I have a question, What if I want to follow up every 90 days, pipedrive says 90 days is the max. Is that true?
Yes, Pipedrive has a max automation delay of 90-days. If it's "good enough," just select 88 or 89 days as the delay period. If you need delays that are longer, you can "hack" this by creating a couple of automations. For example: (1) Trigger -> 80 day delay -> Update Custom Detail Field to "Automation Trigger" (used only for automation purposes) (2) Custom Detail Field is updated to "Automation Trigger" -> 80 day delay -> send email

Hi Liz I followed your instructions but when i get to step 4 my version of Pipedrive Dec 6 2024 does not allow me the options to add anymore data beyond " 3 Deal". in other words I cannot format "Title, Pipeline Stage, etc." would you be willing to do a Zoom with Screen Share and help me out. Hi Bill - Thanks for the question! You're welcome to book a call here calendly.com/lizpeterson/pdsupport30 In case I can troubleshoot for you without a call, I think this is the fix: You need to select the fields you want to update in the action step. If you click on step four in your automation you'll likely see "Action - Update deal fields." At the bottom of the screen you'll see "Back." Click the back button and on this page under "DEFAULT FIELDS" select Title, Stage, etc. Then click the green Next button. Then you'll have the ability to update these fields in the Action panel.

Hi Liz, thanks for the tutorial. How would you automate email reminders one hour or fifteen minutes before the meeting? Do I need to do this through Zapier? What's the process to follow?
You're welcome! Yes, you'd need to do this via Zapier and it's not super straightforward (nor incredibly stable)... If you wanted to try, you'd need to store the Meeting Time in Pipedrive, then you'd want to design the Zapier automation as something like: 1) Deal Matches a Filter (Meeting Date is Today) 2) Calculate 1-hour before Meeting Time 3) Delay until ^^ 4) Send 1-hour before reminder 5) Calculate 15-min before Meeting Time and then delay until that time OR just delay another ~45 minutes 6) Send 15-min before reminder I'll caution you about trying to build this. Timezones, Day Light Savings time, etc. make building these sort of automations pretty precarious in Zapier. You're welcome to try, but most likely the automation will not be sending out reminders correctly 100% of the time. If you want this level or reminder, we typically recommend using a more robust booking platform like Calendly.
Is it possible to cc more than one person in the automation?
Hi Kris - Not sure if you meant to comment on another video as I don't talk about automation in this video.... but I'll do my best to answer your question. 1) If you're doing email automation, you can absolutely cc more than one recipient on the email. 2) Activities (as in this video) must be assigned to a single person, so that there isn't a shared responsibility for completing the task. However, users can see activities assigned to other users. In this video in the top righthand corner it says "Admin" - by clicking on that you can select to see activities assigned to "Everyone," assigned to another individual user, etc.

You can have Leads/Deals automatically created in Pipedrive using Pipedrive's Webform tool support.pipedrive.com/en/article/web-forms. If you'd like to connect other sources, you'll need to use a 3rd party integration tool like Zapier. Is the salesinbox the only way i can see if a person contacts me ? Meaning i cannot see anything alerting me other than the alert notification regarding email tracking. Email tracking isnt always working, so isnt there a way in the leads or deals a way to show that a person have taken contact. I find it bad that i have to look in inbox constantly
You could absolutely create a Workflow automation that, for example, creates an activity for you OR updates the Deal Label (for example to "New Email) when you receive an email. It would require that your Email Sync settings are set to "Automatically identify and link emails to leads, deals or project" and you'd want your trigger to be "Deal Updated" and Instant condition that the "Deal email count" "has changed." I've got a few other videos on Workflow automations, so feel free to check those out and see if you can get it built!
@@opsdesigned But are users normally just using the sales inbox 🤔 for me it then becomes jumping from sales inbox to deals or to leads and the back to sales inbox, but i will look into your suggestion 👍
@@MB-sl8pw most users either work out of the Sales Inbox as they would their regular gmail or outlook account or they just work out of gmail/outlook to respond to emails (because they don't need to reference lots of Deal specific information in order to reply to messages). If you do need to reference lots of Deal specific info in order to reply to email messages I can see why you're frustrated by the out-of-the-box experience. Hopefully an automation to alert you to the new email on the Deal will help!

