Using Drafts and Shortcuts to Get Tasks Into OmniFocus
This is great! How did you avoid pulling in calendar events that weren’t meetings?
Thanks! Mainly, I am lucky that for my job, most things on my calendar are meetings, but I do have a few recurring saved blocks of time that I don't need notes for. Since making this video, I have just filtered those saved time blocks out of the initial search by saying, "Title is not ____," but looking at it now, I could streamline this logic by using the filter "Number of attendees is greater than 1."
Good content, intro too long
I came for the Peak Design (small) Tech Pouch review, I stayed for the BongoTies 😂 Seriously though, this video is a gem. The production quality is top-notch: chapters, subtitles (which are *so* rare even on bigger channels), B-roll using a coin for scale, and so on; love those thoughtful details. I actually found this video through your review on the Peak Design website, btw. Not only did I hit the like button, but I’m also subscribing (even though I’m not an Apple user or a productivity optimizer myself) because this channel deserves way more eyeballs. btw, I never leave comments on videos, but this one was so good for a sub-1K-subscriber channel it felt wrong not to make an exception. Keep up the amazing work, Mike! ✨🤖
Thanks @getur0 for the kind words; you made my day!
You’ve just made my life 🎉 Why hadn't I thought to use Chat GPT when trying to figure out my keyboard, Maestro macros (duh!)? You should post a blog on the prompts you used. Or maybe you have. I'm just about to go check out your blog. I'm so glad I stumbled across this ❤️
Cool
Thank you so much bro, was deeply confused about how to customize it after the widget was there
Mike, thank you very much for this content. I'm working on getting my productivity in place. I love the simple ideas. The only direct piece of feedback I have is that your background music loop is repeating again and again and again and again. I like to listen on one and a half speed, and the music is distractingly annoying. I don't have a good solution for you other than you know perhaps a loop that doesn't repeat quite so quickly or you know maybe pull it back in the mix a little bit. As it stands I'm going to work with transcripts. I hate complaining about something that's free and useful, but when you remove the music from the mix at around 16:42, it just was so much more pleasant. You have a nice voice and you have what seems to be a reasonable setup for recording. I know that background music can be an important thing to do but I do think that you might want to approach it differently. :)
Mike do you have a keyboard maestro set up to do the following. Set Keynote as the active program and then advance slide. Also make eCamm the active program and the run a hotkey to change to a certain scene? I haven’t seen in maestro how to make a program active.
I don't see window management as an option, just downloaded the trial to give it a go. Any thoughts here?
Watched this after reading your article on the Things 3 Parser. Good stuff. I appreciate it.
that was great!
This was enormously helpful. Thank you.
You're very welcome!
Hi Mike, enjoy your content, im trying to use keyboard maestro to batch straighten pictures in pixelmator pro but cant get simulate key strokes to work, manualy they work, but not in KBM. Any ideas ?
I don't have pixelmatr pro to test with, but I often find adding a "pause" even a fraction of a second, can help make things work more reliably. If that doesn't work, the Show Menu Item might be helpful too wiki.keyboardmaestro.com/action/Select_or_Show_a_Menu_Item
Thanks Mike, another well done video! Keep it up!
Thanks so much Martin!
Exactly what I was looking for tysm:)
Thank you so much for this video and the links. I am super new to OmniFocus and Macros and now I feel like I am a bit ahead of the game.
how can i make it open instanly whenever am studying for example?
You would have to use a Personal Automation to make this happen instantly/automatically. Perhaps if you had a Focus mode for Studying, you could make this shortcut run when you switch to the Studying Focus mode. If you always study in the same place, you could put an NFC sticker there and have that NFC sticker trigger the shortcut.
Mike can you send me this for things 3?
Good idea 👍🏻 Would be great if you zoom in on the content when recording , like for me watching it on a phone 😎 Otherwise good video editing and nice short intro 👍🏻 Thanks for sharing 👍🏼
Just downloaded the trial version and got some ideas from you 👍🏻 Not a TH-camr myself, so you are one step ahead of me 😉 What I think would be good though is to jump straight into the content so people stay on the video, then do self promoting later. Subscribed to get you going. Good luck!
Mike can you please add the Thanksgiving template and keyboard Maestro below? Thanks
Love this idea but could you do this with Things 3 instead of omnifocus?
He recently updated it for Things 3. Thank you, Mike!
Thank you
Would I be able to do this for Things 3?
Absolutely! There is a slightly different format and a specific Drafts action for getting the content into Things. I explain and provide links to the resources you would need here www.themikeburke.com/air-travel-checklist/
Mike- Do you know of a way I can have tasks available depending on the weather ?
Interesting question! I don't have a tested answer, but this sounds like a great use of tags and custom perspectives in OmniFocus. If you tag tasks with your relevant weather conditions, then you could create a matching perspective. A "Rainy Weekend" perspective, for example.
Fantastic, thank you 😊 this is going to be very useful. The possibilities are endless.
Glad it was helpful!
Ok, how do you get drafts to be an option to select for the Lock Screen modules? Mine only shows seven app options
Sorry for not covering that in the video; that is a bug with iOS 16 affecting many third-party apps. I know this support article is for Things, but their article is not riddled with ads and the troubleshooting tips are the same for any app: culturedcode.com/things/support/articles/3743978/
Thanks Mike, will give this a try with Things. Did you make new versions of your email Keyboard Meastro processing automation for Things?
Great question Kevin! I need to but haven't yet. Things has a nice Helper tool that does most of the work for me, so I haven't felt pressure to update the macro. Here is a link to the Things Helper culturedcode.com/things/mac/help/things-sandboxing-helper-things3/
Hey your screen is much larger so when you screen record, everything looks small. I would recommend either use zoom effect or better, zoom entire screen so it would look as if you're recording on 13 inch MacBook.
