    Thank you for introducing me to the term "white space." I recently changed job roles, and this term also applies to my daily work schedule. I was wasting time trying to time-box everything but realized I didn't need to, and maintaining it seemed unrealistic.

    Hi Meg, Thanks heaps for the video. Your video persuaded me to give the omnifocus 14 day trial a go. One thing I don't understand from your video is how do you get things out of your inbox. Is the only way to assign them to a project?

      Hi Paul- I don't have to assign something in my inbox to a project if it is just a single action that I want to add to a tag. I then use the clean up brush when I am finished clarifying and organizing and then what was in my inbox is now on one of my tag lists. I went to "View". "Customize Toolbar " and added the brush to my toolbar. Hope that helps. Meg

    I completely resonate with the guitar story. I recently had some GTD coaching and it is amazing how many core, basic fundamentals I needed to re-visit and master before I can progress. I am now in the "practise and embed those basics" phase and then I'll be embarking on my next round of coaching.

    This is great. But it is an inaptly titled video in my opinion and therefore misleading. This is not about how to give your GTD system a makeover, it’s about the foundational course. Its marketing material.

    I am currently experiencing analysis paralysis trying to decide between paper and digital. I've always used paper and it worked until I got a promotion and I have so much work to deal with that I can't keep up with paper anymore. Digital would save me so much time but I doesn't come natural to me at all. What should I do??

      Hi Angie....first of all, congratulations on your promotion! I understand "analysis paralysis", which is what led me to my paper system :-). I certainly don't want to add to that, but I have to ask.....is going digital really going to save you time? You'll run the risk of incurring the cost of using something that doesn't feel natural to you. One of the things I appreciate about paper is that there is no barrier to entry - e.g. to add something to my @Calls list I simply open that page and add the call - no clicking to open the app, clicking "add to list", adding a tag, etc. I am remembering an analogy that David made about GTD and the aperture of a camera lens - our system has to expand and adjust to whatever is present, volume-wise, complexity-wise, etc. It sounds like you're being asked to learn to increase your volume capacity. Your promotion is the clear sign/evidence that you are ready for that! I can't tell you what to do, other than trust yourself and choose the tool that feels right, that's going to support you in staying in control as you adjust to your new role.     I'm curious if/when emails are sent from your email client to Omnifocus. If you need to respond to or work with a specific email, do you send it from your email client to omnifocus or do you just clarify/organize within your email client?

      Hi, Thank you for your question. I don't send emails to OF. Instead I have an "action" email folder and if the email is actionable I put the email in that folder to respond to later. When I am going to do work, I do now need to look in two places, OF and my action email folder but that works for me.

    Is this right: Set to clear inbox with a project OR a tag. And if tagged and not projected you just renamed Misc to ---. You just have one SAL for anything non-project based. I think where I've complicated things before is making too many SAL's. I'm returning to OF for the XXth time since v1. I'm vowing not to complicate it unnecessarily and love your simplicity! (And from the next video I think, maybe it was in here...the tickler in OF. Brilliant.) Other best thing...only tag when ready to do.

    I use OmniFocus just because the defer date, if your are not using it, there are better looking app like Todoist

    Thanks for this. Could you say more about the part at @6:50 about linking project cards to your Next Actions board? Are you creating a new card on the Next Actions board, then copy/pasting a link to the card that is already there on the projects board? If so, do you then title the new card with the next action on the project? And if that's what you're doing... do you feel like this is a lot of friction? It seems like a lot of clicking. I'm really curious because I've tried Trello in the past for GTD but always got stuck on getting "next actions" on projects to be visible on my "Next Actions" lists without tons of clicking, copying, pasting, etc. There are power-ups that can help with this but they usually come with a subscription fee 😢

      Hi @RobertTalbert, these are great questions, particularly in regards to if I feel friction with this setup. I don't, honestly. This setup works for me; it might not work for others and that feeling of friction is important to pay attention to. One more piece of my setup is that once I attach a NA card to a project card I have that option to "connect the cards". This is less clicks for me.

    quick question, why not use OF4 new version?? ( whit the new preserve hierarchy in forecast, that allow to use forecast tag+defer date for schedule all project and use due date as deadline?)

