was helpful! I used to save the psd file but after a few months I realised I literally NEVER go back to re-edit anything, so I only save the final jpg now. Of course this is just personal preference and suites the way I work, you could try saving the psd at first to see if you ever go back/need them in the future and then get rid of that step from your workflow if you don't end up using them like me :) I use a few Synology NAS with WD reds.

      Thank you! I add copyright info (just my website link) to the images when I export them in Lightroom :)

      Thank you! That's a really big question to be honest. Realistically there is no right and wrong with your workflow, it all depends on what kind of photography you do, how your market yourself and your work, what your clients are after, etc!
