Pre-Planning Your Planner Setup & Process Flow
In this video, we take a look at pre-planning my B6 slim planner system and the flow of my planner. I walk you through how I plan to use my yearly, quarterly, monthly, weekly, and daily sections. Then, I walk you through my process flow of how an event, task, or item goes from my "inbox" and works its way through my planner so that it actually gets done. Thanks for watching!

Kicking off my new channel with a introduction! In this video, I give you details on who I am, what Function of Planning is all about, and what you can expect for this channel in the future. Thanks for watching!
Where did you get your B6 cover? What is the color? Love it.
* * * * * * * * *Can you make a video showing how you make your cool thumbnails and titles? * *Hello from Tennessee
Thanks this was very helpful
I'm so glad!
So helpful! May I ask what the folio’s you showed? I’m loving that mint green one! I’ll be using the horizontal SI b6slim, so it was great to see your templates for that size.
I'm so glad it was helpful! The details on the planner cover can be found linked in the video description. Look under "planner accessories" for a direct link to the creator's etsy shop :)
Amazing video Kate! You're so real about the quarterly becoming the post-it note dumping ground 😂 I'm very guilty of this
@midnightcoffee0000 thanks so much!! What can I say? I think sharing realistic planner and post it note situations is important 🤣🤣
Loving your content
@@HolisticRitualCo thanks for being here!! ❤️
Great idea for the goal breakdown pages.
Thanks Shelby!
Very useful, thank you!
I'm so glad it was helpful!
Where is the pebbled cover from at the beggining, the coloured icons at 8 mins ish and what are the colour code of the page flags at 14 ish please. Sorry but that is essential for my shoppers' sanity 😂. Enjoyed listening to your planning strategy!
Haha! I appreciate the time stamps so I could look back! All of this is linked in my bio under "Kate's favorites". I've also linked it in the video description. I don't have the color codes for the page flags as I bought a mega pack. :) The colored icons are actually two stickers - icons I made/printed at home or snagged from the planner spot over transparent dots from cloth and paper. I've linked both in the Kate's favorites page with a coupon code.
What type of printer do you have? The images look really clear on the little books you printed out.
I have two - this was printed on my laser printer. The make and model are listed in my bio under the "Kate's favorites" link. If I try to tell you from memory, I'll mess it up LOL!
so helpful🙂 thank you🙂
You're welcome Gloria! Thanks for being here!
That makes so much sense to me. I’ve been struggling with how to be more efficient. Love your ideas. I’ll check out your other videos! Thanks!
I'm glad it helped Mary! Thanks for being here. I hope you enjoy the other videos!
Thanks Kate! Im really enjoying your videos, so great to see a focus on the process of planning and real life use ❤ I have a similar flow as you use I think, but my system falls down if I'm not near sticky notes for tentative plans! I try and just remember until I i get back to my desk/home, but that doesn't always work! Any tips??
You're welcome Amber! Thanks so much for being here and taking the time to leave me a comment. My advice? Always have sticky notes on hand. I keep them strategically placed in my planner at all times. :) I just take a few from the stack and stick them to a divider.
I was using an Aura Estelle undated vertical for a bit this year and the shadowing was driving me crazy! When I complained to my son about it, he said I should just write on the one side of the page only and move on 😅 that way I get to enjoy the paper and I’m not missing out on anything because it was undated to begin with. It’s hilarious but was such great out-of-the box thinking… and it solved my problem immediately!
@@AmberAboshihata oh this is hysterical! Gotta love kids and their unique point of view!
Thanks for sharing! My planning process is very similar to yours with tasks and events growing from the monthly view down to the weekly and then the daily. I love how you are using that quarterly page as a monthly inbox for holding upcoming tasks, and I think it’s such a great idea that I’ll have to include for my next planner.
@@AmberAboshihata thanks so much for watching and sharing your thoughts!
SO helpful! Thank you! Your planner hopping journey was so clearly organized; I really appreciate it. Looking forward to watching you plan in 2025. (P.S. I feel much better about my own planner hopping chaos after watching this.)
I'm so glad it helped! Thanks for being here!
