      Hi Chris - I noticed it says 200max that you can pre-assign. If we pre-assign 200 participants, but have 300 that show up for the meeting, what do you think is the most effective way to handle the additional 100 participants in moving them to breakout rooms?

    Thanks for another great video! But doesn't this require each participant to have a Zoom account using the e-mail address, and to be logged in using that account when they join the meeting? Otherwise, how does Zoom correlate an e-mail address with the participant? We have a church retreat coming up with about 75 people. We have their email addresses, and it would be great to pre-assign discussion groups. But of the 75 people, I would guess there are only a handful with Zoom accounts. Most just use Zoom to join church meetings.

      Hi, this is what I found on Zoom help page „
      Participants:
      Zoom desktop client or mobile app, version 5.3.0 or higher; OR
      Web client
      Note: When joining a meeting with pre-assignments, participants need to be signed in to the Zoom account associated with the email address used for pre-assignments for the pre-assignment to be applied. If they are not signed in or signed in with a different account, the pre-assignment will not be applied to them.”

    Thank you for your excellent and informative videos! I want to have eight breakout rooms with two pre-assigned instructors in each room and then I would then like the students to be distributed to the eight rooms automatically so that we end up with (approximately) equally sized rooms. Is this possible?

      @@ChrisMenardTraining Do you have by the way a trick to increase the speed to go to breakout rooms and back ? Sometimes it takes 30 sec for the return "trip".

    Really enjoyed how you showed this tutorial. I have a question: some people don't use their email to log in to join the weekly meeting. You could say they use the web version instead of the desktop one. Would you know if your technique can work on the Zoom web version? I appreciate your time.

      You would need their email addresses. Here is the ideal flow. Either send out a meeting invite or use Zoom's registration feature. If you sent out a meeting invite, you know who accepted and declined. Take the accepted emails and add them to the pre-assigned csv file. For Zoom registration, do the same. You have their email with registration. I hope this helps.
      To your point, which is correct, someone could use the Zoom web interface and join and bypass putting in their email address. So now they have to be manually put in a breakout room. The only thing I can think of is to suggest they use the desktop client.

    hello, chris. if i pre assign using csv and then during the meeting, before i open the rooms can select the option that participants can freely choose their room for those not captured

    I followed your instructions for setting up pre-assigned breakout rooms using a csv file. When my discipleship group meets I open up the breakout rooms but attendees aren't automatically redirected to their pre-assigned breakout room. What am I doing wrong?

      Do we know if they are joining the Zoom meeting with the same email addresses you used the CSV file? For example, the email that you put in is ChrisMenard@email9. I join the meeting with another email, for example, ChrisMenard345@gmail The emails don't match, so there is no room to assign me.

    Hey Chris, thank you for your video! I was wondering: can we also create break-out rooms that people can move between when scheduling the meeting?
    I'd like to have a meeting in which attendees can choose the break out room, but I won't be in the meeting as a host, so the rooms would already have to be made when scheduling....

      You can do both or just one of the other. If you do both, schedule break-out rooms which are done before the meeting, and during the meeting allow participants to change rooms. So initially they will be in the room you selected, but they can move around after that initial break-out session. Did I answer your question? Let me know. Thanks.

    Hello Chris, thanks for the video! How can make the breakout rooms forever open. If the meeting is ended and if my team want to re-join they should be able to join their respective rooms and use for discussions without a host. Is that possible!

      Not possible. Once the meeting is ended that is it. That would be a cool feature.

      @@ChrisMenardTraining Wouldn't it work if you just leave the meeting open but go off to do something else in the meantime - not taking part yourself. I know some university teachers who did that during Covid to give their students some time for free socializing.

      @Marian Hara You are correct. As long as I don't *End* the meeting, that would work. The issue for me is that I have to go to another Zoom meeting I'm hosting. Zoom will not let you have two meetings going at the same time.

    Great video! -I´m going to host a meeting with 200 participants with 6 preassigned breakout rooms. After 30 min the participants need to rotate to preassigned breakout room again. How do I plan this ahead?

      Patrick, I would do the initial pre-assign room, and have a spreadsheet and let people know what room they need to go to next. Use
      Zoom's feature where they can pick their breakout room. I think that would be the easiest way.

    I did 2 rooms and I dont know how some people stayed at main room. And I couldnt add them to room 1 or 2. So the students in main room finished the exam without the invigilator.

      Are the users joining the meeting with the exact email you have for them?

    I am trying to plan breakout rooms for a large self-registered meeting (up to 150 people). For each of the 10 breakout rooms, we have a facilitator and notetaker which I am able to pre-assign using a CSV file. My question is, can I randomly add people to breakout rooms that already have the facilitator and notetaker assigned or do I have to manually assign every person?

      You can pre-assign, which it sounds like you are doing. If you miss or forget to pre-assign someone, that is OK. Once the meeting starts, you can move participants around or you can have participants move on their own.

    When you schedule the meeting and create pre assign breakout rooms, do you still need to send the invite to those email addresses that your created on breakout or no?

      Yes. The pre-assigned breakout rooms have nothing to do with the invite. Ideally, you would do the pre-assigned breakout rooms *after* you know how is attending your meeting. Either with the invite acceptance or using Zoom's Registration features. Does that help? Thanks, Ahmad.

    In using pre-assigned rooms I regularly have a handful of people who don't end up in the room/I have to go in and manually send them the first go-around. Any thoughts on correcting this or what I might be doing wrong?

      Marcie, I'm betting you aren't doing anything wrong and it's just Zoom. It is possible the people are joining by phone and computer or a tablet and phone. My point is, it is most likely Zoom if you are assigning them to rooms and they don't end up in the room automatically.

    Hello is it possible to make breakout rooms during the meeting and not before? Will it work if I enable the breakout rooms after I scheduled the meeting? 😢 I'm really grateful to anyone who answers I am really in a hurry...
