Hi quick question , is it possible to assign the banking transactions (expenses) to a specific zoho project ?
Yes. When you are manually categorizing the transaction, you have to pick a customer first using the drop-down below the Description field. Once you do that, a new drop-down box will appear for you to pick a project.

Merry Christmas Stephanie and Kris ! Found your channel early this morning and have been watching a bunch of your videos. I'm starting my Electrical Contracting Business on Jan. 3rd 2025 and have been getting ready with everything since last November. I chose ZoHo Books and have been looking everywhere to figure it out better. Did not want to use QB or any of the others I looked at. Your site is way better than the ones I have seen after over 3 weeks of searches for ZoHo. Your channel popped up first thing this morning and was right in time for me ! Thanks so much ! Sill watching more videos and learning a lot so far. Might get a couple of Employee's in a month or two, so will be searching the ZoHo Payroll and try to figure that out after all of this ! Did Zoho Books go out of business? They aren't responding to customer service phone calls or the message app on their website?
As far as we know, they are still in business. They are located in India, so depending on where you are located, sometimes you have to give them some extra time to respond.

Hello. In this video you show how to create sub- accounts. What is implied is that the parent account is a rollup account for the transactions in the sub-account but that does not appear to be the case which makes this type of categorization useless because the parent account can have its own transactions. So, for example, under your heading of "Travel Expense" you have added Airfare and Lodging. The obvious expectation would be that adding together the transactions that appear under Airfare and Lodging would show a total under the parent "Travel Expense" but that does not appear to be what is happening based on your example. If this were a true parent/child relationship then the parent should not contain transactions. I understand in the reports that there is a 'total' of all transactions under a main category (e.g., parent and child sub-accounts) but, again, the fact that the parent shows up with a different amount then the total of its sub-categories makes this less usable. Is there a way to fix this? Thank you.
You are correct that you can still categorize transactions to the parent account. If you want it to show as a true roll up, I would recommend not categorizing any transactions to the parent account so that account is empty. When you view the report, there should be a little minus sign to collapse all of the child accounts and only show the parent account. When you do this, the parent account will show the sum of all of the child accounts. I hope that makes sense!

I would have liked to see the + sign (expand) in P&L to see the breakdown of expenses in the sub-accounts but it is VERY confusing when you see the parent reporting a number that doesn't add up correctly (total of all sub-accounts). The option you have proposed to not add transactions to the parent is viable (although mistakes can be made when multiple people are entering transactions). Either way, your video was excellent and your comment response much appreciated. Thank you!

How can you add unpaid expenses?
The most frustrating of Zoho Rules is that is does not save the description - so the only time saved is filling in all the account details and I still have to manually fill in the description.......
The description should pull in directly from the bank feed transaction. Is that not happening for you?

@@youcantseeme4266 it'd be a liability (assuming you mean money you received from the bank and/or lender). debit cash and credit the liability, but paying it off will be a bit more complicated on the journal entry side because there is interest involved. I'd suggest looking up how to record journal entries related to loans.

You'll either have to have the card or bank account connected through the bank feed, or you can add a credit card or bank account account in the chart of accounts.
when the system has a rule for a transaction and there are 10 of these transactions is there a way of multi-selecting them rather than having to confirm them individually?
To categorize multiple transactions that are recognized by a rule, first you want to make sure you open the Recognized Transactions list (use the drop down arrow to the right of Uncategorized Transactions and then select Recognized). When you are on this screen, you can check one or more boxes to the left of each recognized transaction and you will see a Categorize Now button appear above the Date column. Click this button and it will categorize all of the selected transactions at the same time.

If you are referring to something like an invoice payment, I would log a payment to the open invoice. Then, you should be able to match the transaction to that invoice payment. If it is a vendor payment, you can do something similar by entering a bill and bill payment into the system and then you can match the transaction to the bill payment.

Case #1 It would resemble more of a loan extended to a client (account receivable for a client - representing money disbursed from a bank account). case#2, it could be seen as a loan from a client (account payable - signifying money received into a bank account).

How do you set aside some retained earnings outside of the business checking account? I’m assuming you could categorize it but I would want it categorized as a distribution since I’d just want to move it to like a savings account.
I would recommend opening up a savings account. Then you can transfer money into that account. The retained earnings that shows up on your balance sheet will be there regardless of what bank account the money sits in. That said, if you move the money into a non-business saving account, that should likely be categorized as a draw from the business.

If you really wanted to separate what is deductible and what is not, you could create a separate account in your chart of accounts for the deducible portion and then split the transaction between the two accounts based on your percentage.
@@newlightfs thank you I will try this. What I would like to achieve is something more automatic. Let's say I have a FUEL expense of 100$ i know that for this type of expense (FUEL) I can ALWAYS only deduct 80% so basically cut off 20% from the total. In this case I would like that the total amount of that expense will be only 80,$ and not the full amount. Can I achieve this somehow?
@@carlociccarelli Unfortunately, I don't think Zoho Books has an option for that. You can set up a rule in the system to automatically categorize it, but (as of today) there isn't a way to split that transaction up. If this is really a deal breaker for you, there is a way to accomplish that in QuickBooks Online where you can set rules with automatic splits based on set percentages.

Hi Myra! Are you using the free version of Zoho Books? Unfortunately, if you are on the free version, you won't be able to connect your bank accounts.

i don't see the button for adding a bank account in Zoho Books. Only the ability to add manually. Is there a bug on the website?
Are you using the free version? If so, unfortunately, the free version of Zoho Books does not include the ability to connect your bank via the bank feed. You will need to upgrade to one of the paid versions, or upload your statements manually.
Bummer. I was worried you were going to say that. I think I've ran into a few areas where the paid version might add functionality that appears to be missing.