Great minds think alike...I have been doing pretty much the identical thing in my planners since the beginning of 2022. I am not stressed about my planning now and my planner pages are always uniform and neat. New Sub here 🥰
Thanks for being a sub! It's so freeing to be able to play without the stress!
I use a B6 size and have been playing with some new layouts for 2025. Yours are really helpful. Thanks for sharing.
I'm so glad it helped Cheryl! Thanks so much for being here!
Love to see how you can implement your planning system to any planner. I'm new to your channel, I've yet to binge the rest of your videos so apologies if you've answered this before - which planner best accommodates your planning system? :)
Thank you for being here! I do dive into this a bit in my 2024 planner hop video - but I recognize it's a long video :) I really like to focus on the process flow of a planning system vs which one works best for me. I can technically make anything work, but I prefer a vertical weekly layout or something where I can time block. I feel lost without an hourly schedule to refer to - that can be daily or a weekly vertical (with hours). I was most successful in staying with my personal rings in 2024. I hope this helps!
@functionofplanning I am sorry I wrote the comment before I watched the rest of your videos. Your last video was the first one I came across, and I didn't realise your channel was brand new wth the video I would have had my question answered with right before the one I watched. Thank you for taking the time to respond to me. New subscriber :)
@unchartedwaterss no need to apologize! I'm always happy to answer questions. I appreciate your comments and engagement! Thanks for being a subscriber! ❤️
Looking forward to the shit show.
YT algo sent me here and I realize this is a baby channel. I am trying to figure out why you use multiple planners...it seems like you are copying schedules from a monthly, then to a weekly vertical and then a weekly horizontal calendar. Why do you use so many planners instead of keeping a master planner? I would think a digital planner would give you views, in mm multiple perspective. I certainly understand the benefits and love of tactile responses for writing versus typing into a tablet or a cell phone. I find I prefer handwriting when I am doing creative writing or Journaling but my family often needs to know my general schedule as well as me needing to know the schedule and only digital scheduling has given that information flow. You also mention having a different planner that you call a "function Nak planner." What is that and how is it different? Which calendar do you c carry with you everyday for scheduling appointments and seeing your availability? Nice video and I look forward to learning more tips.
Thank you for being here! I can see your confusion. I'll do my best to clarify. I use three planners: one for personal planning (personal rings), one for work planning (half letter disc), and one for content planning (B6). Due to the nature of my work, I cannot share work related plans publicly and my content planner is top secret so that I don't accidently spoil the fun. :) I also don't want to be stressing about work related tasks when I'm not at work. It's helpful for me to be able to close the planner and keep it out of mind until I'm back at work. The intent behind this video was to show how to make templates for any planner layout that you might be using, so I thought that I would share different formats. I had quite a few planners from my "planner hopping" in 2024 - so I thought that I would show some examples. I'm sorry if this was confusing! In my next release, I'll be walking through my planner process flow for B6 slim (what I plan to use for personal planning in 2025 instead of the personal rings). My personal rings planner is currently my master planner and my everyday carry for appointments and scheduling. The other planner you mentioned, "function Nak planner." - I think that the captions might have caught me mumbling. LOL! I was referring to my planner for "Function of Planning" - this is my content planner for social media. I'm repurposing a 2024 B6 planer as a notebook for content planning so that it doesn't go to waste. I find I need multiple pages to jot down ideas and where each piece of content is in the creation process (filmed, edited, etc.). I do not enjoy digital planning - I like the tactile experience of using paper and the motion of writing things down helps better engage with my planning so that I actually remember what's happening and what I need to do. I think this is from years of re-writing my notes in college as a study technique. I do have a digital calendar for what my family needs visibility on - and everyone has a color code and updates events there. I check it weekly as part of my planning routine to make sure that I don't need to adjust anything due to changes. We have a weekly planner review to make sure we're all on the same page with our schedules. Please let me know if this clears things up or if you still have questions! Thanks again for being here and taking the time to engage with the video!
Such a great idea to try out a planner without writing in it 💕💕
Thanks Nora! I like to make sure I have a good grasp on the available space before committing pen to paper. I'm a perfectionist at heart LOL!
