Instantly Duplicate Files in the same SharePoint Library with extra Metadata
Todays video is an add-on to a previous one where I showcased how to duplicate SharePoint Library files from one library to anotherone.
This time we are doing the same thing, only difference, we are duplicating the files in the same library. For that reason we have to take care of the naming convention to not end up with errors in the flow and not lose the original file if it gets replaced.
Here is the link to the original video where we build the flow: th-cam.com/video/_tajD7Jt0Ck/w-d-xo.html
Hope this helps! Enjoy :)

Thanks, mate - I've used your method in a slighty different way to achieve what I wanted. Much appreciated!
Great video! Thank you. I have to merge 14 lists into one 😅 but the column names are not the same, some have extra columns etc. Can it still work? Also, are there any row/item limits?
Is there a way to update the item in the second list from the first list?
Check out the Sync SharePoint Items video on my channel
I built this and it works great for text fields in SharePoint! Thanks. Any ideas how to do it with a person or group field? I just need the display name of the person or group field. Can't seem to get the append string block to add the name. Normally I would expect items('Apply_to_each')?['Namel']?['DisplayName'] to do it, but it doesn't work. Thanks so much for your input!
For whoever might be helped with it. items('Apply_to_each')?['Name']['LookupValue'] fixed it
Hello, it is very interesting. I'm trying to do similar operation as your 'subjects' line. Could you please provide the example you would use for the multi choice "subjects' column ? thank you!

Isso que você comentou, tb não tinha encontrado essa solução em toda a internet. muito obrigado!!
thank you, I was dealing with dynamic query limitation, and this approach helped :)
A value must be provided for item. clientRequestId: dd0cacf9-6c89-442e-a37d-9f21425cb285 why i keep getting this error when add a row into table, i see the input is row, but the out comes with body not row
if i have to table but in different sheet, because i want to collect my data from sharepoint list, i have 2 site content, and i want to merge it or combine the data which the coloumn is the same
Did not understand what you wrote, sorry
Thank you for this. I was struggling trying to figure this out. This was extremely helpful!
So we can’t copy attachment over right?
Of course you can. Do a get attachments, you have the id of the item from the trigger
Just wanted to say thanks for making this tutorial. Steps were explained in a simple and clear manner, with a good pace. Hope you continue making more practical and useful automation workflows.
Thank you very much!
Amazing video. You are a genius!
God bless you! I tested it, and it works perfectly. I just bought you a coffee. I'm testing it from Congo DRC.
Thank you very much! :)
Thanks for this. I have struggled with the VarItemID. So I set it to ID like in my Google search result: a stack... Web site. Flow triggerOutputs()?['body/value']?[0]?['ID'] Also, I can't get VersionLabel. Probably my fault. I wonder if a Count of records and a counter within the loop would be a 'good enough' way to state version number. Thanks again.
Sorry I did not get your question
@Enea Hi, I'm happy with where I reached. I just wonder if different Power Automate versions would say ID in the code that is used to initialise that Var variable. And there might be a knock-on effect to other expressions after I was forced to make that change to progress. In fact, I think that you do say something about ID and that it didn't work for you. A vague memory now.
Do you know a way via power automate to get the modified/version history date of when 1 specific column changes and get that date to potentially put it on another column for tracking purposes?
Very well explained, and exactly what I'd already worked out from first principles - also using a second flow to sync deletions. I came here hoping to find there was a better way to do it... and sadly it appears not. 😞 My issue is that I want the same list to be available (for Document Management property lookup purposes) in more than one SharePoint site (i.e. Team in MS365 Teams). I commend your solution to this, but (hello MS!) it really should be a feature "out of the box" to have the same list appear in multiple sites (shared from a hub site?), without having to faff around with flows duplicating the data and reimplementing synchronisation logic from scratch. And to be able to have a lookup field as a document property which refers to a list shared from another site. And then... another thought... surely some pre-programmed utility already exists for this purpose? (e.g. There is a useful tool called SyncBack which is capable of addressing SharePoint document libraries. I'll see if it knows about lists ...)
Hi in sharepoint list one column have HTML Table, that table wants to row by row as per sharepoint list headers. wat can i do
I do not have the "restrictions" when I go to the 3 dots. HELP!!
Then its not rolled out in your tenant yet. The update is pretty old though, weird
Thanks for the great video Enea! How do you make the duplicate row duplicate just under the same row and now go all the way to the end of the list?
Either by grouping them or by sorting the list. For both you need to think of something either similar to group by or sequential to sort by.
Where are "Title eq" and "Question2 eq" Coming from in the filter query in Get Items? Is that what's telling it which question in the form matches up with the right column in the list?
Yes
Thanks a ton
great~ it works! However, is there any solution so that the image can display on PBI embed PPT?
That should work if the PP Viewers have access to the SP where the images are saved.
Keeep post
i keep getting Action 'Get_items' failed: The expression "eq MasterID" is not valid. Creating query failed. PS i have made the correction you mention at the end so the get Items is pointed at the master list
Hi, did you write the Dynamic Value for the ChildList MasterID eq MasterID? How is your column named?
@@Enea yes ive used the dynamic value from the get items and double checked the colomn names for errors, im stumped ! ive sent you some screenshots :)
@@sambowles79 I'm getting the same thing - I am so close to having this work!! Action 'Get_items' failed: The expression "eq MasterID" is not valid. I even renamed my unique column to MasterID. I watched the whole video too. @sambowles79 any update? @enea
Hi! thank you for the detailed explanation I keep on getting error on the Get Tables action, since I didn't find any "Id" dynamic values I tried putting "body/Id", however I keep on getting bad request and when I try the flow, the file created is not an excel file can you help me on how to resolve this error? Thank you!