    Thanks for a great video. I’m a very visual learner, so found this very helpful. I’m using Trello and playing around with various layouts so seeing how you approached this gave me food for thought. I’ve just finished reading Threefold Thursday which talks about managing your next actions. It was also interesting for me to see the small number of actions on your next action list. Again a skill I need to continue to work on.

    Very informative video. I’m just getting started with GTD and I find that most of the functionality you demonstrated with Omnifocus can be replicated in Apple Notes with tags and the new linking capability. I just wish there was a more straightforward way of capturing email “stuff” in Notes

I currently have a Trello account and am trying many other apps as well and have been struggling (and spending way too much unproductive time) on how to set up a GTD system that works for me 🙃🤔. I was just about to cancel my Trello account but now that I’ve seen your video I’m going to try implementing some of your great ideas. I like how you’ve kept it streamlined. I was sad that I couldn’t seem to figure out how to make Trello work for me because I really like how visual and colorful Trello is. I think somehow it’s the colors and images that help keep me motivated! Thanks again! 🙏

    Question: How do you differentiate between your Someday/Maybe folder (projects) and the Someday tag? Do you tag all the items in the folder?

      Hi Claudia- For me I do separate my someday maybes by "ground" level someday maybes which are in the tag section and someday maybe's that are on the "project" level which I keep in the project section.

      @@TheZemackdaddy - Thank you for your question. At this time, I do not need to track any daily or weekly recurring tasks, either personally or professionally. I do need to track monthly tasks and that is in my tickler. Some of those actions are monthly recurring actions like start the generator but I find I want the flexibility of deciding given the weather what day would be best at the beginning of every month and then I schedule the time in my calendar. What I found in the past is I grew numb to recurring tasks as I was being reminded when I really didn't want to see it at that time. Once I did track some daily tasks and I just created it in the word doc and printed it out as I wanted it on paper vs. in OF. What I always do is ask myself, what is this and how would I best like to be reminded to do this action and be reminded in a way that I would snooze, ignore it or just go numb to it. But again this is the way I do it and you may have recurring tasks that would benefit from using defer dates in OF and their other great features.

      I see this a lot with my clients. I have to be so honest with myself with due dates and to keep them to hard external due dates vs. "I'd like to get it done by. " due dates. :).

    Thank you, Meg, this is very interesting. I've been doing GTD since 2007 and using Omnifocus since 2017. I saw the previous video, too, and I also appreciate the simplicity. I want to simplify my system and considered leaving OmniFocus but I like OmniFocus. Been influenced by Mike Williams's Doing to Done, which works quite well right now. I live in Nova Scotia. You need a "next time in Halifax" - you're so close 🙂

    Thank you again, Meg! Love this format. You mention Evernote for reference and Google Docs for work. I am curious how many links or "pointers" to those places you park in Omni, if any? (i.e. see Google Doc; or look in this folder, etc) I remember from GTD Connect webinars you and Kelly used to say "you don't need to be matchy-matchy" (meaning if we are in the habit of doing a consistent weekly review, we begin to make connections and have a clearer sense of where things are). However, it seems that these days, there are more and more places that things can be these days -- often in a web browser.

    Hi Meg. Once again, an amazing video. I've been using GTD and OF for over a decade and, as time passes, I naturally make it more complex. Rearranging everything in a simpler manner makes it so much easier to work. Your videos were my trigger to simplify it once more. The only part I still don't get it is how you effectively use OF as a reference tool. Thank you so much for sharing your knowledge and experience.

      That's great you are doing another round of making OF more simple. I continue to do this when I find I too have made OF more complex than I need it to be. :) For me OF is for my current reference and Evernote is more for archive reference I want to keep. I clean up my OF reference folders 2x a year, more or less, to make sure it is current. Frankly, I don't keep much reference in OF as for work we keep our reference in google docs, as others need access to this information.
