Thank you for making this video. I'm new to Power Automate, but i was pretty good with the old workflows. I have a team that wants an email sent for new items when a specific category is selected. Kinda odd that Microsoft doesn't have a condition for that in Rules. I'm seeing a new Prompt Condition option for Rules, but it won't let me do anything. Thanks again for this video. I think it'll get me to where I need to be with the request.
Rules are very limited indeed. And email have to be hard coded, which is not good in the long run. Enjoy designing your flow with more control!
@digitalfrancois Thanks! I was able to make a proof of concept to show them. Only hurdle was I choose Outlook instead of Outlook 365 to send the email. I wasn't aware that 365 was an option. Otherwise it was pretty similar to the old workflow system.
Thank you very much, that was very helpful!
Glad it helped! Let me know what next video I may record a solution for you.
How do you actually get the excel part to work? Custom answers from bookings to excel in Power Automate seems unnecessarily tricky.
true. First, get the details from Microsoft Bookings using Power Automate. Then, use the ‘Parse JSON’ action to break down the data, focusing on the field that contains the custom questions. Finally, map out the questions and responses so you can use them in your "create SP item".
Very interesting piece of insight! Thanks for that!
Thank you so much for your kind words! I'm thrilled that you enjoyed the content!
Tedious. Crazy that SharePoint doesn't have a drop-in item that auto builds it similar to Word's Table of Contents
All other Wikis have this figured out in some way.
SP has never replaced Wiki. Even if Teasm tried at some point when they had a channel tab called "Wiki" #UXFauxPas! Have a look at Loop and OneNote (and Loop inside OneNote) which might be much much better for internal navig
I hope you still monitor this video. I wanted to ask if there is a way to have the flow update a document as information is set into a list. I have about 10 sections that 15 different people work on. I have a PowerApp set up so that as they input reports it gets added to my sharepoint list. I want a way that as they place the reports into the list, the flow will generate the document and place their report into the specific section I want. This way I can edit the document as they input their reports. Basically just streamline the process in which things are done.
Hi there, I see all comments and respond to them in a block, which means it may not be on the same day 😉 So, you won't be able to create a document and then update it _after_ it has already been created. 1) One workaround is to keep *all the metadata* from your PowerApps in the same SharePoint item and then generate the document when the last SharePoint field has been filled out. (This goes back to my Power Automate video). 2) Another option is to explore third-party solutions, which may not be as expensive as you think, such as Plumsail (no affiliation) th-cam.com/video/V3-W8N9cI8M/w-d-xo.html
in 2024 there no such option
The drop down menu has changed, but it is *still there* : Manage Team - Settings - Edit team name, and the change of URL will still be in 365 Admin.
Amazing. Thank you :)
I'm glad you enjoyed it! Your support means a lot to me.
Can this be used when columns have multiple lines of text?
Yes, it should be the same if your column is multiple lines of text. Give it a try and let us know here 😉

your videos don't make sense. Title says differences and pros and cons etc but in videos you are just mumbling something different without discussing the topic.
Thank you for taking the time to leave a comment. You are right that this video is a showcase of the various lists in Microsoft 365 as it was in 2021. Is there anything specific that you may be looking for in using Lists?
@@digitalfrancois yes, is there a difference in archival policy for teams lists and SharePoint lists ? Which IT team is responsible as we have different groups for SharePoint expertise and Teams support.
Hi François, I work for a company that offers employee transportation services. Currently, ten drivers handle these requests, scheduled through phone calls and emails. As the company undergoes workflow changes, we're encouraging everyone to use Microsoft Teams. After a phone or email booking, an employee creates a task(to do planner) in Teams and assigns it to a driver. Being new to the transportation sector, I noticed the potential of using bookings for appointments. However, since our company culture prioritizes Teams, I'm working on a Power Automate flow. Ideally, after an employee books a transport through MS Bookings, the flow would automatically create a Teams task for the assigned driver (chosen randomly based on availability). Unfortunately, I'm facing challenges. While I can create a Teams task upon booking, it lacks automatic driver assignment and content, leaving it blank. I sincerely appreciate your cooperation! Thank you for your time and effort.