@@Enea in dem bestehenden Flow? Oder bedarf es einen Neuen? Habe schon alles versucht. Vielen Dank für deine Videos und Hilfe.
Perfect, thanks for sharing!
Awesome , I Liked it, You are Genius
Hi, nice video 👍🏼 Can you help me? I created a flow in Power Automate. It is called "Create Order". The flow looks like this: A user creates an order in my SharePoint list "Create Order". He also provides his information, such as company details, items, etc. After that, my flow creates a Word document based on a Word document template. Later, this document is also converted to a PDF. Now to the problem: All information is inserted into the word document via quick entry blocks. For example, under one quick block "Items", all items that were entered under the orders are entered. BUT this is not done with paragraphs separating the information, so it looks like (1. Article 2. Article 3. ARTICLE) instead of: 1. Article 2. Article 3. Article Is there a function to separate the information with paragraphs or another solution?
Thanks for the tutorial. I got the flow to work, but I can’t get it to appear in Power Apps because it’s not an ‘instant flow’. I have spent hours trying to work it out and I can’t. What can I change to get this flow to work in Power Apps so I can view the version history in the app?
You need to change the trigger to be „Power Apps“ and at the end of the flow, „Respond to Power Apps“. You also might need to send the ID of the Item you want the Version History from the App
Great video, but how would you transfer the value from the drop-down box or from the list?
Nice overview. Has this version of forms updated yet to include metadata columns. I noticed they are missing on the form if you have them on the list.
Not that I know! Even uploading files is still not possible which I cannot understand why
Is it possible to link the destination list (Second list) with another source list (Master list) just changing the PowerAut flow and mantaining the previous data already syncronized in the destination list? Thank you very much for the video.
It should be possible, you need to be cautious with the ID, if you are bringing data from another list.
@@Enea I'll try it! Thank you
@@Enea Hey! sorry to bother you again! i'm trying to follow step by step your video, i think however it doesn't work with choice columns, can you confirm it?
@@PietroMatteoSalvia I dont know why it should have a limitation based on the column type. What is the problem?
Bhaaiii...!! absolutely genius. Nothing but respect 🫡
Thanks for the great tutorial, it helped me a lot! I have a question, this method still sincronizes the sharepoint list data with the power bi dashboard?
You are welcome. Yes 👍🏻
Would you happen to have a video that sort of reverse engineers this process? I have a policy management tool hosted on a SharePoint Lists. It holds policies for 3 different teams (Team A, Team B, and Team C). Each team is called a segment. I need the data from the Master List to filter into each segments individual Sharepoint List. I have a column on the Master List that identifies the segments. Sometimes a policy can apply to multiple segments. Is this possible?
This video is awesome, however, no matter what I do, I get an error "Action 'Get_items' failed: The expression 01eq MasterID" is not valid. Creating query failed" I used the MasterID dynamic content option, 01 is the naming convention I used for testing purposes. Please help.
Hi Enea. Thanks for this video! Would you know by any chance how to create different conditions to initiate approvals? I.e. for 3 different sectors approval to be requested from 3 different people. For the last sector I even need the split by countries and there different people.
Or change where model exists in data view top left
I find using the drop down in priorities on model view is easier than dragging
You don’t know how much I love you, literally every problem I had using PBI you had a video for it!
Thank you :)
I'm glad you made this video, and it's good that they've done this ... but ... ... I could open ALL my items in the V2 editor ... 😩😓
This was very useful. Thank you.
Thanks for the video - Is there a way to make this work when a column type is 'choice' and you have multiple selections in a single item? When I work through this, the automation turns each separate selection from the 'choice' column into its own item, rather than duplicating them into a single item as they are originally/
You have to combine it with something like this: Power Automate - Update a Multi-Person-Column 👨👩👦👦 th-cam.com/video/xY97aIsEf6Q/w-d-xo.html