Great tips! Is timeline view custom? I need to add that to my PD lost view. Also, is there a way to add Activity faster, from email for example. Often times activities are emails and I don’t use PD for email as it’s clunky and it would be a great way to easily send an Activity to PD from email client
@bjovicevic what do you mean by timeline view? You can add date fields (e.g. Lost Time, Deal created time) to any list view (Activities List view, Deal List view) by clicking the gear icon in the list view (min 2:36). I don't know of a way to add activities through an email extension, but there are lots of ways to add activities quickly using workflow automation! I've got some other TH-cam videos about that, so feel free to check them out!
Greetings Liz, thank you for your video. I'd like to set up a deal mid-point field - an automation that updates a custom date field "Deal Revenue Service Mid-Date", based on another custom date field "Deal Revenue Service Start Date". "Deal Revenue Service Mid-Date" = 6 months before "Deal Revenue Service Start Date". "Deal Revenue Service Start Date" a date: Month DD, YYYY. I have made the "Deal Revenue Service Mid-Date" custom field, but it is currently blank. I'd like help figuring out how to set this up using Zapier as Pipedrive is only able to figure out certain time-period ("in 3 months" is possible but "in 9 months" is not). I'd love some help, please
Hi Nicole - I think this should be fairly straightforward to do in Zapier. I'd recommend something like the following: 1) When a Pipedrive Deal Matches a Filter "Deal Revenue Since Start Date" is not empty 2) In a Formatter by Zapier step, Date / Time Action Event, Add/Subtract Time and enter: - Input: {{Deal Revenue Since Start Date}} - Expression: -6 Months - To Format: Select the Date output format you'd like 3) Update Pipedrive Deal and update the "Deal Revenue Service Mid-Date" detail field from the output of step 2. I have it populating the "Mid-Date" but it's making it 1 day after the "Deal Revenue Start Date" and not 6 months before 🤣 so I am going to need to keep tweaking the date formatting I think. Awesome! In the "To Format" part of the formatter step, click the three dots and select "Custom." Then, in the field type in MMMM DD, YYYY and that should get you the output formatted like: March 18, 2024
Thanks for the tip. A question though: I have set up a separate pipeline for follow up. If a prospect doesn’t convert within my normal timeframe, the deal is moved to the follow up pipeline which has follow up E-Mail automations in each stage 1-5). Do you think that makes sense?
It comes down to whether or not you care about conversion metrics in your main pipeline. If you do, by moving deals that don’t convert, you’re losing that data. There’s technically no need to move the deals to a different pipeline to do a follow up email series. Instead, you could trigger the emails based on a deal’s lost time and reason, keeping the deal exactly where it was when lost.

Close, but not quite. If you set the automation to "Trigger by selected users" then if ANY of the selected users trigger the automation, the defined action will take place.
This is gold. I'm trying several different ways to try and get my sales person's name on our invoices w/out having them need to log into Quick Books. However the invoice form has no where for anything custom. I decided to create myself as a product so I will get that info into QB however, another issue still remains that I have quantity and that needs to be 0 so still a human has to edit the invoice. Any thoughts are welcome. I might just end up booking because we are launching soon and Im sure all he** is going to break loose. No one is testing w/me & I've asked for folks to break it so I can see what's happening but I don't have any takers.

Super helpful! I'm curious, as I'm getting Pipedrive set up and have been using PandaDoc for 2 years, is there a reason why you still use PandaDoc instead of the Smart Docs in Pipedrive? I'm also looking to cut expenses and wondering if I should ditch PandaDoc and use the Pipedrive SmartDocs instead for proposals, contracts, and e-signatures.
Awesome! There are a lot more customizations you can do in PandaDoc compared to Smart Docs - for example auto-reminders, setting a document expiration, etc. That being said, Smart Docs is a fully functional esigning tool, so if it has enough of the features you need, go for it!