Oh my goodness, this appeared at the best time!
So glad you found it helpful!
Thank you! Your use of current and adjusted dates solved the problem I was having trying to create my own Pomodoro automation (triggered by an NFC tag on my computer!), but you really stole my productivity systems-loving heart when you added the “frogs” vs “quick wins” script. 😍
I am so glad this video helped you! Thanks for your kind words, I wish you the best of luck with your NFC (awesome application) triggered Pomodoro timer.
Great info but I stopped watching half way because of all the self promoting. It's really off putting.
I am always trying to get better, and I appreciate you taking the time to leave some feedback. I certainly remember the self-promotion at the beginning of the video (which, in hindsight, may have been better at the end). I'll rewatch the rest of the video with your critique in mind. Thanks again!
Mike, I’m going to give you a two for one share of appreciation for this. I’m goi g to check out your others, may try to link up to connect. The 2 for 1 is I have adhd, and personally with lo hyperfocus if it’s semi unique, NOT self promoting as far as I heard but I am checking out the podcast
Hi Mike. Thank you very much for your video, it has helped me too much. I find myself dabbling in automation and your videos have given me great ideas to clear the way.
Thanks for your kind words and feedback Juan! Best of luck as you figure out what automations work for you; I am so glad my content has helped!
Great ideas. Sadly, the link to the web site doesn't work.
Sorry @rocadamus, coincidently, I just had an outage on my site. It is back up and running now. Sorry about that!
@@MikeBurkeTech Great thanks

Ты храбрее меня! Я перейду на Monterey и iOS 15, когда Shortcuts станет более стабильным.
Thank’s Mike 🙏👍😊
You are welcome Michael!
Thanks for this video. This is a great idea. I’m doing something similar with Siri Shortcuts using Craft, Things, & Carrot for a daily journal.
Thanks for the feedback, I am glad you found it helpful! I hear great things about Craft, seems like an awesome tool for a daily journal.
I realise this is over 18 months old! But thanks! I have not used Hazel for ages and it reminded me what to do ! Thanks!
Thanks for your kind words, and I am glad to hear it helped you!
very nice video thank you
Thanks for the kind words!
I do something very similar - ";mon " (with a space) expands to the date of the Monday after today e.g. "Monday 29-3-2021". Then ";nmon " expands to the next Monday after that, and ";lmon " expands to the date of last Monday. And of course I have the same set up for the other days of the week (so 21 shortcuts total, plus ";tod " for today). That covers me for a week in the past and two weeks in the future, which is pretty much eveything I need for emails etc. I also have ";dd " to expand to today's date in DD-MM-YYYY format e.g. "26-03-2021" and ";dr " to expand to the reverse order e.g. "2021-03-26" (handy for filenames on things like photos or receipts that you'll want to sort by date). And ";dt " and ";dtr " for date/time stamps, like yours :-). I definitely prefer YYYY-MM-DD HH:MM format like you, but sometimes other humans handle DD-MM-YYYY better :-). Since I receive a lot of files from other people via email and save them in project folders, I have a Keyboard Maestro shortcut ⌃⌥⌘-D for the Finder that renames all selected files, prepending their name with the YYYY-MM-DD date. That helps separate the various versions of the same file when they send a revised version later. Anyway, thanks for the videos, and keep up the great work!
Hello Darren, thanks for your kind words! Until the rest of the world realizes that YYYY-MM-DD is the only way to record dates, we will have to juggle both in our heads. Another great reason to automate the creation of both dates. I very much like your prepend all selected files shortcut and will have to steal that; thanks for sharing!
Mike, I’ve just become subscriber 33. This is one of the few shortcuts sites that talk to the more advanced user, and the content is relevant to my current work. I wish you much success with your channel.
Hi Rod, thank you for being 33 and even more so for your kind words! I am glad the content is useful to you!
Thank you super useful. What other macros do you ordinarily use?
Hello Mattia, I am so glad you found this helpful! Sorry for the delay, working on this TH-cam thing :) I have tons of macros, most are simple little things to save me a click or two and a few are monsters that move the world around for me lol. I have a few posts on my site where I go in depth on how I use Keyboard Maestro: www.themikeburke.com/tag/keyboard-maestro/ But as an example of a very 2020 macro: I have KM mark my 1st grader present for virtual schooling every day. Our school district has a website which students have to log into and click that they are here. So I have KM (running on my Mac mini) log in and click the "I am here" button. It takes a screenshot and uploads it to a Google Drive folder that I can check to make sure it worked.
@@MikeBurkeTech hello Mike, I’ve been using some nice ones that save me tons of time, especially for automation stuff. However i feel like i’m just scraping the surface. will definitely check ur work
Hey, Mike Burke. it's a exceptionally intriguing video. thanks. :)
Glad you found it interesting!
Nice video. I appreciate your effort and got some good information. Maybe turn the background music down next time? Thanks
Thanks for the feedback Kevin, I will certainly take your music feedback into consideration on the next video!
Great video. Thanks for posting. Do you have the shortcut shared for a download?
Thanks Murat! Here is the link to the shortcut: www.icloud.com/shortcuts/bd1aa3209ab142028cf0ad9a6ee4da6b
@@tessloggins8485 Happy to help! Are you asking about the actions that I slid over from the right side of the screen at around the 7:45 mark? If so, those are custom actions. You need to be a Draft pro subscriber to create them, and here is a link to the excellent documentation from Drafts about how to make a custom action: docs.getdrafts.com/actions/