This is absolute genius! Digging out my clear sticky notes immediately to try this. Thank you SO much for sharing! 🤍✨
I'm so glad it helped! Thank YOU for being here! Let me know how it goes for you!
@@functionofplanningI tried it last night for the first time and adore it!! I might cover my whole planner in clear stickies so I can use the spreads for the rest of the year, before the layouts actually start 😄
@loneowlstudio7811 ohhhhh now THAT is an idea! I've been itching to use mine since it got here, and I *might* be growing impatient. 🤣🤣 new challenge - find the BIGGEST transparent sticky note! 🧐
An interesting planner journey for 2024. I had the urge this year to go small but sticking with my same sizes for 2025. We'll see if I regret my decision LOL! 2024 was hard due to a major life change along with figuring out new habits and routines. So for me if was life that was the problem and not necessary my planners. I too realized that horizontal planning isn't for me but I do have a Weeks for 2025 but it has a very specific use. So It should be fine...I think 🙃🙃
It's always interesting to see what plot twists life has in store for us! I've also had quite a few changes throughout 2024 and the most important part about a planning system is that it's flexible enough to pivot with you. Give yourself permission to pivot until it feels right. :) Keep me posted on how it's going!
What planner cover are you using for the Sterling Ink planner? It’s stunning!!
Hey Kathy! Thank you, I thought so too! I included a direct link to it on my blog's favorite's page: functionofplanning.com/shop/ if you'd like to check it out!
Did I spot a fellow Maryland voter? So many greats ideas, I’m going to have to watch this one again!
Indeed! They just have to put their flag on everything here LOL! Thanks for being here!
Brilliant idea to make templates...I'm going to integrate some of this for next week!
Let me know how it goes! :)
Great video! What are those colorful blocks to the right of you? I figured that gray must be your favorite color, and that's why you kept using it and didn't try another color. I love the Sterling Ink undated A5 planner; HOWEVER, for 2025, I got the Journey A5 planner by Nisha Fernando Designs, and the layout is mwhah (chef's kiss). I don't have to do much to set up the daily pages since she has a meal tracker for all 52 weeks at the front of the planner.
Thanks so much! The colorful blocks are just some cute mini highlighters that I picked up from target. :) But they looked super cute in the frame. Actually my favorite color is green :) I just like the clean look of gray on a spread. That's really cool - I'll have to check out that planner too! Thanks for sharing!
New sub. Great videos
Thanks for being here!
I have been using an Aura Estelle hybrid planner, rings and strings, with Sew Much Crafting inserts. Personal Wide, I love it! The PW gives you just that extra width space to not having to move up to an a5 size. Personal Wide is almost the same as a b6, and that’s my other favorite size.
PW is for sure an amazing size and I agree it gives you a great amount of space! I just like playing with different things :)
@ playing is definitely fun!
Thanks this was very helpful. I will be implementing this in my next weekly spread 😊 thanks again
I'm so glad it helped! Let me know how it goes!
This is genius!! That’s what I always stress over is getting it down and then not liking it and having to fill the page with white out. Thanks for sharing this!! You da best! 😊 Side note: when you were flipping through and I saw your “I voted” sticker. At the bottom of the sticker I thought it said Yo Vote…like “Yo bro go vote” 🤭😆 anyhow. Hope you have an amazing day friend 😬
You're very welcome! And Ely you made me laugh so hard at the voting sticker!! Have an amazing day sweet friend!!
Great video; so many useful tips to take into 2025!!!
I'm so glad it was helpful :)
Great video - what are the date stickers you are planning to use on your daily?
Thanks Janette! I included a direct link to the stickers on my blog's favorite's page: functionofplanning.com/shop/ if you'd like to check them out! There's two styles that I couldn't chose between :)
This is so smart, i would have never thought of that - yet i always have issues how and where to note things down in a spread - i randomly rethink it every time i want to note something down. I highly crave more structure, organization and order in my life (and planning) but i just dont know how to do that exactly. I am very grateful that you share your thoughts and ideas, thank you very much❤❤❤ best wishes from france
France! Wow! Thank you so much for being here Laura! I think that the next video should help you - it's all about planning out sections in your planner and process flow. I hope that it helps!
