    Thank you for this very clear explanation. Is it possible to add Microsoft Exchange to Outlook ?

      Yes, you would be adding a 365 account or if you were in a larger organization you may have your own exchange server. Outlook adds the account if your company has setup the right information in DNS. It uses a AutoDiscovery service. Once you put in your email address then Outlook finds your Exchange server for you.     Mr. Tucker, I have had an outlook account for years. Recently Microsoft added some updates to my computer. Now it seems that I have two outlook accounts. Do I have two outlook accounts? How can I be sure that I am receiving my outlook accounts? I use Outlook for my professional interactions.

      Mr Decker, Sorry about the delayed response. I dont think you have two you may just have your account added twice. If you are using outlook.com and using the default mail app. I would just remove one of the accounts. If you are nothing getting the email then remove the other one and just set it backup. That is the short answer with out knowing any more. That is about the best advice I could give you.

    Great explanation! Does one subscription to MS Office 365 Business Standard only gives you one email account?

      So..... sort of. It gives you one mailbox. But you can add as many email addresses to it as you like. They are called email aliases. All the email goes to the SAME mailbox also you can create shared mailboxes at no charge which are like a mailbox but you cannot send email as the shared mailbox user. For example if you have an email address of john.doe@domain.com then you wanted to have an alias sales@domain.com you could create the alias for sales. But all the emails would be delivered to john.doe@domain.com mailbox. Any response to an email to sales@domain.com will come from john.doe@domain.com. If you have a shared mailbox sales@domain.com then emails would be delivered to the sales@domain.com shared mailbox and NOT the john.doe@domain.com. If you respond to the email it will be responded from john.doe@domain.com. It can get confusing and it all depends on what you are trying to do. The licensing is per user/mailbox.

    Excellent video, thanks. I have an outlook account that is tied to exchange. I would like my outlook account to NOT use exchange, is it possible to detach and configure my account to pop/imap instead.

      So..... I need some more information. When you say you have an outlook account do you mean outlook.com or something else?

      @@chansfor Then no there is no way to remove a outlook.com it from Exchange. That is how it all works. It would be like asking if you can remove your heart from your body and stay alive. You can back up the data to a PST file but not have it function. What is the reason you want to do this? POP & IMAP are inferior to how Exchange works? To make it a bit simpler it would be like taking your car that gets you from point a to point b and replacing it with a horse and buggy. They both work and do the same thing but how they do it is different. What is reason you would want to remove your account from the exchange setup or from outlook.com.

      @@neadomtucker Thanks, I have other non-exchange email accounts managed on my outlook desktop client. I was hoping to have my new outlook.com email account simply behave like all the others, i.e. just give me my mail. I really don't want or need all the features of Exchange. Pretty sure one can have a non-exchange configuration of an outlook.com account because it asked me during the install of outlook 2016, I was careless and just made the wrong selection, and now I am tied to it.

      @@chansfor So the only thing to understand is you cannot change how the email account for outlook.com is running on the server. Exchange is exchange. You want to check email and that is different. IF you want to check your outlook.com account using POP/IMAP you will need to delete the account from the Outlook client and then follow this to enable POP/IMAP on your outlook.com account: support.microsoft.com/en-us/office/pop-imap-and-smtp-settings-for-outlook-com-d088b986-291d-42b8-9564-9c414e2aa040 I hope that helps.

    why does my phone calendar app shows different events then my Outlook calendar, any fix for that?

      @A P I would guess that on your phone you have a different default calendar than Outlook. If you have an iPhone then check what your default calendar is. If it is something different then set it to Outlook and now when you create a new appointment from your phone it will show up on Outlook.

    Hello. I have contacts have multiplied in my outlook and I can't delete them. Any advise how to do this please. One of contacts is in 400 times and pressing the delete button is not working. I just want to get rid of all contacts and start again. The email address is on Microsoft exchange

      Beno you would have to use a 3rd party app to do that. The only other thing is to use CTRL + clicking the duplicates then pressing delete. But I am sure you don't want to do that either.

    Hi Neadom, thank you for the explanation. May I kindly impose on a question? Do you know any way to save outlook email files pst onto the cloud, such as One Drive or otherwise. I was told not to do that because the date may well be lost or corrupted. It it correct? If so, could you recommend me any practical solution to overcome that? Email data is critical for my work.     Hi. Thank you for this clear explanation. May I ask... For now it's just me but need to start using 365 with Exchange. So if a third party sends me an email asking to join.. say a zoom meeting and I accept, will it automatically calendar it up for me? Like google does with Gmail? Thanks!

      Great question! If they send you an actual invite, then yes. It will show up on your calendar as a tentative appointment until they accept it. If they send you an email with the link to the meeting and a time and date then no. It all has to do with the TYPE of message sent. These functions are baked into most email application. The same thing would go if someone using GMAIL sent you a calendar invite. It would show up the same as a tentative appointment. You don't have to accept it but once you do the sender is then notified that you accepted or declined the invitation.

    Yeah... but I bought Microsoft Outlook personal edition which 'eludes' to Microsoft Exchange. Then you start reading the help topics around archiving, and all of a sudden I start seeing lots of ??????? floating around. The menu items for Auto Archiving don't help either with vague field titles.

      Archiving used to be much more complicated with using multiple PST files and 2GB limits on the files. It was and still is a headache. However, if you are using Office 365 and have retention setup then you get the really cool feature of In-Place (Cloud) Archiving. Super simple!

    I have Outlook Professional plus 2019 installed, by mistake I clicked within Outlook "Folder ---> Exchange---> View on server" and then it greyed out....
    How seriously will this affect privacy of my data in outlook?
    How do I disable this if I am not comfortable and want to go back - not using Exchange

      Not really @AT. It is greyed out either because it was set up via Auto Discovery. It is a featured part of how Outlook and Exchange work together. The communication between Exchange and Outlook is encrypted. OR it was greyed out because you are NOT using Exchange and you are using something like POP3 or IMAP. I hope that helps.

      Thanks Jim for the question. You can send an invite. The calendar reminder is on your side in Outlook or in your mobile phone if you have your calendar synced. The invites work across both Microsoft, Google and Apple devices. Also, if they send you one it will come to your calendar as well.

    does not explain what is exchange .eg it is a software, is it another computer , is it person controls of emails e tc,, etc.

      Exchange is a software program that runs on a server. I can get technical but that was not what I am trying to do. But for you it is a mail server application. It receives and sends emails from other mail servers. Outlook is a client that is used to view those emails on the email server.

      No with 365 you have to either bring your own domain or use the @nameyouchoose.onmicrosoft.com domain. If you buy the domain from Godaddy. O365 will setup your DNS records (How the internet finds you.) for you. Once that is done then you just start setting up the users.