is 100 the max amount PD lets us send bulk email? i was thinking we could email entire list or 1000?
Yes, the max for bulk email is 100. If you're emailing thousands of contacts at a time, an email marketing tool might be better suited for the task. If you are emailing just a few hundred or so, I recommend creating sub-filters so that you can email them all through a few bulk email actions and keep track of who you've already emailed. The first time around this could be as easy as adding "email messages count" is less than 1. Hi Liz, thanks for the video I have looked into this feature but it seems that someone who books a meeting does not get the invite to sccept from pipedrive, but an email with an .ics calendar file as attachment. That makes it useless to me as the invite does not pop up in clients agenda automatically but he needs to open that ics attachment etc. With people's mailboxes overflowing they don't do this and miss the meeting. I complained at pipedrive about this and suggested to change the mail to a real meeting invite, but nothing happened so far. Is there any way to get this right or do you agree we are stuck with that .ics file that pretty much makes the whole meeting planner feature useless?
They shouldn't have to open the attachment to add the event to their calendar. The first time they're scheduling through Pipedrive, they may need to open the email and click "yes" that they're attending, but from then on out their email provider should recognize scheduler@pipedrive.com and auto-add the event to their calendar.
Ok thank you. And do you know whether it is possible when someone books a meeting and enters his name and organization, to create new person and organization with these inputs? I thought that would be standard but those fields are not connected and it seems pipedrive cannot use scheduler entries to fill in fields in pipedrive. Thanks
I cannot find in automations to fill a person name field in a contact with the person name filled in in the scheduler booking page.
@@cmore2941 A person should automatically be created w/ the booking details. If that's not happening, I'd check with Pipedrive support. You could create an automation -- when an Activity is created use the details of the meeting to find or create a Person. -- but you shouldn't need to do this.

Hi Liz, this might be a bit off topic but is there a plus on using leads vs just using contacts? ie you use contacts to qualify your prospects and once it is a SQL (in my case it shows interest) it converts to a deal? Otherwise creating a lead feels duplicating work
The benefit of using the Leads inbox to qualify prospects vs. Contacts is that (1) you can archive Leads, so it can be easier to keep track of who's been disqualified vs. qualified vs. still-needs-to-be-qualified. (2) Leads also have the same detail fields as Deals, so if, for example, through the qualification process you're able to fill out some custom Lead/Deal detail fields, this is possible if the Contract is tied to a Lead and not-possible if the qualification is happening only on the Contact.

Do you mean how to automatically update a Lead with a lost reason? To do this you'd just select your Trigger and then select an Action and in the Action step choose to to "Update lead fields"
@@opsdesigned Not exactly, I've created an automation with a condition that if the company has less than 10 customers, an email is sent and the Lead is Lost. I manage to "Update lead fields" and select "Lost Reason" however I am not able to finish and to put the lost reason I want.
@@EtiennePortier I don't think I'm fully understanding what you've got built. Leads can't technically be lost (only archived), so if you're updating a Lead "Lost Reason" my assumption is that's a custom field. If it's a single-option field, you should be able to select the option you want in your "Action - Update lead fields" workflow automation step. This is probably one of the more clear explanations I've heard out of anyone. So what would you recommend for me. My partners and I do cold call prospecting. We get lists of thousands of Mobile Home Parks that we pull from a publication and use a skip tracer to get the name and phone number of the park owners. That list is then imported into Pipedrive. We then contact the owners (not all numbers are correct obviously) to see if they are interested in selling their parks. Some are, some are not. Some are happy to hear from us. Some are not. Some parks meet our buy box. Some do not. What would be the best method to use the system for us? Should we keep everything in leads inbox, make park owners from leads inbox and move to Deals once someone is possibly interested in selling? Move to Deals once a contact is made? Or just ignore leads and throw everything in Deals inbox and move across pipeline when a contact is made? Do you have a recommended approach? We're also on the advanced plan so Deals inbox has limits as well where leads inbox does not. Thanks.
Glad to hear it! I always vote to keep things simple, when simple works. With the details you provided, I'd recommend using the first stage in your Deals Pipeline (e.g. New Deal). This keeps everything in one place and means you only have to teach your partners one process. At minimum, I'd recommend the following lost reasons - e.g. Wrong Number, Not Interested, Not Qualified. Once you've reached someone, if they're qualified, you'll have your partners move them into the next stage - e.g. Qualified. If someone is not qualified, not interested or not reachable, the deal will be marked as lost w/ the appropriate lost reason. Your limit is on Open deals, so as long as you don't have more than 10,000 sitting in the backlog, you'll be fine. Just import lists over time as your partners are able to work through them and mark them as lost if not qualified, not interested, or the do not have the right number.