What a great idea! Thanks for stepping through this with your examples! I try to hold those templates in my head, but.... well. Suffice to say, this is likely much more efficient 😂😂
I tried to hold my templates in my head, too... but alas, my ADHD squirrels are dancing under their disco ball, and the music makes it difficult to concentrate, much less remember something 🤣💃
Very great video! I've been using cheap graph paper to template but I love the aesthetic of the sticky notes.
I didn't even think about graph paper 🫣 and I guess you could just make a photocopy of the planner page as well. 🫣🫣
So glad I found your youtube! I'm using a b6- as my bujo and figuring out different set ups on stickies has been super helpful
Thanks for being here 🫶🏻 it was a game changer for me when I started doing it many moons ago 😎
Great video! I'll be saving this for 2025, as it's my first time going vertical. Thanks for sharing. Also, great thumbnail!
Thanks so much! Let me know how you get on with the vertical layout! I really enjoy taking photographs of my planners so it was super fun to make!
Great templates! Love the B6 slim cover! -where is it from please? 💕
Thank you so much! I can't wait to be able to use it everyday! I included a direct link to it on my blog's favorite's page: functionofplanning.com/shop/ if you'd like to check it out!
@ Thank you! Looking forward to see you using it 🤗💕
The b6 planner cover 😍😍😍….. deets please 🙏🏽
B6 planner cover is from Moterm - Beetroot is the color!
@ isn’t that a b6 slim the blue one? Where is that one from I love it 😍
My apologies, I showed both B6 and B6 slim in the video. I included a direct link to both on my blog's favorite's page: functionofplanning.com/shop/ if you'd like to check it out!
I loved seeing this video and what worked and did not work! 💯💯 Of course my favorite is you B6 slim journal and PR 🙌🏽🙌🏽
Thanks so much Nora! I really appreciate your support! I can't wait to share more about the B6slim for 2025!
Thank you for hopping so that I don’t have to! I am a half letter desk/hp mini on the go person, but for 2025 I want to try personal rings. Your input is helping me make a final decision. I want to reduce my spending on planner things next year. So I will try the CP spiral planner and personal rings. Wish me luck!
Best of luck and I'm so glad that the video helped you! I too am trying to be more mindful of spending this year so I thought that others might be in the same position. Thanks for being here!
I'm so glad to see that I'm not the only planner hopper!! Thank you for sharing.
Definitely not the only planner hopper out there! Thanks for being here Susan!
Hi Kate! I just found you and am intrigued by your planner hopping. I have been a functional planner for years, but I enjoy decorative as well (functional is priority). I loved seeing how you created different things to boost your functionality and track your needs. I can’t wait to see more!
Thank you for the kind words and for being here! Happy to have you!
"We" should be "I" because "we" didnt hop "you" hopped lol but "we" now feel like "we" hopped too!
LOL! This made me chuckle! My hope was to take everyone on a journey with me and I guess I got a little carried away with the "we".
Thanks for being open about your challenges with your 2024 planners. I resonate on multiple fronts. I have a strange request. Would you consider selling your 2024 HON? I am looking to recycle the cover.😊
I'm so glad that the video resonated! I hope that by being open about these challenges, it helps someone learn from my mistakes. Normally, I would be all for reselling, but I can't part with this cover and was thinking of disassembling it and framing it as artwork for my office. It's so stunning!
This was such a great video! I found the information you shared to be very helpful and insightful. (Side-note: the cream colored pages are very big deal!! I also prefer the white pages just because the cream pages appear to be dull, and the white pages give true color with my stickers). Question: Did you hand letter the months in your planners? Those are absolutely adorable! Thank you so much for sharing these insights.
Thank you so much! I'm very glad that it helped and that I'm not alone on the cream colored pages! I'm actually terrible at hand lettering. These are all stickers that I made in canva using a scripted font.
Enjoy your content…..Thanks for sharing 😊
I'm so glad! Thanks for being here!
Dang it! When she said if those words bother you. Ughhhhhh but looks like a GOOD channel. ❤
I appreciate you being here regardless. I just wanted to warn people that occasionally words that aren't for tiny humans might be heard.
