Navigating Tricky Clients: Tales from the Agency Trenches
Navigating tricky client relationships doesn’t have to feel like walking a tightrope-it’s all about striking the right balance between empathy, clear communication, and firm boundaries. The secret sauce? Managing expectations from the get-go. Whether it’s setting deadlines, deliverables, or keeping everyone aligned with meeting schedules, clarity upfront sets the stage for smooth sailing later on. 💪🏻
Here’s the deal: misalignment and tough conversations usually happen when assumptions are made, so transparency is your best friend. Keep the lines of communication wide open, and be proactive about sharing updates so nothing catches anyone off guard. When conflict does bubble up, take a beat to understand where the client’s frustrations are really coming from. More often than not, tricky behavior is a reaction to feeling unheard or unsure-and a little empathy goes a long way in turning things around. 🤯
Next up, hold the reins in meetings by setting clear agendas and allowing space for the client’s concerns, while still keeping the conversation on track. It’s a delicate dance, but keeping things structured helps you stay in control without letting the discussion go off the rails. And don’t forget: accountability is everything. Owning any hiccups and pivoting toward solutions builds trust-even in those hard-to-navigate moments. 🤩
But here’s the kicker: no matter how airtight your processes are, there will always be a tricky client who pushes the limits. That’s when your boundaries, your processes, and your confidence kick in. Trust the systems you’ve put in place, be firm yet gracious, and know when it’s time to loop in higher-ups. When you show up grounded and prepared, you can handle just about anything they throw your way. 🌟
Both Kayla and Kristen agree: communication, accountability, and boundaries are key to preventing chaos in client relationships. But let's be real-no matter how solid your processes are, there will always be a tricky client or two. Have your own tips for handling tough client situations? We’d love to hear them! 🤗

Hi, so good video to understand Asana more! BUT I have a question: We have all our clients and their projects in Asana. Is it correct to set up our clients under "Teams" and then create a "new project" for each job we do for them? Or what is the best way to do this? We have many small clients with several different projects for each client. We also want to create templates for recurring projects to avoid reinventing the wheel each time. Do we need to create a "new project" and then transfer the template there, or how does that work? Many questions :P
💚💚💚 i’m getting a role as a client facing marketer 🎉
Thank you for this!
Glad it was helpful! 💗
very helpful! thanks!

Perfect!
I wants to Start Digital marketing agency, How can you help me
very insightful especially going into an interview very soon. Thanks alot for putting this videos out.
Glad it was helpful! 💗
Unfortunately, this didn't work as shown in the video where it looks so easy. The template downloads as an Excel file but only CSVs can be uploaded into Asana. So you'll have to convert it. When I converted to CSV, it only converts a single tab at a time so I'll need to go into each tab separately and try to upload those. However, I tried that on the first tab and it looks different than what's happening in the video. 😩 UPDATE: SOLVED! Open the Excel csv file and click on the tab at the bottom > click Save to save it with that tab selected > then go in and upload the file in Asana and it will open up only the data on that specific tab > click Go To Project to import the data. Afterwards, click on the next tab in the worksheet > click Save > then go back into Asana > create another new project > upload again. Keep going for all the tabs. After uploading the file for each tab, you'll end up with a different project for each tab in the worksheet. Also, the SEO Checklist looks like nothing imported but all the data is inside the tasks so click on one to open it and you'll see all the info. These look great!! Good luck! 🙂
Asana - absolutely!
😍😍😍
theming of slack as a notification centre for reserved time slots for discussion is great, for media buyers or sellers to be ready for day to day pre bid level is ultimate, and we can even sub loop slack steps with pre dashboard from integra table presentation of data vs achieved is a more robust way to confirm of campaign and account restructuring too. 360 environment implementable
where can I find the onboarding template please?

Thank you for this!
Glad it was helpful! ❤
Super helpful! Do you use any email integrations to queue sending emails?
Hey Erin! I don’t personally, besides “schedule send” in google or using our email marketing software, FloDesk!
We’re actually using FloDesk! It does not integrate with asana, right?
@@erinengland5909 not that I know of!
NICE VIDEO SIR
Thanks! ❤
HI
This is a really helpful video for understanding better ways to use Asana. Great onboarding process! Thanks for creating this!
Glad it was helpful! ❤

We are looking into asana and clickup. If you were starting over fresh which would you choose now?
Great question! It really depends on your needs. We use Asana internally because we have used it for 4 years and have tons of data in there. Do a trial of both and see what feel you like! They'll have different features on both, so it depends on what youneed

Thank you.
Thanks you so much. With a dream job opportunity on Tuesday, this video gives me an understanding of the bandwidth and gives me the confidence I need to succeed. Thank you so much ladies
Glad it helped! Best of luck.
I'm currently interviewing (on the 3rd interview step) for my first potential CAM position in AZ. This video is a HUGE help. Thank you for posting!
Glad it helped. You're welcome.
CAM I have a question, if an agency is more a production studio whose client's maybe other agencies, wouldn't the studio need client facing account manager? And how technically versed would this account manager have to be?
I'd say you'd still need an account manager, the relationship just may look slightly different (managing agency relationships vs. direct to client). You'd likely need someone who's versed in the production work you're doing so they can manage projects and answer questions on their own. I hope this helps, Michael!
@@dotandcompany It does, thank you. And great content, glad I discovered your channel.

Glad it was helpful!
your template is great!!! all the links to loom videos ect are missing though :(
I'll look into it. Thank you.
Hi! I have 5 years of experience in account management. A total of 12 years experience of client services for e-commerce companies. I have little experience in Digital Marketing. Is having former experience in digital marketing essential to this role?
Absolutely!
Asana!
Love it!
Absolutely enlightening, there is no doubt. I personally don't use Asana, but I do mine on Plutio, and it has been a game changer since I fully stacked the last time they come on Appsumo along my nimbus note and I have been reorganizing all the task accordingly all the time. Glad, I stumbled upon this walkthrough to learn the process and improve the system i'm working on, after all the life is a learning process.
Totally agree! Thanks.
Great episode - I got so much from it! Perfect timing for me and my agency as well ☺️
Glad it was helpful!
Thank you for this post.

Hahahah Taylor, I totally agree with you! I love talking about that kind of stuff! I really hope to connect and learn more from you! I love it when I find people who wanttttt to talk about it and not like feel forced to listen to me bla bla bla about Asana!
Great! Thank you.
Thank you for this 🙏🏼