Great question! You likely don't have access due to your user settings. Reach out to an admin user on your Pipedrive account and asking them to give you access under the Global features.

Hi Paul - check out the video at 1:20. The email will auto-link to the contact/person if the to: email matches the contact email, but you can also manually link/unlink the email to people using the top right section “People in the conversation”
I'm unable to create a custom Type (required) such as Cool Outreach. Is this a service level issue? I am still in a free trial but believe Professional would suffice for me currently.
A custom activity type? Creating custom activity types can be created under your account settings. In the automations you should be able to choose from the list of options that exist from your account settings. It shouldn't be an issue of your license level.

You won’t be able to have custom attachments to automated emails using pipedrive’s workflow automation, but you can using zapier. Checkout my videos on PandaDoc for some examples.

You can add an attachment to an email template in Pipedrive. Otherwise to add dynamic attachments you’ll want to use an automation tool like Zapier or Make.

Curious to see if you think a similar connection could be made between JotForm Sign <> Pipedrive as the scenario/example you present here re: Pandadoc <> Pipedrive. So glad to hear that, @janetmobley9473! Jotforms don't have all of the same triggers and actions available as PandaDoc - for example there's no Jotform Viewed trigger. However, there is a "New Signed Document" trigger for Jotform, so you could build an automation based on that trigger. For more details on what I mean, check out zapier.com/apps/jotform/integrations and scroll down to the "Jotform integration details" section. If you want, you can then compare it to zapier.com/apps/pandadoc/integrations.
This was very helpful. Sadly after hours and days of trying to figure out why my automated activity was not working, I discovered that Pipedrive will NOT allow this to work when leads created are uploaded from a spreadsheet. I'm finding Pipedrive to be a waste of time and money for our company. Very sad as I liked most of the functions.
We are currently dealing with a single contact person where multiple deals are discussed, leaving one of the deals in Pipedrive having "no activity" set as it is discussed already on a single activity. Is there any way I can link multiple deals on a single activity ?
You can't link multiple deals to a single activity. Depending on how important this is, you could use Pipedrive Projects for this use case as you can link multiple deals to a single Project and then have activities tied to the projects.

@@AmeerahSantiago marking one deal as won will not affect any other deals linked to the Project. In this scenario you'd likely link the activities to the Project rather than any individual deal and from the Project you can access any Deal to update the stage, status, etc.

How did you add custom fields to automations? Im getting stuck with the "priority" field. I added it as a custom fields, but it doesnt seem like custom fields are allowed in automations :)
@guyc793 you should be able to update custom fields in your workflow automations. From your Action Step, select the "back" button (see minute 3). From there you should see a list of all of the default and custom field options. Select the ones you want to update in your action step, click "Next," and then you should be set.

@@sheldonswanepoel3938 are you trying to add the priority using Pipedrive workflow automation? If so, in the Activity Action step, be sure to select "Priority" which is under the CUSTOM FIELDS section.
Hey Liz, What if I have an existing deal created in a different stage and need it updated once the client books a discovery call? I have leads being generated into Pipedrive from a cold email ESP. I am hoping that once the client books a discovery call that zapier can find the matching info and move the client from it's current stage into the "discovery call stage" Does that make sense? Thanks!
Definitely makes sense! What you need is a unique identifier within the deal and then instead of using a Create Deal step, you'll use a Find Deal step and search by that lookup term. Email is typically best. So, create a custom Deal field to capture the person's email and then do a Find Deal step searching by the email used to book the discover call.

Great question! By building these individually, the following activity won't be created until the previous activity is marked as done. For example, let's say you have 5 activities that are all created 1-day after the previous is marked as done. Activity 1 is completed on Monday. Activity 2 is created on Tuesday, but the sales rep is out sick Tuesday, Wednesday, Thursday. On Thursday, instead of coming back to Activity 2, Activity 3, and Activity 4, the sales rep will only come back to Activity 2, overdue from Tuesday. Then, when they complete that activity on Thursday, Activity 3 gets created on Friday.
