    Biggest takeaway: Folder is the high-level topic (James Bond, Food, England, etc.) and tags are for more atomic level things like, (Villans, Eggs, Liverpool). It's like the folder is noun, and the tags are like the descriptors of the noun. Sure, you could create a subfolder under England called Liverpool for a part of England, but maybe there's a point when a tag is better so you're not hiding Liverpool. What is your personal limit for when something may need an additional folder? I know Tiago Forte's rule-of-thumb is 4 levels wide by 4 levels deep. What are your thoughts?

      I don't really have any "rules" for levels except, I don't have any levels for notebooks. I do stack (group) notebooks together (Projects, Areas of Focus, Goals etc) And for tags, I stop using levels there a few years ago. It all became quite messy.

    Very interesting about the first British Police database developed and the process of creating their first search queries (or tags more or less). I have been perplexed in the past on how to create and utilize my tags. Now after watching your video I understand what I was doing wrong with using my tags. I'm going to give this another try with adding tags to my Recipes folder now that I understand how to create and use them. Thank you!

    Carl. You said this demonstration account was previously set up in Evernote. However I've been on the edge of my seat for about 3 months, to hear if you've settled on Apple Notes, or if you've come back to Evernote as your main driver (project management, day to day notes... not just as a filing cabinet). 😳 Thank you for all the years of fantastic content!

      Hahaha, the problem I have with Evernote is its mobile app. It doesn't work as well as I would like a notes app to work. My go to notes app is Apple Notes because of its integration with the whole Apple ecosystem.
      Evernote is still in my tool box, but as I mentioned, it's simply my digital filing cabinet for stuff I am likely to reference from my laptop (where Evernote works brilliantly)

      @@Carl_Pullein That's interesting because I have found the same problem. One key deficiency is that you cannot filter for nested (sub) tags on mobile (you can on web version). I am really finding the depth and power is just a bit too low. For example, you cannot filter stacks, and the workaround is clever nesting of tags, which has the (mobile) problem above.

    Carl, we are in the middle of choosing the future school for our daughter. It's a headache. I had to make it into a project and I tried all the note taking apps to, but none of them felt right. In the end I got frustrated and printed all the emails and put them in an old ring binder. It felt fantastic. Sometimes going back to the basics is the best solution.

      I'd agree with you there, Mike. Going from paper to digital has been a work in progress for me for over ten years. I think I'm finally there now.

    I don't really use my Evernote account for notes anymore, but seeing this has reminded me that I can use it as a place to save articles and such that I may want to reference in the future... especially for my degree studies!
    As for tagging itself, in Obsidian I'm a light tagger but in Raindrop, however... I can get very heavy with my tagging.

    I used to have about 14 stacks of notebooks, with on average 2-3 notebooks per stack. I abandoned this system and started using tags almost exclusively. Evernote tagging allows deeper nesting than notebooks. I have a taxonomy for my notes which is supported easily using nested tags. For instance, each tag relates to a category and/or is kept under a tag related to a broader topic. I use a handful of notebooks to organize my notes according to their type or source, e.g., emails, bookmarks clipped from the web, expense receipts, etc are all kept in separate notebooks.
    Here's a scenario using my method would belong to my email notebook, and be tagged with the merchant, name if it were a wine for which I've received an invoice by email. I could further tag that note with the type of wine, vintage, and region if I wished to do so. I keep wine-specific details in the note itself, but if I were really into organizing wine purchases beyond the basics I would use tags for those specific details.

      I know Michael Hyatt used to organise his notes in this way, and I have tried it. In the end, I prefer to use the search feature and have note very loosely organised now.

    Thanks Carl. I read somewhere and approach that suggests minimizing notebooks and using tags and nested tags as the primary organizational backbone. Any pros and cons you could share going one way or the other?

      I would agree. The less notebooks you have, the better. I see a notebook as a filing cabinet and tags as the dividers inside the filing cabinet.

    I wish if you did this on apple notes. Its actually also confusing which app is best to use. I started doing this for books that i read however each topic has its own page in notes therefore I dont believe that tags will help me there. Also in reminders tags wont help if i have different lists. Tagging may take some time. However i will try to use your methods for the notes i take for books im reading. If you have any ideas please let me know :)

      Hi Abdullah, the same principles apply with Apple Notes. Folders are the general category (Recipes) and the tags are the subcategories (breakfast, lunch, dinner).
      With your example for books, folder would be called books, the individual notes would be the book you are reading and you would then use tags for the topics from the books. For example, I would have a tag for quotes, productivity, health, time management, running, weight lifting etc.

    Create tags as much as you can and don't think about it. Tags are just keywords. Don't use it to organize notes, it makes no sense. It's all about quick access to your notes. Search engine do the job, tags guarantee more chance to find what you are looking for. Filters... if you have time go for it. If you use many tags in note you have to find it.

    Hey Carl, how have you been able to go entirely paperless? Do you use Evernote for taxes, bank statements, etc? How do you keep them secure, or do you use the 2 step verification?

      Evernote is used for filing important notes and information as well as my research materials. In that sense, yes, it is a digital filing cabinet.
      For my banking, expenses and tax documents, all kept inside iCloud in their relevant folders. All my banking documentation is online now anyway-I don’t receive paper statements-and receipts can be scanned in and saved in my receipts folder.
      I have a few documents (business registration certificate and other important paper documents) held in a drawer in my office.

    I started Evernote years ago. When I got near 1000 tags (or there about) it felt overwhelming and honestly seemed to completely defeat the purpose. I also realized many of my tags were actually in the title of the note, itself, which made it searchable by the title. It really became useless in the long run and required me to start the whole system over.... And I still haven't figured out what will work best 😳