This requires a chat, send me a message, find my contacts in video description or channel info.
Thanks for a good video!
You are welcome!
ren OldTeam new (rename command in most operating systems) They did manage to make technology quite interesting. It takes nowadays videos, and lot of searching through Google, to rename things. But as always, strategy is something, that makes user interfaces have things, that are beyond our (user's) comprehension.
can we use MS word dropdown developer control & how it can be used through power automate. also if we have repeated steps how can use power automate connector

Hey mon ami de 25 ans! Content de t'entendre!
I dont see the 'Stop inheriting permissions' option .... iam the owner of the my sharepoint page & need to create a sub-page for another team ...what do i do?
check if you are Site Collection Administrator and if not request it.
the volume of the video is very very very very low even at 100% can't hear you from speakers .....
Thank you for bringing this to my attention. I apologize for the low volume and I will make sure to fix it in future videos. ☹
Thank you so much!! Ofcourse I subscribed aswell 🙌
I have to say that I didn't retry this technique recently , so it still works 🥳. Am glad my sharing was useful.
This is exactly what I needed! However I dont have premium license :(
It will be vey unlikely to find a Document Generator for free I am afraid :-(
Why the polulated document didn't keeped all backgrounds?
that sounds like an incorrect format type, check extension and format encoding.
Premium :/ component
yes, it is now Premium. And it is unlikely to find a Doc Gen tool for free nowadays.🤥
Thank you very much for this; however, is there a way to copy pages in bulk and retain the metadata? Thank you much for your help.
Not as far as I know, yet.
UPDATE: I was WRONG this works MARVELOUSLY STILL!!! Just don't forget to check-in your page so your Power Automate doesn't stall out waiting for you to check-in. You'll have to cancel the flow and restart it after checking in the page. My god @digitalfrancois you just saved me so many hours! Now and going forward.. WHY is this NOT default built into SharePoint it seems SOOO ridiculously low hanging fruit LOL... ORIGINAL POST: I don't think this is working anymore. I just followed the steps case by case and received no errors besides my initial lack of having a template folder on my recipient site. I'm running the flow and it's stalling at 9minutes so far... the site I copied didn't even have a lot of content. It did surface a List and Power BI though, wondering if that is causing the issues?
ha ha... for once I don't have to apologise for responding late then 😄. Glad it helps (and that it is still working! ) YES.. the question has been asked a few times. SharePoint is such a complex system as reliable on multiple other systems that we always know that one workaround may break another one elsewhere. So if it is released as the default method, it will -at least - be called "Beta" to make sure that they warned you before using it ;-)
@@digitalfrancois Hey hope all is well with you and yours! I weirdly got double scroll bars when I did this directly the other day without doing a Template I think.. Or maybe it was the other way around.. Either way there's a Scroll bar that fits the whole screen (moves up and down a tiny bit) then the other page scroll bar on the inside that actually works to scroll the page.Wondering what the deuce? Lol .. Hope nobody notices hahaHope nobody notices haha
Thank you! Very helpful and very easy to understand.
Thank you so much for your feedback 😊

Hi, thanks for the tip,but have a problem. I want to ask why when i choose "when item is created", mine shows the field names (from the SP list), unlike yours which only has "site address" and "list name" (mine has it as well). I dont know this is related or not but my Word document is not populated by the newly created item in SP List and returning blank values. hope you understand what i mean. Have a nice day
sorry about the delay. Did you figure it out? I would look into the "talking" between SharePoint and Word.. making sure that there is no login issue, re-install Word even ...
Hi François - thank you for the excellent tutorial. I've tried to do something similar, but in an array - run a batch of them rather than being triggered individually. The data runs off of a list in SharePoint, creates documents, and then stores them in an existing library. The flow is working mostly well, but it creates a new file in the document library with the word template's document ID as a file name. It creates a template doc in each of the proper destination folders, but ALSO creates one in the weird new file. I know it is probably hard to troubleshoot with that description, but wondered if you might have any idea what I should look for. I've verified my inputs a hundred times and I can't see the issue. Many thanks!
what a great idea using an array, Amanda! I do not have a tip right now looking at your description, but will try that method when I get the chance and see if it reproduces.
