Kitchen Side: The Operations Episode with Gray MacKenzie (ZenPilot)
In this Kitchen Side episode of The Long Game Podcast, Alex, Allie, and David dive into the intricacies of agency operations with guest Gray MacKenzie, CEO of ZenPilot. The conversation explores how agencies can build scalable systems while balancing efficiency and innovation. Gray shares strategies for defining processes, the importance of integrating operations with delivery, and the cultural aspects of driving accountability. The discussion offers actionable insights for agencies looking to streamline workflows, improve profitability, and foster sustainable growth.
Key Takeaways
• Operations as the Foundation of Growth and Delivery: Operations should support marketing, sales, and client delivery through robust systems, but it requires collaboration between departments.
• Balancing Efficiency and Innovation: Agencies must find a middle ground between systematizing processes for scalability and allowing room for creativity and innovation.
• The Role of Culture in Process Adoption: The success of any system depends on creating a culture where employees understand its benefits and actively engage with it.
• Challenges in Scaling Operations: Gray highlights the pitfalls of pushing for rapid adoption of tools and processes without considering team capacity and readiness.
• Integrating Top-down and Bottom-up Resourcing: Combining long-term planning with day-to-day task management ensures efficient resource allocation and prevents burnout.
• The Inefficiency Principle: Innovation often comes at the cost of efficiency. Agencies must decide when to prioritize one over the other depending on their goals.

What is Kitchen Side?
One big benefit of running an agency or working at one is you get to see the “kitchen side” of many different businesses; their revenue, their operations, their automations, and their culture.
You understand how things look from the inside and how that differs from the outside.
You understand how the sausage is made.
As an agency ourselves, we’re working both on growing our clients’ businesses as well as our own. This podcast is one project, but we also blog, make videos, do sales, and have quite a robust portfolio of automations and hacks to run our business.
We want to take you behind the curtain, to the kitchen side of our business, to witness our brainstorms, discussions, and internal dialogues behind the public works that we ship.

Wow! So many good insights in here. Thanks Alex and Ryan
All of Matthew’s stories have a hero. In its classical definition, a hero is simply the protagonist, or the main character. He needn’t be some great conqueror. In fact, many heroes in stories have a tragic flaw that leads to their downfall, just as often occurs in Matthew’s stories. A story can be a comedy or a tragedy. Today, we think of comedy as a funny story. In Shakespeare’s time, a comedy was simply a story with a happy ending, while a tragedy ends unhappily. Matthew certainly employs the hero’s journey, even if he is not aware of it.
How to get this sheet?
Thanks for a snippet of an interview
Lord of the Rings explains the importance of purpose, heros, friendship, community, and journey,. If that's not understanding yourself better, I don't know what is. You're consciousness of a change inside yourself and the actual change are two different things. Most stories operate at a sub-conscious level. We learn the American Dream before we have a formal name for it. The same goes for all stories. Also, the Heros Journey and the fall aren't mutually exclusive. You can have both. I would say a number of Matthew's stories are actualluy hero's journey if we think about it more deeply. Not to mention, law and order is both. Lord of the Rings is both. Star Wars and the other parts of the series is both. So, this massive contrast he's drawing seems to be rather. I'll concede, the larger issue of underplaying and underlooking this other aspect of story is a tradgedy. To be fair, humans need inspiration in both directions. Human strengths and weakness both need to be discussed if a work is to connect and resonate and if it is be real, truthful, and wise. So perhaps I'm agreeing more with Matthew that I would like to admit.
Yeah I was going to say the same thing. He seems to be taking a very narrow definition of the heroes journey.
🤣 𝐩𝐫𝐨𝐦𝐨𝐬𝐦

Marketing is easily the most important part of a business. It also seems to encompass almost every other aspect of the business. That's why a strategy is so important!
