I understand your point why not all tasks would not be in right place in task manager, like Todoist. The again, I like to have all of my tasks within one tool, so I do use Todoist for my reading list, movie watch list etc. For me, it's much easier to see all "tasks" in one place instead of jump around between multitude of tools. The use of filters and views makes this very easily manageable.
Very good tips. It makes total sense to not overload yourself when this is for a to do list, not other stuff. I especially like your idea of having a “today” folder in your email account! I’m gonna have to try that this week!!!
Bulls Eye. Exactly the challenge I'm facing everyday. One of newly added task in my ToDoist is to shift all due task tomorrow or next week and I'm building another Everest probably. Thanks a ton Carl to address the issue. It is very difficult sometimes to define task that should go into the list.
I like to capture videos and articles to todoist so that I can schedule them to a day I want (if I want to take notes on something, this becomes a real task). If I don't do this and save this type of stuff on my note taking app of choice (obsidian) I often forget to process them and when I remember there's a huge list.
A great video as always, Carl! One question- how do we set up the today’s focus filter to show the 3 priority sections? Perhaps there is a video on it and I missed it? Thank you 🙏 in advance
This video is more than awesome. Your brain is really great in answering questions. If the question is, what are all the things I have to do then the result will be an enormous list of which 95% is usesless
You're right there, Bas. If we don't control what gets into our system, we do end up with a lot more meaningless tasks than meaningful ones. We have to guard the gates. 💂♀️
@@Carl_Pullein since you switched to project management in the notes application and implemented the time based system I think my to-do list dropped to 10% of what it was. Now it says timebox 30 minutes of sprint work. In stead of work on story X. Our storyboard has all the info needed and I have a link to my notes app.
@@Carl_Pullein I did actually just complete the TSS course and I have to say when I got my views and filters set up, I really really love it. Although I did like Things 3 due to its beauty, Todoist is so much more powerful (IMO) and fit my way of working and seeing stuff. So I’m all-inn now. Bonus: I can watch ALL your future videos on TH-cam, for free 😂
Happy Sunday! Any reason for clipping your "read later" material to Evernote...instead of say...Pocket...or Instapaper? I have a similar workflow to yours (Omnifocus instead of Todoist) and have been using the EV clipper ad nauseam 😊 and i am now trying to replace it with Pocket (been playing with it for a few days), which seems to work very well and also offer "text to speech" for my morning walks. Curious to know if you have an opinion on that. Thanks for the another great vid!
Hi Fabrizio, you're right. I di use Instapaper for my reading list. I used Evernote as an example for reference materials. For instance, the articles I demonstrated, would all go to Evernote because they are research (Agile) or interests (Ian Fleming). Articles to read don't get to my Todoist inbox as I send them directly to Instapaper.
I have a question. Do you track/keep some of your subscriptions in your Routines folder? At least I have some apps/subscriptions I always forget the date I need to renew (or I like to get a reminder) when I have to pay for the renewal. Or du you keep track in another app/email?
Most of your subscriptions should send you an email when they are due to renew. They do for me, so I can make decisions about whether to renew or not from there. If you are less trusting than I am, then you can put them in your routines folder and set them to remind you a week before the renewal date.
@@Carl_Pullein thank you, that’s what I currently do. I alao get an email from most of my apps, but I still forget some times 😜 And I don’t keep all subscriptions in my routines, only important ones (3-4 I think).
Hi Carl, I'm intrigued by the Time Sector system but I'm confused about the options: It seems that system is PART OF the "Your Digital Life 3.0" course. But then it also exists as a standalone course. If I get the YDL 3.0 course, would I be missing important things from the Time Sector course?
Hi Clemens, The standalone course only focuses on setting up the Time Sector System. This course is ideal for those people who are happy with their digital organisation and only want to learn the Time Sector System. Your Digital Life (and now, Time And Life Mastery) include the Time Sector System as part of the lessons, but are must broader in the topics covered. Hope that helps.
This was very timely - over time, my personal Todoist had become a dumpster fire of stuff that shouldn't have been in there, and I'd noticed that I just wasn't using it anymore. I've now radically pruned it back and moved a load of non-tasks to Evernote. Now I just need to do the same for my work Todoist **whimpers**
Great way to later read those news articles you want to read. I use Instapaper for that. In this video I was referring to articles for research (Agile) and interests (Ian Fleming)
@@Carl_Pullein I'm wondering what your thoughts are on this new feature, as I'm thinking it could be good as a 'task repo', for storing future tasks that don't need to be in Todoist yet!
@@torspedia I just would not do that. I've made that mistake before--having tasks in two (or more) places--it just caused a lot of confusion and missed tasks. For future, long-term tasks that have a date, I prefer to put them in my calendar.

It's a neverending battle, Shahrukh. It's all about setting boundaries and being very strict about what gets into your system.
Great advice! I have several of these redundant tasks in my lists that really ought to become routine prompts. Thanks for this video!
You're very welcome, Michael.

Is Maverick Vinales in the thumbnail?
Thank you for the tip to use Evernote's web clipper. I could use that feature instead of saving articles to my Todoist.
It's a much better place for articles. It also helps to keep Todoist clean.
When saving from an iPhone the build in link does not save as simplified article. This is a real PIA
Now a days todoist increases their price tag so I am going to ticktick. By the way your video is great for productivity