I tested your solution however if any columns are modified it also creates a copy and deletes it from the original list not just when you change the archive column to Yes
That's right. This is only the example showing the backup solution, however you need to confirm that the column modified is the one supposed to be and not another column. Using a condition at the start of the flow and saving the last entry of that column before the end.
Unfortunately, this is only useful if you're copying a single page with only external links. If you copy e.g. two or more pages which are linking to each other to another SharePoint site, the new pages will still link to the original subpages, as sharepoint forces links to be absolute. If sharepoint would allow links to defined relative to the sharepoint site, the new pages would link to their new subpages on the other sharepoint site. what a bummer. any hints/hacks appreciated.
Yep ! You are right, the tip I showed is really for copying/moving pages and avoid recreating the full content, but some content like links will not benefit from that. Look for "migration tools" (paid) as some do a scan on links and edit them as will.
I am not getting the "identifier" dynamic content in the Copy File step, only "ID"
really has to be "identifier" and not ID as explained th-cam.com/video/zjmgVGCwZfM/w-d-xo.html (ID is the SharePoint item unique identifier, where "identifier" is the file.
@@digitalfrancoisI've set up this flow with your help for about 10 different sites so far without any problems. But with the current site, it indeed is just not showing "ID" (file Identifier) and "User ID" when I search for "identifier". I've remade the flow 5 times from scratch and each time it's not showing it (for this site). I think something underlying is different on this one as it's part of our intranet and not our regular sharepoint sites. Not expecting you to know the reason why, just know there are situations you cannot select Identifier for whatever reason.
Hello. Great video! I followed along and tried to replicate the steps, however when I went back to my page and clicked the 'Automate' dropdown, the 'Copy to another site' option was not there. I am not sure why, or how to run the flow without it. Do you perhaps have any suggestions as to what a fix might be? Thanks!
not sure I understand what is the "automate drop down" ... in an action, a flow, the list of flows... ? Suggestion : Anyhow, you must have found it again now, if a flow has been shared by or shared to a group/SharePoint site, then it will appear in the shared list.
Hi, I had this issue several times when I tried to reuse a flow from the past. I learned the following "For Flows that use the 'For a selected item' or the 'For a selected file' trigger, only those that are part of the Default environment in Power Automate are listed within the SharePoint Automate menu." This means that if you made the flow with site X as a source, you can only use it for site x. If you want to copy a file from site Y, then you have to make the flow again starting from site Y.
It took me a few failed runs to find my error, but this was GREAT! Thanks so much for publishing this for those of us needing to know how to copy pages to different sites. It's even better that the steps you provided is flexible enough that it can prompt the user each time for a new path versus having to change the routine each time. THANK YOU!
Great to hear that! Thank you for your feedback :-)
This is the video I needed! Thank you so much for clearly explaining the steps! I have been trying to figure this out for days :) You have made my Sunday. Thank you!
Thank you for your feedback! Enjoy that bit of automation 🙅♂️
@@digitalfrancois do you have any videos on how to make the output a PDF?
Thank you Francois. For someone new to Power Automate and helping setup document flow - this has shown the light on what I see as very popular task that is undervalued basic office document automation.
thank you for your comment, am glad it helps. Yes, definitely super useful actions!

👍 thanks for letting me know
This was sooooo helpful to me today! 👏👏👏You provided such a neat solution to something we have been struggling with for many months. Thank you so much. I'm wondering if there is any way to keep the Table of Contents / Navigation Web Part visible at all times when scrolling down the page? I have for the time being duplicated the TOC webpart in each section on the page, but this is not ideal, as it repeats in every section and will have to be updated if the page changes. Any ideas on that?
you could just paste the link to the page anchor in a new left navigation quick links. I have not tried it yet, but should work nicely.
don't forget to move the site assets from the page
that's right, but then repoint each element like someone mentioned
Fantastic, this helped a lot! Thank you.
